The City of Sequim invites local non-profit organizations to apply for table space within the Guy Cole Center at Carrie Blake Park as part of the 2025 Sequim Sunshine Festival. Organizations will occupy a non-profit station for a two- or four-hour period and provide a free family-friendly activity.

Saturday, March 8, 2025, 10 AM - 7 PM

Carrie Blake Park, 202 North Blake Avenue, Sequim, WA

Indoor space is limited and will be located adjacent to the Sunshine Market inside the Guy Cole Center Breakout Room at Carrie Blake Park. Each accepted organization will have a two-hour period of operation (assigned at random).

Outdoor space will be located east of the Guy Cole Center in the grassy area near the dog park and will be available for a four-hour period of operation (noon-4PM) weather permitting.

No fee is required, but a free family-friendly activity must be provided and facilitated by each non-profit organization. Tables and chairs will be provided.

Applications submitted by December 13, 2024 will be juried by the Sunshine Festival Committee for acceptance by the City. The Committee may accept or reject any applicant, at their discretion.

Notification of acceptance of your application will be sent by mid-January 2025. You will receive additional information, parking pass, booth location, and time slot assignment in mid-February 2025.

IMPORTANT: City acceptance of your application establishes certain mutual rights and responsibilities. By completing this application, you are certifying under penalty of perjury, under the laws of the State of Washington, that the information you provided is true and accurate to the best of your knowledge and belief, and that you will comply with all non-profit organization guidelines.

Organizers will be assigned a two- or four-hour shift depending on location. Organizers should be ready to begin their activities at their assigned time and man their station during their entire shift.

Organizers are responsible for their own set-up and tear-down. The site manager will help you find your assigned area but will not otherwise assist you.

Two tables and two chairs will be provided. Organizers are responsible for their own displays and signage, and any additional chairs needed.

The entire perimeter around the Guy Cole Event Center is a loading zone. Organizers are asked to have their products and equipment ready for unloading or loading before bringing their vehicle into a loading zone. They will be expected to unload or load their merchandise and equipment quickly to avoid congestion, and do all set-up, display arranging, and tear-down activity while their vehicle is parked in the designated parking area, not a loading zone.

Organizers are required to keep their booth / table area clean and uncluttered during their assigned shift.

The City of Sequim complies with applicable state and federal civil rights laws and does not discriminate on the basis of race, color, national origin, age, disability, sex, creed, gender, gender expression or identity, sexual orientation, marital status, religion, honorably discharged veteran or military status, or the use of a trained dog guide or service animal by a person with a disability.

- Use respectful and non-discriminatory language and behavior at all times while on-site.

- Comply with State law, which prohibits smoking within 25 feet of the Guy Cole Event Center.

The Sunshine Festival will adhere to all health and safety restrictions and guidelines issued by Clallam County Health officials. We will have more details closer to the event date if necessary.

Event information will be included in the printed Sunshine Festival program as well as the Festival website and social media channels. Vendors are requested to use their organization's website and social media channels to help promote the Sunshine Festival.

Non-profit organizations wishing to participate as a free activity booth are not allowed to sell items, solicit tips, or directly accept donations at the festival. However, they may provide informational materials about their organization to participants upon request.

Non-profit organizers will need to park and unload from the Vendor Parking Area around the Guy Cole Event Center in Carrie Blake Park. Enter at the main entrance to Carrie Blake Park on Blake Street, then continue past the pickleball courts to the Guy Cole Event Center. Organizer will receive a parking pass and an assigned time schedule in advance of the event.

Organizers must be a registered nonprofit with the Washington Secretary of State with their primary business situated in Clallam County, Washington.

If the City accepts the organizer's application, the Organizer acknowledges and agrees as follows:

• The Sunshine Festival is subject to cancellation due to severe, unforeseen, or unavoidable circumstances beyond the City's control.
• Any disputes that arise between the City and the Organizer must be adjudicated in the County of Clallam, State of Washington.
• Certain conditions of this application / acceptance may survive and continue to be enforceable after the 2025 Sunshine Festival ends, including the liability and indemnification provisions.
• The Organizer and the City will defend, indemnify, and hold each other harmless from and against any and all claims, suits, actions, inactions, or liabilities which arise out of this application / acceptance to the extent allowed by law.
• The City is subject to public disclosure laws.
