– Terms of Service & Privacy Policy
Effective Date: May 28, 2025
By submitting payment and completing the intake form, you (“the Client”) agree to the following terms and conditions set forth by Body Alchemy LLC (“the Company”).
1. Scope of Services
Body Alchemy LLC provides professional nutrition and lifestyle consulting. Services are educational in nature, grounded in the definition of “nutrition” as the act of nourishing the body. Body Alchemy does not diagnose, treat, or cure any medical conditions. All recommendations are intended to support your personal health goals using non-medical strategies. You accept full responsibility for any changes you choose to make.
2. Program Commitment & Payments
Monthly Coaching
- Requires a minimum three-month commitment for new clients to establish foundational change and build sustainable habits.
- Coaching is billed monthly, with payments automatically charged on the same date each month based on your initial payment.
- Each month includes four weeks of coaching. Unused sessions do not roll over beyond the paid month.
- Ongoing coaching continues on a month-to-month basis after the initial commitment unless otherwise agreed upon.
Individual Sessions (for Returning Clients)
- Returning clients may book individual follow-up sessions after completing the initial coaching period.
- Sessions are available on a per-appointment basis and must be paid in full prior to the session.
- Charged at the current rate per session. Availability and scheduling are subject to Body Alchemy LLC’s discretion.
3. Cancellation & Refund Policy
Payments are nonrefundable after 48 hours or once services have begun. Missed appointments are not eligible for rescheduling beyond the billing period.
4. Billing & Client Responsibility
You are responsible for maintaining valid payment information and tracking billing dates. Invoices are available upon request. Payment in full is required on time each month.
5. Scheduling Policy
- You are responsible for scheduling weekly sessions within your active billing period.
- Coaching is month-to-month, and consistency is essential.
- Lifestyle factors such as travel, illness, and vacation are part of your health journey and are integrated into coaching—not exceptions to it.
- If you need to cancel on the same day, please contact Body Alchemy LLC right away. Rescheduling may be possible based on current availability.
- Failure to schedule is considered a cancellation or missed appointment.
6. Pause Policy
- Program pauses are granted only for significant life events (e.g., emergencies, surgery) and require approval.
- General busyness is not a valid reason to pause but may be accommodated with shorter or rescheduled sessions.
7. Company Availability
Body Alchemy may take scheduled time off, with advance notice. You are expected to continue your health commitments during these periods, even if communication is temporarily reduced.
8. Client Responsibility & Team Ethic
Coaching is collaborative. You are fully responsible for your participation and outcomes.
Body Alchemy guarantees professionalism, integrity, and honesty. No results are promised or guaranteed without active and consistent follow through of the client.
9. Support Between Sessions
Clients may reach out via text, email, or short calls between sessions.
Response time and format are at the discretion of Body Alchemy LLC. Weekend responses are not guaranteed.
10. Intellectual Property & Confidentiality
All program materials, resources, and communications are confidential and protected.
Do not copy, distribute, or share any materials without written permission.
11. Privacy Policy
Your privacy is important. Body Alchemy LLC collects and stores only the information necessary to support your coaching journey.
- All client information—intake forms, session notes, communications—is treated as confidential and used solely within the context of your work with Body Alchemy.
- Body Alchemy LLC is not a HIPAA-covered entity and does not operate as a medical provider. However, we uphold strict professional standards for safeguarding your personal health data.
- Your information will never be sold, disclosed, or shared without your written consent, except when required by law.
- You may request access to your records or communications at any time.
12. Consent & Agreement
By completing the intake process and submitting payment, you confirm that you:
- Have read and understood these Terms of Service and Privacy Policy
- Agree to comply with all policies stated above
- Acknowledge that your results depend on your consistency and responsibility
