Thank you for your interest in participating in our Los Fresnos Rodeo Food Vendor Exhibit! Each year we look for creative, unique, and original vendors to make our event successful. If that sounds like you, fill out our Vendor Application below!
APPLICATION REQUIREMENTS:
Applications will open on November 2, 2024, at 12:00 PM (noon). Applications must be submitted by December 15, 2024, by 11:59 PM. We will review all applications as they are submitted and carefully choose those that best fit our event. Vendors will be notified by January 10, 2025, if they were selected as a 2025 vendor. Please submit a list of products that you intend to display and sell. The Los Fresnos Rodeo reserves the right to ask you to remove any goods inconsistent with the submitted description of goods/products provided to us through the application. Los Fresnos Rodeo has the required permits for this event so your booth will fall under our umbrella. Each vendor is required to follow proper health guidelines when handling food and be subject to inspection by the City Health Department and Fire Marshal.
FOOD VENDOR ASSIGNMENTS:
The food booths held in conjunction with the Los Fresnos Rodeo will be on Friday, February 14th through Sunday, February 16th, 2024. This is an outdoor event and is located within the Midway. Each vendor will be assigned a specific spot that will be communicated after the application and committee selection window. All approved food vendors must enter at Gate 2, Service Entrance, with (1) vendor parking pass displayed and clearly visible through the windshield.
Assignments and space allocation will be made at the discretion of the Vendor Chairman.
DAILY SCHEDULE (Including Set Up & Break Down):
When you arrive to set up, enter Gate #2 and you may drive your vehicle to the food vendor area to unload; once unloaded, you must park your vehicle in the designated vendor parking lot. Again, only one (1) parking pass will be issued per vendor.
Additional vehicles must park in general parking ($10.00). You must be set up by 4:00 PM. NO VEHICLES WILL BE ALLOWED TO ENTER THE EXHIBIT AREA AFTER 4:00 PM. If you are unable to set up before 4:00 PM, you will have to park in the designated parking area and manually transport your product(s) in a wagon, dolly, or similar method.
Friday, February 14th – Vendors can enter the fairgrounds and access the food vendor area any time after 9:00 AM. You must be set up by 4:00 PM. Once unloaded, you must move your vehicle to the designated parking area. No vehicles will be allowed in the vendor area after 3:30 PM. Tear-down will be around midnight once all pedestrians have cleared the area.
Saturday, February 15th – Vendors can enter the fairgrounds and access the food vendor area any time after 8:00 A.M. You must be set up by 12:00 PM (noon). Once unloaded, you must move your vehicle to the designated parking area. No vehicles will be allowed in the vendor area after 12:00 PM (noon). Tear-down will be around midnight once all pedestrians have cleared the area.
Sunday, February 17th – Vendors can enter the fairgrounds and access the food vendor area any time after 8:00 AM. You must be set up by 10:30 AM. Once unloaded, you must move your vehicle to the designated parking area. No vehicles will be allowed in the vendor area after 10:30 AM. Tear-down will be about 6:30 PM once all pedestrians have cleared the area.

- Sunday, February 16, 2024 (3:00 pm - 6:00 pm)
For everyone’s safety, vehicles will not be allowed in the midway/vendor areas until the crowd clears, which clears around midnight on Friday and Saturday and 6:30 PM on Sunday. Once the area is cleared and safe for you to retrieve your vehicle you may load your product(s) into your vehicle.
If you must leave earlier than midnight, you may transport your products manually to your vehicle. , You may leave your booth set up AT YOUR OWN RISK. If you choose to leave your booth set up, we recommend you take precautionary measures to secure it. Security will be on site 24 hours daily but patrol the entire fairgrounds. Please note that security is not exclusive to the vendor area.
VENDOR FEES:
ALL vendor spots will be $650. Payment is due by February 1, 2025.

OTHER REQUIREMENTS:
Vendors must remain open and operational for the entire time of the event.
Vendors will be responsible for providing their own equipment to set up.
Please be sure to clean up your area each day before leaving.
Only 4 persons are allowed at your food booth.
You are limited to 2 warmers or crock pots.
You are limited to 2 extension cords which must be 12 gauge (at least) and maximum length of 25 feet.
NO SALE OF ALCOHOLIC BEVERAGES WILL BE ALLOWED UNDER THIS AGREEMENT.
EVENT EXPOSURE:
Carnival:
Carnival hours can vary daily depending on crowd size and weather. Hours are determined by the Heart of America Shows, not by the Los Fresnos Rodeo. We anticipate hours will be Friday after 4:00 PM until 11:30 PM, Saturday Noon to 11:30 PM, and Sunday, February 16th from 12 noon until 7:00 PM.
Cameron County Livestock Show:
The Cameron County Livestock Show will have multiple events throughout the day from Friday, February 16th through Sunday, February 18th.
Activities & Events:
Family-oriented attractions, food/beverage vendors, and live music will be on Friday, February 14th, Saturday, February 16th, and Sunday, February 17th at the rodeo grounds.
