    General

    Exhibitors are responsible for displaying their own artwork and for safely setting up and taking down their exhibition, with direction from Malvern Theatres staff.

    The exhibitor must deliver and collect items being displayed. All arrangements must be discussed and confirmed with Malvern Theatres prior to the exhibition so that the relevant staff and departments can be informed and to ensure there is minimal disruption to all other areas of Malvern Theatres.

    Access to the building will be during opening hours and through the main entrance on Grange Road.

    Exhibition pieces will only be displayed in the area(s) agreed with Malvern Theatres. Exhibitors are responsible for ensuring pieces are structurally sound and well-supported and for sourcing their own displaying equipment including cases, stands, etc.

    Exhibitions will be in place for no more than 21 days. A specific or shortened duration can be agreed with Malvern Theatres prior to arrival.

    Malvern Theatres will not provide constant supervision of the artwork.

    Malvern Theatres reserves the right to reject any artwork(s) that is thought to be unsuitable for display within the venue. Adjudication of works shall be provided by Malvern Theatres’ Programming Team, whose decision is final.

    Exhibitors are responsible for ensuring all artworks are clearly labelled. Exhibitors are not permitted to sell exhibition pieces on Malvern Theatres’ premises and prices will not be displayed.

    Artworks and exhibition pieces are to be viewed only at Malvern Theatres. If exhibitors sell their artworks, they will agree that no prices are to be displayed and that they are only permitted to advertise their contact details. These can include email address, phone number, official website and a QR code.

    Malvern Theatres are not responsible for promoting exhibitions. Exhibitors’ social media posts may be shared on Malvern Theatres’ social media channels if appropriate.

    Liability

    Malvern Theatres accepts no responsibility for damage, loss, or theft of items. This includes artworks and displaying equipment. It is the exhibitor’s responsibility to have the appropriate insurance in place which must be valid at the time of the exhibition period.

    The exhibitor is responsible for ensuring that all works displayed are compliant with UK legislation and copyright laws.

    Should an exhibition piece fall or become damaged, the exhibitor is responsible for repairing, replacing or removing the item from display.

    The exhibitor is responsible for any damage caused to the hanging system located in the Circle Bar whilst installing or breaking down the exhibition. The exhibitor must not, under any circumstances, use alternative fixings or fixtures to those available for use including but not limited to screwing into walls and the use of alternative ‘damage free’ hanging solutions i.e. Command products.

    Risk Assessment

    Exhibitors will be provided with a copy of the Malvern Theatres’ Art and Sculpture Display Risk Assessment which they are required to read prior to arrival.

    Exhibitors are required to write their own risk assessment for their exhibition. A copy must be given to Malvern Theatres prior to the exhibition setup.

  • Insurance is the responsibility of the exhibitor and Malvern Theatres accepts no responsibility for damage, loss or theft of items or pieces being exhibited.

    The exhibitor must agree that no artworks are to be sold on the premises:Malvern Theatres, Grange Road, Malvern, WR14 3HB. Exhibition pieces are to be viewed only.

     

    Once submitted, we will contact you to inform you whether your application has been successful or unsuccessful.
