  • Flights

  • As a courtesy to our retailers, AWG books and pays for flights for our retailers to attend the show within the following parameters:

    • Airfare is limited to 2 people per equity group. AWG pays for airfare up to $399 per round-trip flight. Airfare for additional attendees and/or flight charges over $399 will be charged back to the store. All flights are subject to management approval.
    • Airfare is provided for retail members who are traveling more than 300 miles to OPCC. Please note that for some cities, it may be easier and quicker to drive than to fly.
    • Flights are provided as a courtesy. Our preferred airline is Southwest. If you prefer to fly with a different airline, any cost differences will be charged back to your store.
    • The Spring Show ends at 12:00 p.m. on Thursday, February 6th. Departure flight times will be booked after 2:00 p.m.
    • Once your flight is booked, you will receive an email confirmation immediately. We can make changes to the flight within 24 hours without penalties. Any requested changes after 24 hours will result in any additional fees incurred to be charged to your store.
    • Cancellation of a non-refundable flight will result in the flight cost being charged to your store. Any additional charges incurred for changes made after a flight ticket has been issued will be your responsibility.
    • Airline credits from flight cancellations belong to AWG for future use, not the retailer.  Usage of any flight credit will be charged back to the store. 
    • Please note: AWG does not schedule or provide transportation between the airport and hotels. Instead, we provide a $125 transportation credit per equity group.

    Registration deadline is December 13, 2024. Flight requests submitted after the deadline will result in a charge back to your store for the cost difference or above the $399 maximum.

  • When you complete your registration and hit "Submit", your confirmation will have links to available hotels.

    If a hotel is not included on the confirmation or is listed as "SOLD OUT", then it is no longer available.

    Please note that a credit card is required to reserve your room. The credit card will only be charged if you alter reservations or fail to cancel by required date. Deadline dates varies by hotel (typically 48 hours prior to check-in) and will be noted on your confirmation.  Book your rooms early for best availability!

    Any changes or cancellations of reservations must be done directly with the hotel.

    AWG pays for hotel room and tax charges for retailers as follows:

    • 2 rooms per equity group
    • Up to 2 nights
    • Retailers living outside a 150 mile radius of Overland Park

    Any additional nights or rooms will be charged back to your store.

    Please note that hotel availability is based on a first come, first reserved basis. We have a limited number of hotel rooms at each property. AWG will only pay for rooms reserved in our blocks at our negotiated rate.

  • By clicking submit, you agree that you have read and understand AWG's travel policies including hotel and flight cancellation fees, chargebacks, etc. AWG will charge the store for violations of these policies.

    If you are requesting a flight, please make sure you verify all information submitted on your confirmation. If you have any changes that need to be made, please email vmc_show@awginc.com. AWG will chargeback charges incurred from incorrect information.

    If you do not receive an email confirmation of your selections, please check your spam folder. To ensure email delivery to your inbox, please add "vmc_show@awginc.com" to your address book or safe list.
