Terms and Conditions for Free Event Booth Exhibitors
1. Agreement to Terms By signing up as a free event booth exhibitor (hereinafter referred to as "Exhibitor") for Women Well-Being Health Fair (hereinafter referred to as "Event"), the Exhibitor agrees to abide by these Terms and Conditions.
2. Booth Assignment and Display Regulations
Native Healthcare Center will assign booth spaces. The assignment is at the sole discretion of the Event Organizer, and consideration will be given to the exhibitor's needs and space availability.
The Exhibitor must ensure their display is neat, professional, and confined within the designated booth space.
No alteration to the booth space is allowed without prior approval from the Event organizer.
3. Setup and Dismantling
Exhibitors are responsible for setting up their booths by the designated setup time and dismantling them at the designated closing time of the event.
Exhibitors must ensure the area is left clean and orderly. The exhibitor is responsible for any additional cleaning charges incurred due to neglect.
4. Prohibited Activities
No sales transactions, raffles, or distribution of promotional items are allowed without prior written approval. Exhibitors may not engage in loud activities, including music or sound amplification, which may disturb other exhibitors or attendees. Exhibitors are prohibited from displaying any materials that may be offensive or inappropriate, as deemed by the Event Organizer. Alcoholic Beverages are prohibited
5. Liability and Insurance
Exhibitors participate at their own risk. The Event Organizer is not liable for any loss, theft, damage, or injury to any person or property that may occur during the Event. The Exhibitor agrees to indemnify and hold the Event Organizer and venue harmless from any claims arising from their participation in the Event.
If applicable, the Exhibitor is encouraged to obtain insurance coverage for their participation at the Event.
6. Compliance with Laws and Policies
Exhibitors are required to comply with all applicable local, state, and federal laws and venue policies and regulations.
The Event Organizer reserves the right to remove any Exhibitor who violates these Terms and Conditions or any applicable laws and policies.
7. Changes and Cancellation
The Event Organizer reserves the right to change the Event date, location, or layout at any time. If the Event is canceled, the Event Organizer will notify Exhibitors as soon as possible.
8. Photography and Media Release
By participating in the Event, Exhibitors consent to the use of any photos, videos, or media taken during the Event by the Event Organizer for promotional or marketing purposes without any compensation.
9. Termination of Participation
The Event Organizer reserves the right to terminate the participation of any Exhibitor who fails to comply with these Terms and Conditions or engages in inappropriate or disruptive behavior.
10. Acceptance of Terms
By participating as an Exhibitor at the Event, the Exhibitor acknowledges that they have read, understood, and agree to comply with these Terms and Conditions.
