Membership of Harbourside Physie & Dance and the Australian Physie & Dance Association
On completing the Harbourside Registration form for you or your child, you acknowledge and accept all policies, rules and guidelines as detailed in all documentation provided to you and your family. Please ensure you read this in detail. Registration of Harbourside Physie & Dance does not automatically result in membership of APDA and it is within APDA’s right to refuse membership if you or your family are in breach of their rules or codes of conduct. However, it is expected as a student of Harbourside Physie & Dance you accept and abide by APDA Codes of Conduct, Individual Membership Rules and the APDA Social Media Policy.
We are a family focused club and behaviour that does not support this vision or that brings our club or APDA into disrepute, in the opinion of Management, will result in your membership being withdrawn. This extends to behaviour by parents and spectators. Please pay very close attention to our Codes of Conduct for members, parents and spectators as breaches of these codes will be dealt with promptly. We have no hesitation in removing people from our club who demonstrate poor sportsmanship or behaviour at any time.
GENERAL CLASS RULES
1. We encourage you to drop off the student and return 5 minutes before the end of class. Class viewing will be advised and is generally the last week of each term, this excludes Tiny Tots.
2. Please be respectful of the class before yours and keep noise to a minimum while waiting. Please do not allow siblings or girls waiting for class to run around while waiting. All children outside of the hall space must be supervised by an adult at all times.
3. No shoes or socks are to be worn during class. Unless instructed by a medical officer.
4. Class uniforms are not a requirement however we expect students to dress appropriately for dancing. Hair is to be tied back neatly off face.
Juniors (5-12 years): We encourage all of our junior students to wear a leotard or club class wear where possible. This will allow the teachers to correct students on their core and technique. Students are welcome to add bike pants or tights on top of their leotard. Alternatively, a crop top or tight singlet with bike pants or tights are suitable.
5. It is the student’s responsibility to warm up and manage any injuries prior to class.
6. It is the student’s responsibility to apply feedback given in class.
7. Do not attend classes if you or your child is unwell.
8. We are not responsible for lost or stolen property. Please ensure all items are labelled.
9. Strictly NO SMOKING near the building or in the carpark, if you wish to smoke, please move off the property.
10. There is to be no alcohol consumed on the premises or in the carpark at any time.
11. All rubbish is to be placed in the bins provided.
12. In the event of an emergency that requires evacuation, please follow all directions of the staff and ensure that your child remains with their teacher to enable them to be marked off correctly on evacuation.
CLASS ATTENDANCE
No refunds are provided for missed lessons as we incur costs each week even if you or your child do not attend class. It is expected that you attend class weekly at a minimum. Harbourside do not offer remote learning options. Harbourside and its teachers are not required to make up classes due to; teacher illness, classes fall on a competition event and/or hall availability.
TRIAL CLASSES
New* students are eligible to attend 2 trial classes prior to paying the Class Payment and Harbourside Registration fees. All students must register using the online Harbourside Registration form prior to commencing a trial class. Your registration is not finalised until all outstanding fees are paid. Your fees must be paid prior to attending any further classes.
*Not attended a HPD class in the previous 5 years (trial classes included).
PAYMENTS
All payments must be paid on or before the due date. If the payment is not received 1 week after the due date the student may not be able to participate in class until the payments are up to date. Electronic bank transactions are preferred. When making a payment via bank transfer please reference the student’s FULL name.
EFTPOS will be available at class when advised by Harbourside Physie & Dance.
All payments and deposits to Harbourside Physie & Dance are non-refundable unless agreed upon by Harbourside Physie & Dance under exceptional and extreme circumstances.
CLASS PAYMENT OPTIONS
Tiny Tots: 1 class per week $60/term (term 1-4)
Option 1 – 1 Class per week $184/term 1-3 (term 4 free)
Option 2 – 2 Classes per week $224/term 1-3 (term 4 free)
Option 3 - 3 Classes per week $264/term 1-3 (term 4 free)
Option 4 - Annual Class Payment (2 Classes per week): $617 (includes Annual Harbourside Registration)
Option 5 - Annual Class Payment (3 Classes per week): $700 (includes Annual Harbourside Registration)
Please note, the annual class payment must be paid by the provided Term 1 due date or once commencing classes each year.
Under exceptional circumstances a casual rate ($20/class) can be applied to suit the students commencement of classes when less than half the Physie term is remaining. The Harbourside Registration fee must still be paid.
ANNUAL HARBOURSIDE REGISTRATION FEE
All students: $80 per year

REGISTRATION SINGLET
Students who register using the online Registration form and pay either the yearly fee or the Class Payment and Club Registration fees within the first term will be eligible to receive a Registration Singlet. One singlet per member per year. It is your responsibility to follow up the collection of a singlet, requested sizing is not guaranteed. Stock and sizes are limited and are not restocked once sold out. Harbourside Physie pre orders the singlets well in advance to have them available at class at the commencement of the Physie year. We do our best to estimate the required stock sizes and quantities whilst trying to eliminate a surplus.
PRIVATE LESSONS
Providing the opportunity to facilitate private lessons is at the discretion and availability of HPD Teachers and venues. When Private Lessons are offered, each member is entitled to ONE private lesson. You are welcome to share a private with another member who does the same syllabus. Share the time, share the cost. However, please note, this will be considered as your ONE private lesson. If you cannot attend your private lesson, you must inform HPD via email ASAP. If HPD are unable to fill your timeslot you will still be charged the cost of the lesson lost. Attendance by an accompanying adult is mandatory when the student is under 18.
END OF YEAR MEMBERS TROPHY
If you’d like to be eligible to receive a student trophy at the End of Year presentation you must pay and attend at least 2 terms of classes during that year. If you’re unable to attend Presentation please let us know if you’d still like to receive a trophy.

CODE OF CONDUCT – STUDENTS/MEMBERS
ATTENDANCE
a) Students should attend classes wherever possible; Teachers cannot always take time to catch up a student that misses a class
b) Students must not attend classes when unwell
c) Students that agree to participate in a team must attend all team practices and workshops
d) Students must arrive at class on time
e) Students or Guardian should notify HPD when absent
HEALTH AND SAFETY
a) Students should have water available at all classes
b) Students must tell a teacher if they feel unwell or injure themselves
c) Students must follow all directions given by teachers and act in a safe manner at all times
d) Students must make all reasonable attempts to avoid injury
CLASS CONDUCT
a) Students must wear outlined class attire. Teachers cannot identify or correct poor technique if students are not in dance wear
b) Physie classes should be fun; however, teachers will not tolerate students that disrupt or distract others, are not willing to participate fully in class, or who are not respectful to teachers and other students. Harbourside Physie is an inclusive club.
c) Students must not bully, gossip or exclude other students
PAYMENTS AND FEES
a) Class fees, registration fees, other charges and entry fees for and at competitions must be paid on time, or in accordance with an agreement with the Harbourside Physie & Dance
b) No refunds are to be issued unless agreed upon under exceptional circumstances.
COMPETITION CONDUCT
a) Students must be respectful and encourage other competitors (whether from Harbourside or another club) at all times
b) Students must abide by the rules (including APDA competition rules, individual member rules, and social media policy), and show respect for your fellow club members, other competitors, teachers, judges and officials.
c) Students must demonstrate good sportsmanship, and must be respectful of judges and their decisions
SOCIAL MEDIA
a) Students are encouraged to use the club’s Facebook and Instagram pages, and of course can post about their achievements on their own social media pages. However, social media must not be used to bully others, challenge judges’ decisions, discuss or complain about Harbourside Physie & Dance or APDA matters.
b) Students must not contact Harbourside Physie & Dance teachers on social media via direct message unless agreed upon.
c) Students must treat others with respect and courtesy, social media must not be used to bully, harass, or discriminate against others within the club, or others within APDA.
d) Students should respect any laws that apply to you, including copyright. There are laws that apply to things like sharing footage from APDA’s training DVDs on social media, streaming or sharing videos that contain APDA syllabus music, or sharing photos taken by official photographers where you haven’t purchased the rights to the photos.
e) It is encouraged that students read and abide by the APDA Social Media Policy
CODE OF CONDUCT – PARENTS/GUARDIANS & SPECTATORS
a) Parents/spectators are welcome to view class during allocated classes when advised. Parents/spectators must show respect to club teachers, other students, and other parents at all times.
b) Encourage your child to participate, do their best, and have fun.
c) Focus on your child’s effort and performance, rather than winning or losing.
d) Never ridicule or yell at a child for making a mistake or for not achieving a particular result in a competition
e) Model appropriate behaviours and sportsmanship, including respect for other competitors and students, members and spectators from other clubs, and APDA teachers, officials and judges
f) Ensure that you and your child comply with HPD and APDA rules, including competition rules, social media policy, and spectators’ code of conduct
g) Respect the decisions, actions and efforts of your child’s teacher, judges and officials.
h) Parents/Guardians must not contact Harbourside Physie & Dance Teachers on social media via direct message unless agreed upon.
i) Report instances of inappropriate behaviour within your club or APDA to appropriate officials (including competition officials, or in accordance with APDA’s Dispute Resolution policy).
CODE OF CONDUCT – TEACHERS
As a student or parent/guardian of a member of Harbourside Physie & Dance, you can expect your teachers to:
a) Attend classes wherever possible, and have a back-up teacher/s present where the regular teacher cannot attend
b) Encourage and work with all students, regardless of ability, and whether they decide to compete or not
c) Teach classes in accordance with the APDA syllabus
d) Treat students, parents/guardians with respect and courtesy
e) HPD Teachers and assistant Teachers must act in accordance with the APDA Teachers Rules and Code of Conduct
BREACHES OF THIS CODE OF CONDUCT
Failure to meet the minimum standards of behaviour outlined here might have a range of consequences, including:
a) You might be issued with a formal warning or reminder about appropriate conduct;
b) You might be asked to issue an apology to another person, if your inappropriate conduct has affected them negatively
c) You might be excluded from HPD and/or APDA events, including competitions (either as a spectator or as a competitor);
d) In the most serious of cases, your registration with HPD and/or APDA might be suspended or terminated, in accordance with this Code of Conduct or APDA Codes of Conduct, APDA Individual Member Rules or APDA Social Media Rules, as relevant.
e) Other consequences may be applied, depending on the nature and seriousness of the matter and the impact on HPD and/ or APDA and its members.
Note: It is important to remember that, if you are a parent or guardian responsible for the registration of a member under the age of 18, your conduct might result in sanctions for your child. For example, if you demonstrate inappropriate behaviour towards others at HPD and/or APDA events, both you and your child may be excluded from classes, events, or competitions.
TERMS AND CONDITIONS
By registering with Harbourside Physie & Dance you accept all Terms and Conditions. “Activities” means any use of the Facilities in any way whatsoever. “Facilities, Facility” means all equipment used while participating in the Activities. “I” means, personally o by his/her parent or guardian. “HPD, HPAD” means
Harbourside Physie & Dance their teachers and assistants:
1. To the fullest extent permitted by law, HPD disclaim all liability for any injury, loss or damage that you/your child may suffer while participating in the Activities including, but not limited to, personal injury and loss of or damage to your/your child’s personal property.
a. I release HPD from liability for, and indemnify them against, all claims and costs (including legal costs on a full indemnity basis), suffered or incurred by me or caused by my act or omission arising out of, or in connection with, my participation in the Activities including, but not limited to:
b. claims for personal injury sustained by me/my child while participating in the Activities
c. claims for personal injury to, or death of, others (including claims for compensation by their estate, dependent’s, heirs and successors) as a result of my/my child’s act or omission while participating in the Activities;
d. claims for compensation my estate, dependents, heirs and successors may have in the event of my/my child’s death during the Activities;
e. loss or damage to, or theft of, any property owned by me/my child, or in my/my child’s possession, during the Activities;
f. loss or damage to the Facilities and any property of the owner and/or operator of the Facilities;
g. loss or damage to the property of other participants, observers and any other person while participating in the Activities;
h. loss or damage arising from my/my child’s failure to obey instructions from HPAD during the Activities;
i. loss or damage arising from any pre-existing medical or psychological condition; and
j. loss or damage arising from any negligent act or omission of HPAD during the Activities.
k. I accept all the inherent risks of the proposed Activities.
l. I warrant that I have supplied to HPAD all relevant information regarding my health/my child’s health and any medical conditions that I/my child have to enable HPAD to involve me/my child in these Activities.
m. In entering into this contract, I acknowledge that I have not relied on any oral, written or visual representations or statements by HPAD or any other inducement or coercion to participate in the Activities, and do so of my own free will.
n. I acknowledge that there may be dangers to me or my child’s personal safety while participating in the Activities and that the Activities may include:
i. Physical exertion.
ii. Excessive Stretching
2. Our Privacy Policy:
a. We are committed to protecting your privacy. We use the information you provide to advise about and assist with your activities. We do not trade, rent or sell your information.
3. Photographic Policy:
a. I give permission for any photographic material taken at competitions or club activities by officials or committee members to be used for advertising purposes or newsletters.
4. Our Fees Policy:
a. I agree that all payments, registrations, fees and deposits to HPD are non-refundable unless agreed upon by HPD under extreme circumstances.
b. I agree that all fees are to be paid on an instalment or annual basis by the due date in order to attend classes.
c. I understand that if the instalment fee account is not paid by the due date (shown on information pack):
i. I may be unable to attend further classes.
ii. I will be unable to compete in further inter-club, champion girl or team competitions.
5. Class Cancellation and Changes:
a. HPD reserves the right to cancel, reschedule or combine classes as necessary
b. In the event of a cancellation, reasonable efforts will be made to provide alternative arrangements.
6. Our Volunteer Policy:
a. I agree to give voluntary services to HPAD when required for the following but not limited to:
i. Canteen/BBQ/Door/Setup/Clean up at HPAD’s Interclub and Club Competitions
7. Privacy Policy:
a. Personal information collected during the registration process will be used solely for the purpose of administering classes and programs
8. Amendments to Terms and Conditions:
a. Harbourside Physie & Dance reserves the right to modify these terms and conditions at any time.
9. First Aid Consent:
a. I student of or Parent/Guardian of Harbourside Physie & Dance student; Give my permission to the teachers and volunteers of Harbourside Physie & Dance to administer first aid/CPR to my son/daughter/self in the event of an emergency.
b. I consent to have a physician and/ or emergency medical service provide treatment as required; in the judgment of the attending physician.
c. I understand that I am responsible for my own/child’s medical costs including non-covered services. I hereby release Harbourside Physie & Dance teachers and volunteers from any legal or medical responsibilities.
d. By agreeing to the terms and conditions you are agreeing to the above.
10. I confirm that I have read and I agree that this agreement shall be governed in all respects by and interpreted in accordance with the law in force in the state of Queensland.
