  • Polaris Fencing Center Safety Rules

    1. All members are expected to treat their coaches, teammates and visiting fencers with respect, meaning free from discrimination or harassment on the basis of race, color, religion, gender, sexual orientation or neurotype. Any speech or behavior deemed inappropriate, offensive, or disruptive will not be tolerated.

    2. Fencers will always wear a mask if they are: (1) engaging in partner drills, (2) taking a private lesson with a coach, (3) fencing an opponent, (4) demonstrating a fencing move or (5) standing on a strip next to other fencers. If you repeatedly do not adhere to these rules, you will be asked to leave the facility.

    3. Students must pay attention to the coach’s instruction at all times. When attempting new fencing skills, follow directions carefully so as to ensure the safety of yourself and others around you. 

    4. Please make sure to be aware of your surroundings, especially when you are in the vicinity of active drills or fencing. Keep your eyes open and choose routes that are as out of the way of active fencing as possible. Never walk across a fencing strip used by two fencers.

    5. Never walk with your foil tip anywhere but pointing down to the ground.

    6. If you are doing drills or fencing another fencer, please be cognizant of obstructions behind him/her. You need to stop the bout and warn them if there is a bench/wall/person/equipment in the way.

    7. There is no running around (unless it is for warming up or is part of a game that is played in class) or horseplay. You cannot retaliate or hit another fencer hard on purpose during partner drills or fencing. If we observe any of this behavior, you will be asked to leave immediately.

    8. You must wear a full fencing uniform consisting of an approved mask, white jacket, plastron, chest protector (mandatory for female fencers), knickers (no exceptions), lamé and a glove. No shorts, jeans, sweatpants or leggings are allowed. Uniforms must be kept in clean and safe condition. Please ensure you are washing your whites weekly. Outdoor sneakers are not permitted, you should only wear non-marking, indoor sneakers that are exclusively used for fencing.

    9. Please notify the coaches if you have any medical conditions that will prevent you from fully participating in the classes and consult your doctor for medical clearance for any conditions/injuries.

    10. If you sustain any head injury in class, we ask that you immediately step away from the fencing class and consult a doctor. We will be following USA Fencing’s Concussion Protocol and will not permit you to re-enter class until you are medically cleared.

    11. No drugs or alcohol are allowed in the fencing club, no exceptions. If you are found to be under the influence of a substance, you will be asked to leave.

    12. Any damage incurred to Polaris Fencing Center’s equipment or facility due to negligence will be the financial responsibility of the person(s) who caused the damage.
  • I verify that I have read, understand and agree to be bound by the safety rules at Polaris Fencing Center. Furthermore, I understand that as in any athletic activity, there is a risk for injury from fencing and I (or my child) accept the risk willingly. I hereby release Polaris Fencing Center and all employees herein from all responsibility for injuries incurred and authorize Polaris Fencing Center to request medical treatment as necessary.

  • Membership, Class and Private Lesson Cancellation Policy

  • Please be advised that if you do not notify the front office of a lesson cancellation 48 hours prior to the scheduled lesson time, your lesson cannot be guaranteed to be rescheduled. Within 24 hours, the private lesson will not be rescheduled. Polaris Fencing Center’s policy is to have dedicated weekly private lesson time slots for each fencer according to their program package. This is done in an effort to reduce scheduling complications and administrative work from both sides. We do, however, understand that special circumstances occur and ask for a minimum 48-hour notice to allow us to update our schedules accordingly.

    Our membership termination policy for Polaris Fencing Center is that the cancellation goes into effect 30 days from the first of the following month. For example, if a fencer cancels their membership on August 15th, the fencer's club membership is valid until September 30th. The fencer will be subsequently charged for any applicable September class package fees.

    I understand Polaris Fencing Center’s membership and class cancellation policy. My lesson may not be rescheduled if 48-hour notice is not given. Refunds will also not be given for program fees and club memberships if termination occurs prior to the end date of the purchased program fees and club membership.

  • Payment Policy

    1. Program package and membership rates are not refundable or transferable. If a membership or program package is canceled prior to its expiration date, the remaining portion of the service will not be refunded.

    2. All returned check fees will be paid by the owner of the check.

    3. Annual, semi-annual and discounted college membership fees as well as quarterly/monthly program fees can be paid via personal check, cash, Zelle or credit card. Customers will incur a 3.75% credit card service fee if credit card is chosen as the preferred payment option.

    4. All members are required to have a credit card on file. If a member opts to pay with cash, check or Zelle, the fee is due by the 15th of the previous month for the following month's program fee.

      1. If payment via cash, Zelle or personal check is late, the member will be auto-charged on the 1st of the month via the credit card on file and will be responsible for incurred credit card processing fees.

    5. Any additional incurred charges such as: equipment rentals or repairs or can only be paid via cash, Zelle or personal check.

    6. Introductory fencers will only have the options of starting their package either the 1st or 15th of the month.

    7. During the transition from Introductory to the Pre-Competitive Programs, the child is required to (1) sign up for a club membership and (2) pay for the pro-rated Pre-Competitive fee (i.e., if a child is promoted to the Pre-Competitive Program the second week of the month, they will be charged 50% of the monthly fee for the Pre-Competitive Program).

  • I allow Polaris Fencer Center to use my likeness in a photograph in any and all of its publications, including website entries, without payment or any other consideration. I understand and agree that these materials will become the property of Polaris Fencing Center and will not be returned. I hereby irrevocably authorize Polaris Fencing Center to edit, alter, copy, exhibit, publish or distribute this photo for purposes of publicizing Polaris Fencing Center’s programs or for any other lawful purpose. In addition, I waive the right to inspect or approve the finished product, including written or electronic copy, wherein my likeness appears. Additionally, I waive any right to royalties or other compensation arising or related to the use of the photograph. I hereby hold harmless and release and forever discharge Polaris Fencing Center from all claims, demands, and causes of action which I, my heirs, representatives, executors, administrators, or any other persons acting on my behalf or on behalf of my estate have or may have by reason of this authorization. I am at least 21 years of age and am competent to contract in my own name. If I am not at least 21 years of age, I have the expressed written consent of my parent or guardian.

  • Competition Coaching and Club Representation Policy

  • 1. The fee structure for strip coaching at competitions is as follows:

    • Local and Regional competitions is $75.
    • For NACs/JOs/Summer Nationals, it is $100 per event.
    • Payment will be accepted only via cash or personal check.

    2. Any associated travel costs (including, but not limited to, airfare, hotel, gas/tolls, daily per diem, etc.) will be split proportionally based on number of events fenced per athlete attending said competition.

    3. If multiple fencers are fencing per event, coaches will make a reasonable accommodation to be present for as many pool/direct elimination bouts as possible. Priority will go to the first fencer who begins the round.

    4. All Polaris Fencing Center members are required to wear the patch on their white jacket to represent the club. Polaris Fencing Center must be the primary club listed in the fencer's USA Fencing account. Exceptions for secondary club representation (other than universities) will be evaluated on a case-by-case basis and will need verbal approval from the coaching staff.

    5. When representing Polaris Fencing Center at competitions, members are bound by the rules of fencing and by the USFA and USOPC codes of conduct, regardless of whether it is a local, regional, national or international competition. Any Polaris Fencing Center fencer who violates the rules and/or codes of conduct of Polaris Fencing Center, USA Fencing, SafeSport, FenceSafe or the USOPC is subject to disciplinary action up to and including expulsion.
