Our festival mission is to provide family fun and foster community engagement. We serve as a platform for nonprofits to educate and fundraise, while also partnering with for-profit brands to enhance the experience. Fees:
● Food vendor/truck fee: $195 for vendors serving a full meal: Entree, fries, veggies, etc.
● Food vendor/Non-profit fee: $95 for vendors serving novelty items: cakes, popcorn, snow cones, etc.
Application and Approval Process:
Please check the current vendor list to ensure there aren't any vendors already signed up to sell similar food items. We are not permitting duplicate food vendors.
Communication:
Vendor lists, site assignments, questions and answers, and last minute announcements will be posted on the Facebook group called: "Vendors - IL Community Festival 2025, click Vendor List. Please request to join this group upon acceptance of your application. Indian Land Community Festival reserves the right to reassign spaces as needed.
Set Up:
- You may arrive any time before 7:30 AM Saturday. Set-up must be completed before 8:30 AM Saturday. Additionial vehicles must be clear and in the parking areas by 8:30 AM.
- If you have not checked in by 8:30 AM on Saturday, you will be considered a no show and your space may be offered to others. No refunds are offered for no shows and you may be placed on probation or banned from future events.
- Vehicles must be parked 30 minutes prior to festival opening time. Once the event begins you may not bring your vehicles onto the vendor area.
- Make sure your tents are weighted or tied down, if applicable.
- Be prepared for the possibility of rain and cold temperatures. Bring any items necessary to make your area comfortable. This is a RAIN OR SHINE event.
PREPARE TO REMAIN ON SITE FOR ALL VENDORS HOURS. If you are unable to be at the event the entire time, do not submit an application.
Departure:
- Pack your items and remove all trash from your site.
- Bring your car to the site once the police have deemed the area safe for pedestrians.
- Load your items.
- Place all trash in the trash containers provided or take it with you.
General Rules:
- Do not display items not listed on your application without prior approval. You could be asked to remove any item not listed on your application.
- Pets are prohibited at the festival.
- All vendors are responsible for handling their own currency and collecting and reporting South Carolina sales tax.
- No electricity is available; provide your own silent power source.
- Provide your own equipment, tables, chairs, tent, etc.
- The festival committee will provide the public a sit-down picnic dining area.
- Only menu items included on the application and approved will be allowed to be sold. Menu items must be posted at the point of sale and be visible from a distance. Selling any non-approved items is grounds for dismissal without a refund.
- Ensure you have enough stock to meet the expected festival attendance, or have a plan to restock quickly to avoid running out of supplies before the event ends.
- The festival is a rain-or-shine event; fees are not refunded for inclement weather.
- Vendors must arrive at their designated times and be set up by 8:30 AM and remain open for the duration of the event.
- Vendors must upload a copy of your Certificate of insurance with your application.
- Vendors should follow Fire and Safety Regulations and have the appropriate fire extinguishers and safety equipment.
- Vendors are responsible for collecting and reporting any SC sales tax
- Vendors are responsible for compliance with SC Department of Health and Environmental Control (SCDHEC) regulations regarding outdoor/special events (www.scdhec.administration/CR-005836.pdf).
- SCDHEC may inspect all food vendors for safety and compliance the day of the event. If SCDHEC should close your booth, your fee will NOT be refunded.
