What Does It Mean to Be a Paper Hug Ambassador?
As a Paper Hug Ambassador, you will be matched with a patient facing a life-threatening illness who could benefit from your kindness and encouragement. Your role involves sending heartfelt cards, uplifting notes, letters, and occasionally small gifts to brighten their day. Support for each patient will typically last up to two years, depending on their participation in the Paper Hug Greetings Kindness Mission Program. Patients may be adults or children, depending on current needs.
We recommend sending at least one card with an uplifting message per week. Small gifts are optional and can be sent at your discretion as frequently as you like.
Before applying, we encourage you to reflect on the commitment this program requires. To ensure the best experience for everyone, please do not apply if any of the following circumstances might limit your ability to participate fully:
You have a health condition that might prevent you from fulfilling your commitment
• You are a caretaker for someone whose needs might affect your ability to keep up with responsibilities.
• You are currently managing personal challenges that could interfere with your participation.
• The financial commitment of sending weekly cards is beyond your budget. (Cards can be handmade or purchased inexpensively—approximately $2 per week for a card and postage. Gifts are entirely optional.)
• You anticipate major life changes, such as moving or a new baby, that could impact your availability.
• You are under 25 years old. (No exceptions.)
Your kindness and dedication make this program possible, and we deeply appreciate your willingness to volunteer. To protect everyone involved—patients, volunteers, and Paper Hug Greetings—we ask for your acceptance of the following terms and conditions.

1. Agreement Overview
This agreement establishes the terms between you (“You” or “Your”) and Paper Hug Greetings. By accepting these terms, you commit to serving as a Paper Hug Ambassador, a volunteer role that does not establish an employment relationship with Paper Hug Greetings.
2. Guidelines for Supporting Patients
To help you provide meaningful support, we suggest the following:
• Weekly Cards: Aim to send at least one uplifting card each week. Small gifts are optional but appreciated.
• Temporary Absences: If you’re unavailable for 1–5 weeks, request a substitute Ambassador by emailing hello@paperhuggreetings.org.
• Return Address: Include your name and return address on all correspondence, clearly labeling it as “Paper Hug Greetings Mail” to avoid confusion.
• Positive Communication: Keep all messages positive and supportive. Avoid sharing personal struggles or negative experiences.
• Relevance: If sharing personal experiences, ensure they are relevant and helpful to the patient, avoiding unnecessary details.
• Consistency: Continue weekly correspondence and at least monthly gifts until notified that your assignment has ended.
• Contact Updates: Notify us of any changes to your contact information via email.
3. Ambassador Expectations
By participating in this program, you agree to the following:
1. Confidentiality: You must keep all personal and health information about patients strictly confidential, sharing it only with Paper Hug Greetings Administration.
2. Commitment: If you are unable to continue as an Ambassador, notify us promptly at hello@paperhuggreetings.org.
3. One-Way Communication: Communication is intended to be one-way—from you to the patient—via mail. Visiting, calling, or other direct contact is not part of the program. If such contact is requested by the patient, it must be outside the program, and Paper Hug Greetings is not liable for any resulting interactions.
4. Comfort Level: If you feel uncomfortable with any patient requests, notify us immediately, and we will find a resolution or reassign the patient if necessary.
5. Food Items: Homemade food items should not be sent.
6. No Expectations: Do not expect or request any response from patients or their families.
7. Financial Assistance: If a patient mentions financial difficulties, inform us immediately via email.
8. No Soliciting: Do not use the program for personal gain, advertising, or soliciting. Contact us in advance if you’re unsure about an action.
9. Step-Down Notification: If you need to step down as an Ambassador, notify us immediately.
10. Patient Affairs: Do not get involved in patient affairs, finances, medical, or legal issues. Avoid offering advice or recommendations of any kind in these areas.
11. No Gifts from Patients: Do not accept gift cards, money, or other financial benefits from patients.
12. Background Check: By applying, you confirm you have not been convicted of any felonies and are not listed on the sex offender registry. Paper Hug Greetings may require a background check, which will be paid for by the organization.
4. Legal and Program Policies
• Binding Agreement: This agreement is legally binding and enforceable in judicial or administrative proceedings.
• Program Termination: Paper Hug Greetings reserves the right to remove Ambassadors from the program at any time, with or without notice.
• Age Requirement: Applicants must be 25 years or older.
• Website Changes: We may modify or discontinue any part of the Paper Hug Greetings website at our discretion.
• Intellectual Property: All site content is protected by copyright and trademark laws.
• External Links: Links to other websites are provided for convenience, but Paper Hug Greetings is not responsible for their content.
• Disclaimer of Warranties: We strive for accuracy but cannot guarantee uninterrupted or error-free site functionality.
• Liability Limitation: Paper Hug Greetings is not liable for indirect, incidental, or punitive damages to the fullest extent allowed by law.
• Indemnification: You agree to indemnify and hold harmless Paper Hug Greetings from any claims arising from your role or site use.
• Governing Law: This agreement is governed by Pennsylvania law, with disputes resolved in Washington County courts.
• Severability: If a provision is invalid, the rest of the agreement remains effective.
