Lewisburg Arts Festival Application

Lewisburg Arts Festival will be held on Saturday, April 26, 2025. Market Street and Third Street will both be open to pedestrian traffic only, giving you an excellent opportunity to show and sell. Past events have drawn over 10,000 attendees.

NEW in 2025, the Festival hours will be changing to 9am to 4pm. This change is in response to vendor feedback to allow more time at the end of the event to dismantle your display prior to the road opening at 6pm.

The Festival is held rain or shine and all vendors are expected to remain open for the duration of the event. 

A non-refundable fee of $25 is required when submitting your application. If you are selected as a vendor we will contact you for your booth payment.

Food and Beverage Vendor Application deadline is January 31, 2025.

No late applications will be accepted.

2025 Lewisburg Arts Festival Guidelines

ELIGIBILITY

All food vendors, non-profit and commercial, are invited to apply to the Lewisburg Arts Festival. Priorities for space will be reviewed based on past participation, date of receipt of fully executed application, payment, and type of product/item. We strive to have a variety of food choices. The Lewisburg Arts Council Food Vendor committee will determine the types of food that will be offered based on applications received.


Vendors who do not show without prior written communication with the LAC may not be accepted to participate in future LAC events.

FESTIVAL LAYOUT

Food Courts are located throughout the Festival. All spaces will be assigned by the Lewisburg Arts Council Festival Committee. While written space requests will be considered, placement will be at the sole discretion of the committee.

FOOD & BEVERAGE VENDOR REQUIREMENTS

• A current Certificate of Insurance is required for all vendors naming the Lewisburg Arts Council as an additional insured and covering the date of the festival.
• All food vendors must be ServSafe certified.
• Food booths and food trucks may sell food and beverages only.
• All equipment (booth, water, ice, etc.) must be provided by the food vendor.
• The Lewisburg Arts Festival does not provide electricity or WiFi.
• A photograph of the food vendor set-up is required for all vendors regardless of past participation.
• It is suggested all booths consist of 2 sides and a backdrop as well as some type of overhead protection as the Festival is held RAIN OR SHINE.
• Booths may not be staked down but instead must be secured with sandbags or similar weights. Any variations must be approved by the committee.
• The Lewisburg Fire Department has a Fire and Life Safety Ordinance within the Lewisburg Boro. Any booth requiring power to their booth/truck or cooking on site will need inspection.
• All hitched food trucks must be disconnected from their vehicle and vehicles must be parked in the designated parking area.
• New this year: All food vendors will pay a $25 application fee. 
• New this year: Similar to artists, prime vendor locations including corner spaces will have an increased price, this will include the first spot(s) entering each food court from Market Street.

WEATHER

This Festival will not be canceled because of inclement weather.  This is an outdoor event; be prepared for any type of weather. NO REFUNDS will be issued if you close your booth/stand due to inclement weather.

We will promote participating vendors through our website and social media channels. Website and social media accounts will not be used for the purpose of jurying vendors.

All food vendors, by law, must have this certification. Food vendors should expect inspection of food operations by the PA Department of Agriculture.

We use this information to select and place vendors so there is limited competition and similar vendors are not near one another. If you bring items that are not included on your application you may be asked to pull them from your menu the day of the event.

Generators are not allowed on Market Street.

• Single booth spaces are 10’ x 10’.
• Double booths are 10’ deep x 20’ wide.
• Triple booths are 10’ deep x 30’ wide.

All spaces have approximately 3’ between vendors. Vendors who take up more space than they have paid for will be billed for the additional space.

Please let us know which size you are interested in. If your entry is accepted, you will receive a notification by February 20. DO NOT SEND BOOTH PAYMENT AT THIS TIME.

If accepted, you will receive information on how to to pay the balance listed below. Total cost has stayed the same as previous years, booth prices have been changed to reflect the $25 application fee.

Please let us know if you would like a prime corner space. Prime corner spaces are located at the entrance of food courts along Market Street. If your entry is accepted, you will receive a notification. DO NOT SEND BOOTH PAYMENT AT THIS TIME. Prime spaces are limited, booth requests are not guaranteed.

If you have a food truck, please tell us which side the service window is on.

Please submit an image of your vendor space or food truck. This image will be used in the selection process and help us in the booth layout process. Please submit a .jpeg, .jpg, or .png file.

EVERY food vendor is required to submit a Certificate of Liability Insurance. There are NO exceptions. Must cover the date of the Festival and have "Lewisburg Arts Council" listed as an additional insured. Do NOT list Lewisburg Arts Festival as the additional insured. 

Booth numbers and locations may change from previous years due to possible changes in the layout. We do our best to accommodate booth requests, but requests are not guaranteed. Every booth location is guaranteed to present your work to thousands of attendees. If you have any special needs or requests please let us know here.

Pursuant to local ordinances 1071 and 1072, designating the 2018 International Fire Code for fire and life safety protection, inspection of food stands, food trucks and trailers is mandated prior to operation within the Borough of Lewisburg.

Tents/stands will need to be inspected the day of the event. Cost is $10.

Food trucks/trailers will have the option of being inspected ahead of time (preferred), must be inspected once per calendar year. Cost $35.

The following list is provided to prepare the owners and operators for inspection of TENTS/STANDS:

GENERAL

• A copy of this inspection shall be posted in the food booth and signed by the vendor.
• Tents containing seating can be subject to additional requirements.
• All operating in the food booth must be trained in proper use of fire extinguishers, proper method of shutting off fuel sources, proper procedure for notifying the fire department.
• A method of communication to emergency personnel shall be accessible to all employees (cell phone, charged and with service, meets this criteria).
• Food booths to have clearance of at least 20 feet on two sides. Booth shall not be within 10 feet of any rides or devices. No cooking that produces sparks or grease-laden vapors within 20 feet of a structure.

FIRE PREVENTION

• Sidewalls, drops and tops of tents and canopies to be of flame resistant material or treated with a flame retardant in an approved manner. NFPA 701 tag.
• No smoking within the food booth or within 25 feet of any fuel source.
• No deep fat fryers in tents; must be outside and at least 18 inches from the tent wall. In conjunction with a BBQ, must be at least 3 feet away from the BBQ.
• Flammable-liquid-fueled equipment not to be used or stored in tents.
• Generators minimum of 20 feet from tents or canopies and isolated from contact with the public by fencing, enclosures or barrier. Refueling of hot generators not allowed.
• LPG (Propane) fuel tanks stored outside and away from public access. LPG containers less than 500 gallons minimum of 10 feet from tents; greater than 500 gallons at least 25 feet from tents. Fuel tanks secured from falling.
• Portable LPG containers, piping, valves & fittings, located outside and to fuel equipment inside a tent to be adequately protected to prevent tampering, damage by vehicles or other hazards and in approved location. LPG containers secured to prevent unauthorized movement.
• All gas stoves, BBQs and burners shall be listed by Underwriters Laboratories (UL), Factory Mutual (FM), American Gas Association (AGA), or other acceptable listing agency.

COOKING

• Outdoor cooking that produces sparks or grease-laden vapors shall not be performed within 20 feet of a tent or membrane structure.
• No cooking and heating equipment within 10 feet of tent exits or combustible materials. Warming of foods and cooking demonstrations using solid flammables, butane or other similar devices which do not pose an ignition hazard, are approved.
• Barbecues not permitted within food booth. Fuel for the BBQ kept at least 10 feet away from the BBQ. BBQs located at least 20 feet from a structure or combustible materials. BBQs and other open flame devices located outside to be secured from falling and contact by the public.

FIRE EXTINGUISHERS

• A portable fire extinguisher shall be provided for each food booth, inspected within 12 months. The minimum size for the extinguisher is 2A:10BC (5 lb “ABC”). If a deep fat fryer is used, a minimum 1.5 gallon Class “K” extinguisher shall also be provided.

Food trucks/trailers will have the option of being inspected ahead of time (preferred), must be inspected once per calendar year. Cost $35.

The following list is provided to prepare the owners and operators for inspection of FOOD TRUCKS/TRAILERS:

FIRE PROTECTION

• If cooking equipment produces grease-laden vapors, a Type I kitchen exhaust hood with automatic fire-extinguishing system is required.
• At least one 2A:10BC (class “ABC” 5 lb dry chemical) fire extinguisher and one 1.5 gallon class “K” fire extinguisher are required for up to four fryers with a medium capacity of 80 pounds.
• Gas appliances must be secured and connected to fuel piping with an appliance connector complying with ANSI Z21.69/CSA.
• If the appliance is on casters, it must be restrained.
• Cooking oil storage tanks must not exceed 120 gallons and be properly secured against spills.
• Individual-capacity nonmetallic cooking oil storage tanks must be listed for their use and cannot exceed 200 gallons.
• Cooking oil tanks must be vented.

MAINTENANCE

• Exhaust systems cleaned regularly.
• Fire extinguishers inspected annually.
• Automatic fire-extinguishing systems serviced; inspected at 6 month intervals.
• Electrical devices properly maintained; not modified or damaged.

LIQUID PETROLEUM GAS (LP; Propane)

• LP gas containers must meet NFPA 58 design requirements; securely mounted and restrained.
• LP gas containers and piping must be inspected annually and labeled by an approved US DOT inspection agency.
• Must have a listed LP gas alarm in the vicinity of LP gas components.

COMPRESSED NATURAL GAS (CNG)

• CNG containers must be properly secured.
• Piping, including valves and fittings, must be protected from tampering, mipact damage, and damage from vibration.
• When CNG containers and systems are used to supply fuel for cooking as well as transportation, they must be installed in accordance with NFPA 52.
• A listed methane alarm must be installed within the vehicle (where CNG is used), in accordance with the manufacturer’s instructions.

The undersigned does hereby release, forever discharge, and hold harmless the Lewisburg Arts Council from all actions, suits, damages or claims whatsoever arising from any loss or damage to any property of the undersigned while in the possession or supervision of the Festival, its agents, representatives or employees and hereby consents to enforcement of all Festival rules. The undersigned understands that the submission of work to the Lewisburg Arts Festival and its sponsor, The Lewisburg Arts Council, constitutes an agreement of conditions set forth herein, considers this application a commitment to show and realizes that no refunds will be made for cancellations after 3/31/2025.

I acknowledge that I have read the conditions of entry and that if my work does not conform to the regulations and/or is misrepresented in my descriptions or images, or if I violate any of the Festival rules, the Committee reserves the right to request removal of objectionable items or to terminate my reservation without refund. If I am asked to leave for any reason, I will do so. No refunds will be issued if you close your booth/stand due to inclement weather.

Decisions of the Lewisburg Arts Council committees are final and binding.

The Lewisburg Arts Council is a 100% volunteer run organization. Our volunteers work hard to make your Arts Festival experience a positive one. We kindly ask for your patience in receiving responses to your email inquiries.

You will receive an email from the Food and Beverage Committee by February 20th with our decision. If you are accepted, you will then receive information about paying your booth fee.
