Important Vendors Information-Rules and regulations
Cultural Event by Heritage of India Foundation
1. Event Dates and Hours of Operation
Venue will be available for setup on the day of the event starting at 7 AM. Your booth/stall should be ready by 2:00 pm. Event starts at 2 PM and ends at 10 PM. Allowed Breakdown time 1hr & 45 minutes. Vendors should remove all their set up/fixtures and vacate the venue by 11:45 pm on the day of the event.
Vendors must adhere to the event dates and hours of operation as communicated by the event organizers.
Set up and teardown times will be specified in advance. Please arrive on time for setup and be prepared to stay until the event concludes.
2. Booth Setup and Display
Vendors are responsible for providing their own booth setup, including tables, chairs, and any necessary equipment. It should have an Indian theme.
All booth displays must be neat, attractive, and culturally appropriate.
Vendors should maintain their booth area in a clean and organized manner throughout the event.
3. Products and Services
Vendors must only sell or promote products and services that were approved during the registration process.
All items for sale must be legal and comply with local, state, and federal regulations.
Food vendors must adhere to health and safety guidelines and possess the required permits and certifications.
4. Conduct
Vendors are expected to conduct themselves in a respectful and professional manner at all times.
Harassment, discrimination, or disruptive behavior will not be tolerated.
Loud music or noise that may disturb neighboring vendors or event attendees is not permitted.
5. Health and Safety
Vendors are responsible for the health and safety of their staff and customers.
Compliance with all relevant health and safety guidelines is mandatory. SAFESERV Certificate is mandatory.
Fire exits and emergency routes must be kept clear at all times.
6. Waste Management
Vendors must properly dispose of all waste generated within their booth area.
Recycling and trash disposal facilities will be provided, and vendors are expected to use them appropriately.
7. Alcohol and Smoking
The sale or consumption of alcoholic beverages within vendor booths is strictly prohibited.
Smoking is prohibited in vendor booths and within designated event areas.
8. Insurance and Liability
Vendors should carry their own liability insurance and put Heritage of India Foundation and Kentucky Exposition Center as additionally insured.
The Heritage of India Foundation and event organizers are not responsible for any loss, damage, or theft of vendor property or products.
9. Payment and Fees
All vendor fees must be paid in advance through a check as specified in the vendor agreement.
We will be holding your spot till 60 days before the event with 50% advance payment with the registration.
No refunds will be issued for cancellations unless otherwise stated in the vendor agreement.
10. Compliance with Local Laws
Vendors must comply with all local laws, regulations, and permits related to their participation in the event.
11. Dispute Resolution
Any disputes or issues should be brought to the attention of event organizers for resolution. Event organizers' decisions are final in all matters.
By participating in the cultural event organized by the Heritage of India Foundation, vendors agree to abide by these rules and regulations. Failure to comply may result in expulsion from the event without refund.
