6. Responsibility and Liability:
Harbor Close Travel acts as an agent for third-party suppliers and is not liable for supplier failures, including cancellations, delays, or service deficiencies. Issues beyond our control, such as natural disasters or government actions, are also excluded from liability.
7. Health and Safety Requirements:
Clients are responsible for meeting health requirements for their destination, including vaccinations or COVID-19 guidelines. Failure to comply may affect travel plans.
8. Pricing and Fees:
Prices are subject to change based on currency fluctuations, supplier adjustments, or other factors beyond our control. Quotes are not guaranteed until deposits or payments are processed.
9. Force Majeure:
In cases of unforeseen events such as natural disasters, pandemics, or political instability, Harbor Close Travel will assist with alternative arrangements but is not liable for disruptions or additional costs.
10. Communication and Consent:
By booking with Harbor Close Travel, clients agree to receive necessary communications regarding their itinerary. Personal information will only be used for managing travel arrangements and shared with suppliers as required.

Thank you for choosing Harbor Close Travel! These Terms and Conditions outline your responsibilities as a traveler and our role in assisting you. Please review this information carefully before confirming your booking.
Introduction to Terms and Conditions
Definitions
This Agreement sets forth the Terms and Conditions governing the relationship between Harbor Close Travel, a travel consultancy and advisory service based in [Insert location], and the individual(s) or organization(s) purchasing travel services or engaging in consultation services. These Terms and Conditions apply to Harbor Close Travel and any affiliated host agencies under which Harbor Close Travel receives its booking credentials, collectively referred to as "we," "us," or "our."
By utilizing the services of Harbor Close Travel, including but not limited to trip planning, booking arrangements, and travel consultations, the Client agrees to abide by these Terms and Conditions.
Supplier Terms and Conditions
It is important to note that Harbor Close Travel acts as an intermediary between you, the Client, and third-party travel suppliers (e.g., airlines, hotels, cruise lines, tour operators, car rental companies, etc.). Each supplier has its own Terms and Conditions, including but not limited to policies on payment, cancellations, changes, refunds, and liability. The Client is responsible for reviewing and understanding the terms set forth by each supplier, which are provided at the time of booking or upon request.
In the event of any conflict between the Terms and Conditions of Harbor Close Travel and those of a supplier, the supplier's Terms and Conditions shall supersede those outlined in this document to the extent of such conflict.
Acknowledgment of Terms
By engaging with Harbor Close Travel, you acknowledge that you have read, understood, and accepted these Terms and Conditions in their entirety. You also acknowledge your responsibility to review and comply with the Terms and Conditions of each travel supplier involved in your itinerary. If you do not agree to these terms, you should refrain from using our services.
This Agreement outlines the rights, responsibilities, and obligations of both parties, including but not limited to payment terms, cancellation policies, liability limitations, and service expectations. It is the Client’s responsibility to review these Terms and Conditions thoroughly before confirming any bookings or agreements with Harbor Close Travel.
Role of Travel Advisor
Harbor Close Travel acts solely as a travel advisor and intermediary between you (the traveler) and suppliers or third-party vendors providing travel services, including airlines, hotels, cruise lines, tour operators, and other travel providers. Harbor Close Travel does not own or operate these entities and is not responsible for their acts, omissions, or failures, including but not limited to service disruptions, cancellations, schedule changes, or modifications to your travel plans. When a problem with a supplier or third-party vendor occurs, you agree to hold Harbor Close Travel harmless related to any legal action.
Planning Fee and Payments
Planning Fee: Harbor Close Travel charges a non-refundable planning fee of $200.00 or 5% of the total booking cost, whichever amount is greater. This fee applies when extensive research or planning is required and is separate from the cost of your travel package.
Deposit: A non-refundable deposit of $150 per person may be required for all bookings unless otherwise specified in your proposal, which may be more depending on the requirements of the supplier or vendor.
Final Payment: All trips must be paid in full at least 45 days before departure unless otherwise stated in your booking. Cruises may require full payment at least 60 days prior to embarkation unless otherwise noted on your invoice.
Non-Payment: If final payment is not received by the scheduled date by 5:00 PM, your booking will automatically cancel, and cancellation charges will apply as per the supplier or vendor's terms and conditions.
Pricing Policies
Price Changes: Prices and availability are subject to change until payment is received in full.
Additional Fees
Harbor Close Travel applies a $35 service fee per person for air-only reservations and a $75 service fee per person for business or first-class air-only reservations. These fees are charged in addition to any supplier ticketing fees. Flights included as part of a supplier package (e.g., with a hotel or cruise) are exempt from these charges.
Travel Documentation and Vaccination Requirements
Passports and Visas: Travelers are responsible for ensuring they have a valid passport (with at least six months of validity past the return date) and any required visas or documentation for their destination. You agree that although Harbor Close Travel may assist you with information related to applying for passports or visas, you are ultimately responsible for their application and having them in time for your trip.
Vaccination Requirements: Travelers are responsible for understanding and meeting vaccination requirements for their destination. We recommend consulting the U.S. State Department's website for travel advisories and health guidelines. Names and Birthdates
The names and birthdates provided must exactly match those on the traveler’s passport (for international travel) or driver’s license (for domestic travel). Any discrepancies may lead to significant additional costs, rebooking or modification fees, or even denial of travel or services. All such costs or consequences are the sole responsibility of the traveler.
Air Travel Policies
Baggage Restrictions: Travelers must adhere to baggage restrictions and guidelines as outlined on the airline’s website, including rules regarding restricted and prohibited items.
Flight Confirmation: Travelers should confirm their flights 48 and 24 hours before departure, as airlines frequently adjust schedules.
Seat Assignments: Advanced seat assignments are complimentary with some domestic carriers when booked in "regular economy" (sometimes referred to as Main Cabin), but they are not guaranteed. Travelers may contact the airline directly to request seat upgrades. Please note that international carriers often charge for advanced seat assignments.
Important: If you miss your departing flight or choose an alternative method to arrive at your destination, all subsequent flights in your reservation, including your return flight, will be automatically cancelled. Do not assume you can still use the return flight as originally booked, as it is likely no longer valid. If your travel plans change, please contact the airline directly if you booked your own flights, or reach out to your travel advisor for assistance.
Travel Protection
Harbor Close Travel strongly recommends purchasing travel protection to cover cancellation fees, trip interruptions, and other unforeseen events. Travelers assume full financial responsibility for any losses incurred without travel protection. You agree that you are liable for all costs up to 100% or more of your booking resulting from unplanned events that resulted in cancellation or trip interruption. You understand that your trip may be in full penalty and no refunds may be provided.
Insurance Disclaimer
Harbor Close Travel does not provide binding assurances or promises about insurance coverage. We are not insurance agents and only share limited, non-binding information from the insurance provider on their behalf.
For more details on travel protection plans, coverage amounts, and policy specifics, we recommend contacting the insurance company directly. As we are not insurance agents, we cannot assist with claims, payments, or adjustments. Any claims must be submitted by the person named in the policy directly to the insurance company.
Accommodations
Hotel Fees: Local taxes, resort fees, incidental credit card holds, and parking charges may apply and are collected directly by hotels upon arrival. You agree to contact the hotel directly if you have questions about any additional fees that may be required upon check-in.
Room Assignments
You understand that hotels do not guarantee specific room locations, bed types, or the number of beds unless explicitly stated in writing on your booking confirmation. Room assignments are made at check-in, based on availability and the details of your reservation.
The hotel determines the number of beds in a room based on what they deem appropriate for the room type and number of guests. This does not mean that each person will have a separate bed, and in some cases, hotels may assign three guests to a king bed. Unless the number of beds is explicitly specified in your booking documents, do not assume multiple beds will be provided. If your traveling party requires separate beds, we recommend reserving additional rooms to ensure your needs are met.
If the room type you receive differs from what is listed in your itinerary or booking documents, the hotel is responsible for providing the correct accommodations. If this occurs, please notify us immediately after you’ve made efforts to resolve the issue with the hotel, so we can assist by contacting the hotel on your behalf.
Photography
Images (including photographs or video) on our website or part of your itinerary are illustrative in nature only and may not represent your actual accommodations.
Travel Logistics
Airport Arrival: Travelers should arrive at the airport as recommended by TSA, typically at least three hours before international flights and two hours before domestic flights.
Travel Timing: Travelers are responsible for ensuring timely arrival at the airport and verifying transportation arrangements.
Marketing and Communication
Travelers have the right to unsubscribe from any marketing emails or communications from Harbor Close Travel at any time.
Limitation of Liability
Harbor Close Travel is not liable for any personal injury, property damage, loss, or other damages resulting from:Supplier or third-party vendor negligence.
Changes in travel plans due to natural disasters, pandemics, government actions, strikes, or other force majeure events.
Traveler's failure to comply with passport, visa, vaccination, or other travel requirements.
Traveler dissatisfaction with accommodations, transportation, or any other trip aspect.
While Harbor Close Travel strives to provide accurate recommendations and services, we do not guarantee any specific outcome, and all services are provided "as is."
Errors and Omissions
We make every effort to provide current and accurate information about the products and services we present to you; however, we are not responsible for errors or changes made by tour operators, hotel and resort properties, airlines, third-party vendors, and other related transportation service who continuously update their own prices and offers. When such changes come to our attention, we will share that information with you and provide options prior to your booking.
Credit Card Authorization
By providing your credit card information, you authorize Harbor Close Travel to charge your card for deposits, fees, and payments as outlined in your proposal.
Acceptance of Terms
By making a booking with us, you acknowledge and agree to be bound by these terms and conditions.
Electronic and Handwritten Signature
Both parties agree that you may acknowledge and agree to these Terms: (i) electronically; (ii) by handwritten signature; (iii) by any other electronic means, including, without limitation, via email acceptance of these Terms; or (iv) by your implied consent deemed via your actions, which shall include without limitation the payment of the invoice and/or your use of the services provided by Harbor Close Travel or any other travel Supplier related to your booking. All such means are deemed to constitute effective acknowledgement and execution of this Agreement and shall be sufficient to bind the parties to the terms and conditions of this Agreement.
Governing Law and Jurisdiction
These terms and conditions shall be governed by and construed in accordance with al local, state, and federal laws. Any disputes arising under these terms and conditions shall be subject to the exclusive jurisdiction of the State of New York and where applicable.
