PRIVACY NOTICE
The University of the Philippines Open University (hereafter 'we' or the 'UPOU') respects and values your privacy and employs reasonable measures to protect your personal information in accordance with the Data Privacy Act of 2012 ('DPA'), its Implementing Rules and Regulations, and related issuances from the National Privacy Commission ('NPC').
As the organizer of the International Tri-Conference (ICODeL 2025, ISEAC2025, and ISAS 2025) , it is necessary for the UPOU to collect and process your personal information for the purposes stated in this notice.
This Privacy Notice explains the purposes and legal bases for the collection and processing of your personal information, as well as to inform you on how the UPOU process and protect your personal information. Please note that we may amend this notice from time to time, should it become necessary to do so. This notice may also be supplemented by other statements as needed to comply with implementing rules and regulations of the DPA.
By accomplishing, signing and submitting the International Tri-Conference Registration, you certify that you have read and understood, and agree to, the terms below.
Personal Information Collected/Processed, Purpose and Legal Basis for Collecting the Personal Information
Through this form, the following personal information will be collected: full name, designation, institution, nationality, gender, email, mailing address and contact numbers. The personal information collected will be used to enable UPOU, as the organizer of the International Tri-Conference to process and contact you regarding your registration to the Tri-Con, and shall be retained and processed to ensure order and security within the premises of the University of the Philippines.
Non-Disclosure of Personal Information to Third Parties
Personal information collected will be used within the UPOU and will not be shared with any third party without your consent. However, please note that where necessary to protect our security interests or when so required by law enforcement authorities, we shall make your information accessible to such authorities.
Rights of the Data Subject
As a data subject, you have the right to (i) access, make corrections, update, erase, or block/object to the processing of your personal information; (ii) be informed of the existence of processing of your personal information; (iii) damages; (iv) lodge a complaint before the National Privacy Commission.
Access to and Correction of Personal Information
Request to access, correct or update personal information may be made by contacting the Secretariat of the International Tri-Conference (triconsecretariat@upou.edu.ph). The UPOU may take reasonable steps to confirm the requester's identity as a data subject before granting access to the personal information and allowing updates thereto.
Please note the following: Your ability to access and correct personal information is not limited by transfers of personal information. The ability shall exist regardless of where personal information is physically situated within the UPOU. Your right to access your personal information may have some restrictions. For example, access may be denied (i) in the case of recurrent access requests within a short time interval, or (ii) where providing such access or correction could compromise the privacy of another person or unreasonably expose sensitive information of UPOU.
Security Measures
Your personal information will be retained or stored until one (1) year after the International Tri-Conference, after which the said data shall be deleted from the UPOU's ICT system. The UPOU will retain and use your personal information as necessary to comply with its legal obligations, resolve disputes, and enforce its agreements. Forms and documents which contain your personal information will be stored on the UPOU's ICT system hosted by the UPOU on-site or in the premises of an authorized third-party service provider.
UPOU employs reasonable and appropriate organizational, physical, and technical security measures intended for the protection of personal information against any accidental or unlawful destruction, alteration, and disclosure, as well as against any other unlawful processing. Such measures shall be in accordance with the Data Privacy Act of 2012, its Implementing Rules and Regulations, and the issuances of the National Privacy Commission.
