Event Name: The Hive Holiday Market
Event Location: 101 N. Caraway Road, Centennial Hall Ballroom, Located inside of Arkansas State University’s Reng Student Union | Jonesboro, AR
Event Dates: Set-up: Friday, December 13th, Time to be emailed at a later date
Show Hours: Saturday, December 14th, 10:00 am – 9:00 pm
Girls Night Out: Saturday, December 14th 5:00 pm-9:00 pm
Sunday, December 15th, 11:00 am – 5:00 pm
Sunday, December 15th: Fashion Show time TBD
Booth Requirements:
All booths must be set up by 9:30 am on Saturday, December 14.
Booth spaces will be clearly marked, and vendors must keep all display items, merchandise, and staff within their defined space.
1. Vendor Fees and Payment Terms
● Once approved, all applications must have full payment to hold their space. Without this, booth space will not be reserved. Merchants will be emailed an acceptance email with payment information. You may pay by square/credit card or Venmo. We ask that you submit how you would like to pay with your vendor application and we will send payment details to you according to your preferred method.
● Payment Deadlines:
o A $25 late fee will be assessed if payment is made after November 15, 2024.
o Reservation may be forfeited at the organizer’s discretion after December 1, 2024, if payment remains unpaid.
● Refund Policy: Any paid booth fees are non-refundable.
● Additional Fees:
o A $25 fee if payment cannot be processed.
2. Booth Setup and Display Rules
● Booth Placement: This is a juried event. Vendors must submit 2-3 photos plus social handles and/or website, which will be evaluated based on:
o Application date
o Product quality and ability to be unique and different
o Limiting duplicate vendors to provide a varied shopping experience
● Vendors may only bring products that have been submitted in the application. If there are products in any vendor booths not submitted, you will potentially be asked to remove them.
● New categories must be submitted for approval if added after the original application.
● Space Limitations: Vendors must remain within their marked booth spaces, including all merchandise, displays, and staff.
● Signage/Display Restrictions: No external brochures, flyers, or advertisements for other events will be allowed without prior approval from The Hive Boutique Markets.
● Family-Friendly Environment: The organizer reserves the right to remove any exhibitor or product that is deemed distasteful. Vendors may also be removed for inappropriate conduct or violation of event rules. We strive to provide a fun and festive shopping experience. No music to be played in vendor booths as the event will be providing this to provide a holiday atmosphere.
● Booth Decorating: Vendors are encouraged to use holiday decorations to make their booths festive and inviting for holiday shopping!
Note: This is not a craft fair. This is a boutique show, which provides a more upscale shopping experience and we encourage vendors to present their booths in such a way that is visually pleasing and appealing to shoppers. This may include but not limited to fun backdrops, balloon garlands, signage, interesting displays, rugs, and décor neatly sorted and organized to make your booth appealing and inviting.
3. Permits and Licensing
● Sales Tax Compliance: Vendors are solely responsible for collecting and reporting Arkansas sales tax. Sales tax forms will be provided by The Hive Boutique Markets and must be turned in at the show.
4. Health and Safety Guidelines
● Safety and Display Restrictions: Vendors are responsible for ensuring the safety of their displays. Nothing can be hung on or attached to the convention center walls.
5. Insurance and Liability
● Liability Waiver: The Hive Boutique Markets will not be held responsible for bodily injuries or property theft or damage that occur within a vendor’s booth space. Vendors are responsible for the safety and security of their own booths and displays, as well as the contents of your booth.
6. Event Rules and Regulations
● No Early Tear Down: All vendors must remain in their booths during the designated show hours. Early tear-down is not allowed.
● Marketing/Promotion Guidelines: The Hive Boutique Markets will launch a comprehensive advertising campaign through digital and social media platforms. Vendors are encouraged to promote the event through their own social media and marketing channels to help drive attendance and ensure the event’s success. Please follow us on social media and SHARE our posts with your followers!
7. Vendor Conduct and Responsibilities
● Conduct Guidelines: The Hive Boutique Markets reserves the right to remove vendors for contentious conduct or for violating any event rules. The event must remain family-friendly, and all vendors are expected to act in a professional manner.
● Transactions: The Hive Boutique Markets will not be involved in collecting any payments for products. All transactions between vendors and customers are the sole responsibility of the vendor.
● Vendors should not consume any alcoholic beverages during any events where alcohol is being distributed. Alcohol is for attendees only.
● Each Vendor must submit at least ONE door prize. You are welcome to submit more. This will help to feature and promote your business during the show. We ask you to have your door prize(s) ready when checking in.
● We would love for you to participate in our swag bag! Guests will receive a swag bag during VIP shopping and Girls Night Out shopping. You can provide 1-5 small and fun items to help fill up our guest shopping bags with cute items from vendors! This is to encourage shoppers to arrive early and get some amazing prizes!
● Vendor Move In and Load Out: Vendors will be emailed instructions for move in times. Load out will occur after event closing and all vendors must remove all contents of their booths including trash after closing the last day of the show.
8. Dispute Resolution and Governing Law
● Jurisdiction: The contract is governed by the laws of Arkansas, and any disputes will be resolved in accordance with local laws.
9. Force Majeure
● The Hive Boutique Markets is not liable for event cancellations or changes due to unforeseen circumstances (e.g., weather, natural disasters, public health emergencies). No refunds will be provided.
10. Miscellaneous Provisions
● Confirmation of Participation: Submission of the application implies consent to the terms of this contract. Vendors will assume confirmation of their participation upon successful payment after placement.
