This notice outlines the terms of engagement between Willowood Ventures and its clients, including privacy, payment, operational policies, and the appointment guarantee. By engaging with Willowood Ventures, you consent to the terms outlined below.

Willowood Ventures strictly protects the privacy of its clients and their customers. All customer and client data collected during events will not be shared with any third parties under any circumstances.

Terms of Engagement
By agreeing to do business with Willowood Ventures, you consent to participating in marketing efforts conducted by Willowood Ventures as part of the contracted services.
Willowood Ventures agrees not to advertise with a competing dealership of the same brand (OEM) within a 25-mile radius for the duration of the contracted event. For example, if there are two Ford dealerships within 15 miles, Willowood Ventures will only service one during the event.
Appointment Guarantee
Willowood Ventures guarantees appointment fulfillment for any event, provided it adheres to our standards. The conditions of the appointment guarantee include:
Willowood Ventures determines the consumer-facing message to ensure its effectiveness.
Ad spend must be allocated to a single store. Splitting locations or deviating from a retail listing may affect results.
Willowood Ventures reserves the right to audit CRM or DMS records to verify outcomes.
We will provide a full transcript of social media chat logs and data to support the appointment as being legitimate. This excludes self-registered customers.
If the appointment guarantee is unmet within the event timeframe, Willowood Ventures will continue advertising and scheduling through the BDC until the target is achieved.
Example: For a 7-day event guaranteeing 150 appointments, if only 125 are met by day 7, Willowood Ventures will continue working until the additional 25 are scheduled, regardless of how long it takes.
Refund and Rescheduling Policy
All sales are final. Once a service contract is executed, no refunds will be issued under any circumstances.
Rescheduling requests may be accommodated if submitted at least 48 hours prior to the scheduled event start date. Requests made within 48 hours of the event date cannot be honored, and the event will proceed as originally contracted.
Event Factors and Responsibilities
Willowood Ventures is not responsible for all factors influencing customer attendance, including:
Accuracy of dealer's CRM records or walk-in traffic logging procedures
Lack of personnel
Store involvement
Weather conditions
Inventory availability
Acts of nature, riots, national or local emergencies, or other unforeseen circumstances that may cause customers not to attend the event outside of Willowood Ventures' control
Data Ownership
At the conclusion of the event, Willowood Ventures will provide all customer chat logs and transfer ownership of all appointment data to the dealership upon request. Additionally, the dealership retains full ownership of all lead data generated during the event, regardless of appointment status. Match back reporting and end-of-sale results are available to measure conversion outcomes.
