  • This agreement is between H&N Dispatch LLC and an independent freight dispatcher.

    The purpose of this agreement is to outline the procedures and guidelines for the independent freight dispatcher to efficiently manage the manager carrier to ensure smooth coordination between the driver, broker, and shipper.

    Responsibilities of the independent dispatcher.

    Dispatching coordinate and schedule. Of all assigned trucks. To customer-specific orders and transportation requests.

    Maintain regular communication with drivers. Carrier, brokers, shippers, and H&N to ensure timely updates and smooth operation.

    If the driver requests, plans, and optimizes the truck route to minimize fuel consumption reduce transit to ensure on-time delivery.

    Address customers’ concerns and complaints promptly with professionalism striving for the best customer satisfaction.

    Maintain accurate records of dispatched activity, Driver assignment, delivery details, and others. relevant information for the delivery.

    Before dispatching 

    Do broker checks with each driver factoring company before dispatching.

    Review order rate confirmation obtained shipment details from the broker including delivery address and contact information in any Special Instructions.

    Ensure the driver/carrier has met all legal requirements to haul each dispatched load.

    Confirm with the driver/carrier the ability and acceptance of the load before confirming with broker/shipper.

  • Dispatching the load

    Review all relevant pickup and delivery details with the driver.

    Upload all paperwork. rate con, BOL to TMS system ASAP.

    Keep constant communication between yourself broker, the driver, and H&N for the life of the load

    In case of delays, breakdowns or other issues, work with the driver and broker to find a suitable solution and inform H&N promptly.

    Once the load has been delivered upload BOL up into the TMS system and send it to the driver factoring company immediately.

    Reach out to the broker to make sure there is no customer service issues that need to be addressed.

    Emergencies

    The dispatcher is responsible in contacting the H&N, broker, and shipper even if the driver says he will.

  • H&N Dispatch LLC Agreement for Contracted Dispatcher 
    1. RECITALS
    This agreement was made as of this      day of      (month), 202         by and between H&N Dispatch LLC. hereinafter referred to as H&N      (Contact Name) hereinafter referred to as Contract Dispatcher. 
    As a contract dispatcher, you will be responsible for the following: 

    • Dispatching current and new clients signed on with H&N?
    • Communication with drivers
    • Confirming all loads 
    • Completion of carrier packets when needed
    • Submitting your invoice for payment to H&N 
    • Perform admin duties and maintain organization
    • Must always remain professional when representing H&N


    2. COMPENSATION
    Contract dispatchers signed on with H&N will be paid as follow Dispatchers earn the following: 

    • Box Trucks are charged 10%. (Dispatchers pays H&N 5%)
    • Dry Vans are charged 7% (Dispatchers Pays H&N 3.5%) 
    • Hot Shots are charged 7% (Dispatchers Pays H&N 3.5%) 
    • A carrier you bring on to; are entitled to keep carrier if you leaves H&N
    • You will be paid weekly after all your carriers BOL's have been proceeding
    •  All loads must be entered and emailed to H&N daily at the time it is confirmed, pickup and dropped
    • Contract dispatcher will plan to be accessible for any carrier dispatched 
    • Contract dispatcher will receive 1099 at the end of the year. 
    • You must communicate schedule and time off to H&N in a timely matter.

    3. CONFIDENTIALITY

    • All information at H&N is confidential. You are not to talk about the loads or drivers at any time with anyone. 
    • H&N requires all contract dispatchers to work with us for 6 months from your start date above or a written notice of at least 7 days before starting your own dispatch business. 
    • At no time can you pursue H&N clients while working with us. If you are found doing so your contract will be void and the dispatcher may be asked to pay a percentage of all loads booked with said client for a period of a year. Any drivers you bring on to H&N, you may take with you of leaving H&N to start your own dispatcher service.

    4. OBLIGATIONS OF DISPATCHER

    • Dispatcher agrees to handle paperwork, phone, email and fax to and from the Broker or Shipper to tender commodities or shipments to Carrier for transportation in interstate commerce by Carrier between points and places within the scope of Carrier's operating authority. 
    • Dispatcher bears no financial or legal responsibility in the transaction between the Shipper, Carrier agreement. 
    • Dispatcher will: Make a 100% effort to keep Carriers truck(s) loaded. Carrier will be contacted about every load we find offer, and the driver will Accept or reject the load. Invoice the Carrier at time of service, also provide a copy of each load Confirmation Sheet, Carrier is being billed for. H&N Contract Dispatcher hereby consent to and agree to submit to the jurisdiction of the Federal and state courts located in your location in connection with any claims or controversies. arising out of the Agreement.   • Daily Responsibilities

    1. Any driver you have not booked for a load from the night before, contact the driver and let them know your plan for finding a load for them

    2. Call or text me your game plan for today

    3. After the first two hours, of unsuccessful brooking a load for your carrier. Notify me about any difficulties A. We may need to consider increasing Deadhead miles B. May have to consider two or more partial loads vs one C. You can have to reach out to previously used brokers D. We may be forced to have other team members assist

    4. You will need to sign your carrier up with local / regional brokers and Shippers

    5. You need to call 5/10 new carriers each day to recruit new carriers trying to build your team of carriers to 5 or more

    6. You must key all required information into the TMS prior to carrier picking up the load and, updating load throughout the load process. A. This is necessary in order for you to get paid in a timely manner and for me to bill carriers

    7. Anytime I have to update in TMS for you will reduce your percentage rate for that load
