Liability and Responsibility Disclaimer
By participating in The Union Horse Expo, vendors affirm they are solely responsible for their property, products, and transactions. The Union Horse Expo organizers and venue owners are not liable for any loss, damage, injury, or liability, including personal injury, occurring at the event. Vendors are responsible for complying with all applicable local laws, permits, taxes, and regulations, and participation does not guarantee sales or financial outcomes.
Indemnification: Vendors agree to indemnify and hold harmless The Union Horse Expo organizers, the venue, and all affiliated parties from any claims, damages, or legal actions resulting from their participation. Vendors and private sellers also assume responsibility for any damage they may cause to the venue or others’ property.
Event Venue and On-Site Services: The event venue is independently managed, and the organizers are not affiliated with venue operations. Food truck(s), petting zoo, and other activities may be available, all operated independently of the event.
Event Modifications, Weather, and Refunds:
The Union Horse Expo organizers will make every effort to provide a rain date in case of inclement weather. However, if conditions are unsafe or too severe to reschedule, the event will be canceled, and full refunds of vendor fees will be provided. Please note that if vendors or private sellers choose to voluntarily cancel their participation at any time, no refunds will be issued.
Payment and Fee Policy:
All vendor fees must be paid in full by January 11, 2025. Accepted payment methods include cash, Venmo, CashApp, Zelle, Paypal, and Square. Late payments may result in forfeiture of your reserved space, with no guarantee of reallocation. Please note that all fees are non-refundable in the event of a vendor-initiated cancellation.
Space Assignment and Usage:
Vendor spaces are assigned by the event organizers based on availability and logistical needs. Vendors are responsible for maintaining their designated space and keeping it within the assigned boundaries. Unless otherwise specified, spaces do not include tables, tents, or electricity; vendors are encouraged to bring any necessary setup materials. Please let us know in advance if you have specific space or electricity needs.
Set-Up and Tear-Down Guidelines:
Set-up is allowed between 8:30 - 9:45 AM, and vendors must be fully prepared by 9:45 AM. Tear-down begins at 5:01 PM (unless otherwise discussed prior to event), and all vendors are expected to vacate the space by 6:15 PM. Vendors are responsible for cleaning up their area entirely, leaving no debris or waste. Any vendors who fail to properly clean or who damage the property may be charged additional fees or will be banned from future events.
Photo/Media Release:
By participating in The Union Horse Expo, vendors grant permission for photographs or video footage of their displays, products, and/or likeness to be captured by event organizers and used in promotional materials, social media, or other marketing initiatives without additional compensation or notification.
