• VAE Equipment Loan Consent Form

  • The purpose of this agreement is to clarify the conditions upon the loan of electronic equipment from Aerobility, for use with your Virtual Aviation Experience.

Before being sent, Aerobility will ensure that the equipment is in full working order. It will then be posted using a trusted tracked delivery service. Once in your possession you are responsible for the equipment until posted back to Aerobility.

To receive loan equipment, you must understand and agree to the following policies:

    • Electronic equipment loaned for the use of VAE may be borrowed for a maximum period of 8 weeks. However, you should normally take no longer than 1 month to complete your course. Your equipment must be returned either at the end of your course or ahead of this 8-week period regardless of whether you have been able to complete the course. If something happens outside of your control that means you will not be able to make this deadline you MUST contact the Virtual Services Manager before your loan period ceases.

    •   The loan period begins the day of receipt of your equipment. Once you have completed your VAE course, you will be contacted to begin return arrangements. It is your responsibility to keep a track of your course progress and ensure that you arrange sessions before the loan period expires.

    • All postage fees associated with the equipment will be covered by Aerobility. If you choose to arrange your own postage, you will not be reimbursed.

    • The registered VAE Participant (or participant’s parents/guardians if under 18 years of age) will accept full financial responsibility for any damage or loss of the equipment whilst in their possession. Failure to return the equipment by the end of the 8-week loan period will result in a charge to cover the replacement cost of the equipment. Laptops will be charged at £500 and Joysticks will be charged at £100 each. Upon return, if the equipment is deemed unusable due to damage caused by neglect, careless handling or improper care, then the participant/participant’s parents/guardians will be held responsible financially for any repair costs.

    • We ask that you immediately report any accidental damage to the Virtual Services Manager. If there is failure to report damage, and the equipment is deemed unusable on return, then it will be assumed that the damage was caused due to negligence. When preparing for a return we ask you ensure to use all of the original packaging and seal the box securely for it’s return.
