Thank you for entrusting us with your care.
Associates in Psychotherapy strives to honor our clients requests for billing preferences. In an effort to do this, we require you set up a client portal so you can place a card(s) on file. Our policy is to charge cards on file on the 15th and the last day of every month.
However, if this is not your preference, we ask that you notify your provider that you do not want the office to charge your card automatically either on the 15th or last day of the month. If we do not have a note in your account stating you will manage payments, your card will be charged automatically which is our policy.
In our portal, you are able to access, view, and pay outstanding balances. You are also able to select which card to add or use (HSA, debit, or credit cards) for payments. Please note, Health Savings Account (HSA) cards may be kept on file as the primary form of payment, but you must still have a back-up credit card on file in case HSA funds are depleted.
For those of you who want to see the invoice prior to our office charging your credit card on file, you must create a client portal to manage your payments. Statements or FSA statements are also available for printing, if needed.
If balances are not paid after 60 days from the date the EOB was received, we will automatically charge the card on file at that time. We will charge your card for any balances not covered by your insurance (no show's, late cancellations, copays, co-insurance, and deductibles).
By paying via credit card, you acknowledge that this credit card information will be automatically kept on file via PCI-compliant encrypted code with the following credit card processor: TSYS.
You further agree and understand that if insurance does not pay the contracted rate for services, any remaining balance due that is the legal patient responsibility will be charged to this Health Savings Card or Credit Card on file. We do our best to verify your benefits but cannot make any guarantees about your coverage.
We appreciate your cooperation and let us know if there is anything we can do to help you in this process.
All The Best,
Associates In Psychotherapy
