  • TERMS & CONDITIONS OF RENT

    SPACE APPLICATION FEES

    Inside Space sold in 3m x 2m sites $50.00 

    Outside Space sold in 4m frontage sites $50.00

    Food Court $50.00 per site

    STALL HOLDERS SELLING FOOD & DRINKS

    All food sellers  owner or operator are required to notify Lithgow City Council by completing the approved form prior to the commencement of operations.   

    Depending on where and when you intend to operate your mobile food van, etc approval under Section 68 of the Local Government Act 1993, Environmental Planning and Assessment Act 1979 or Lithgow City Council Policies may also be required prior to commencing operation.

    Relevent notification and application forms can be found on the Lithgow City Council Website.

    The completion of the food business notification form and any subsequent application forms should be submitted to Council with the relevant fees a minimum of 7 days before the event.

    All operators of mobile food vans and sites within the Lithgow LGA may be subject to regular inspections from Council’s Environmental Health Officers to ensure requirements under the Food Standards Code and the Food Act 2003 are being met

     

    INSURANCE

    In addition to the space rental there is a compulsory Insurance Charge of $25.00 being for Public Liability. This payment is not required if stallholder carries their own insurance with an approved APRA insurer and has provided copy with Space Application. It is the responsibility of the stallholder to insure themselves against all other risks.

    CANCELLATION POLICY

    If any space is cancelled, a cancellation fee of $50.00 will be charged and deducted from the fee already paid and a refund of the balance will only be paid if the space is later sold. The Show Society holds the right to prevent the sale of products for various reasons and to terminate the stallholders space if the stallholder is abusive or violent with no refund of rent. MISCONDUCT WILL NOT BE TOLERATED.

    PAYMENT OF SPACE APPLICATION

    An Invoice will be sent for all Approved Space Applications for payment. The Invoice must be paid in full by the due date shown on the invoice to the Show Society to reserve your space or your space application will be forfeited.

    STALL HOLDER WRISTBANDS

    Each paid Space Application will receive two (2) Stallholder wristbands per day for workers on stall

    EXTRA STALL HOLDER WRISTBANDS

    Extra stall holder wristbands may be purchased @ $5.00 each (for workers on stall only) and at the discretion of the Treasurer or Secretary.

    STALL HOLDER VEHICLES

    All Stall Holder Vehicles are to be off site by 12.30pm Friday and 9am Saturday. Unless you have arranged to keep your vehicle with your allocated outside stall space.

    All vehicles must display their vehicle permit on their front dashboard with a mobile number to the key holder of the vehicle.

    THERE IS TO BE NO VEHICLE MOVEMENT BETWEEN 12.30PM-10PM FRIDAY AND BETWEEN 9AM-10PM SATURDAY UNDER ANY CIRCUMSTANCES. 

    (EMERGENCY SERVICES, MEDICAL AND SECURITY EXEMPT)

    OPERATING OUTSIDE ALLOCATED SPACE AREA

    All Space Holders must operate and display their goods within the confines of the area allocated to them. This also includes the handing our of pamphlets. Any contravention to this regulation could result in the cancellation of their space with NO REFUND of any fees paid.

    RAFFLES OR BUSKING

    NO RAFFLES OR BUSKING PERMITTED without prior approval from Show Society.

     

    All occupiers of space on the Lithgow Showground are expressly prohibited from operating any service or equipment which may cause damage to any building, roadway, grasses, and the like an to refrain from causing undue noise to emanate their area. Any contravention of this rule will render the occupier liable to have their tenancy cancelled immediately with NO REFUND of any fees paid and will automatically forteit their rights to rent space at the following years show. Their details will be forwarded to the Lithgow Council for further action at their discretion.

    Samurai Swords, English Swords and Fencing Swords are to be sold in Sealed Packages by Licensed Traders ONLY
