Please be advised that if you do not notify the front office of a lesson cancellation 48 hours prior to the scheduled lesson time, your lesson cannot be guaranteed to be rescheduled. Within 24 hours, the private lesson will not be rescheduled. Polaris Fencing Center’s policy is to have dedicated weekly private lesson time slots for each fencer according to their program package. This is done in an effort to reduce scheduling complications and administrative work from both sides. We do, however, understand that special circumstances occur and ask for a minimum 48-hour notice to allow us to update our schedules accordingly.
Our membership suspension and termination policy for Polaris Fencing Center outlines that the cancellation goes into effect 30 days from the first of the following month. For example, if a fencer cancels their membership on October 15, the fencer's club membership is valid until November 30. The fencer will be subsequently charged for any applicable November package fees. If a monthly program credit needs to be issued, we will only credit for future months and will not refund previous month's payments.
Polaris Fencing Center reserves the right, in its sole discretion, to suspend or terminate a Member’s membership at any time for cause, including but not limited to repeated violations of Polaris Fencing Center policies, rules of conduct, safety guidelines, or failure to comply with instructions from staff, coaches, or officials. Grounds for termination may also include behavior deemed by Polaris Fencing Center to be disruptive, unsafe, unethical, or detrimental to the well-being, reputation, or operations of the fencing club or its members. In the event of termination, the Member shall forfeit any unused fees, dues, or prepaid amounts, unless otherwise required by applicable law. Termination decisions shall be final, and Polaris Fencing Center is not obligated to provide an appeals process or hearing prior to or following termination.
Repeated failure to attend scheduled group classes and/or private lessons, including no-shows or late cancellations, may be grounds for suspension or termination of membership. This includes reserving private lesson times and failing to use them, canceling without required notice, or otherwise preventing other Members from accessing coaching or training resources.
Polaris Fencing Center reserves the right to establish and enforce attendance expectations, cancellation policies, and minimum participation standards for group training and private lessons. Persistent non-attendance, abuse of scheduling privileges, or failure to comply with posted policies may be deemed conduct detrimental to the Club’s training environment and operations. At Polaris Fencing Center's discretion, such conduct may result in forfeiture of unused lessons or fees, loss of scheduling privileges, suspension, or termination of membership, without refund, except as required by applicable law.
