Payment, Booking, Cancellation & Refund Terms
Effective from: 1 September 2026
These terms explain the payment, booking, cancellation and refund arrangements that apply to the Access, Standard and Premium Packages.
By booking tuition, submitting an enrolment form or making payment, the parent or guardian agrees to the terms applicable to the Package purchased.

The contract for Premium tuition is between the parent or guardian and Ark Tutors. Premium payments must therefore be made directly to Ark Tutors.
1. General Payment Terms
Tuition fees must be paid in accordance with the payment arrangements applicable to the Package purchased.
Unless an alternative arrangement has been agreed in writing, tuition fees must be paid in advance.
Parents and guardians are responsible for ensuring that payment reaches the relevant tuition provider by the required payment date.
A tuition place or lesson may not be confirmed until the required payment has been received.
All consumer prices shown are the total prices payable and include VAT where applicable.
2. Access Package - Pay As You Go
The Access Package operates on a Pay As You Go basis.
There is no recurring payment requirement and no obligation to purchase future Access sessions.
Payment must be made when booking or before the booked session takes place.
Payment relates only to the particular session or sessions booked.
Places are subject to availability and are not guaranteed until the booking and required payment have been confirmed.
Where a student does not attend a booked Access session, the fee will normally be non-refundable because a place has been reserved for that student.
Exceptional circumstances may be considered by Ark Tuition on a case-by-case basis.
3. Standard Package - Four-Week Payment
The Standard Package is paid every four weeks in advance.
Payment must be received by the due date for each four-week period unless an alternative arrangement has been agreed in writing.
Payment secures the student's regular place for the relevant four-week period.
Accepted payment methods may include:
• Cash
• Bank transfer
• Standing order
• Accepted childcare vouchers
Other approved grants or funding arrangements may be accepted where agreed in advance by Ark Tuition.
Where payment has not been received by the required date, Ark Tuition may suspend the student's place until the outstanding payment has been received.
4. Childcare Voucher Payments
Eligible parents may use accepted childcare vouchers towards Standard Package fees where the parent remains eligible for the relevant scheme and Ark Tuition is able to accept payment through that scheme.
Parents are responsible for arranging childcare voucher payments in sufficient time for the funds to reach Ark Tuition by the required payment date.
Where childcare vouchers or another approved funding arrangement cover only part of the tuition fee, the parent or guardian remains responsible for paying the outstanding balance.
If a childcare voucher or third-party payment is delayed, rejected or insufficient, the parent remains responsible for ensuring that the full amount due is paid.
5. Premium Package - Payment to Ark Tutors
The Premium Package is supplied by Ark Tutors and is contracted separately from the Access and Standard Packages.
Premium lessons must normally be booked and paid for at least one week before the scheduled lesson, unless an alternative arrangement has been agreed.
Payment for Premium tuition must be made directly to Ark Tutors.
A Premium lesson is not confirmed until the lesson time has been agreed, an appropriate tutor has been confirmed and the required payment has been received.
The applicable price will be confirmed before the booking is completed.
6. Premium Cancellations and Rescheduling
Premium lessons reserve a tutor specifically for an individual student.
Parents should provide at least 24 hours' notice if they wish to cancel or rearrange a Premium lesson.
Where at least 24 hours' notice is provided, Ark Tutors will normally allow the lesson to be rearranged, subject to tutor availability.
Where less than 24 hours' notice is provided, or where the student does not attend, the lesson fee may be retained where this reasonably reflects the loss resulting from the tutor's reserved time.
Exceptional circumstances may be considered on a case-by-case basis.
7. Ending the Standard Package
The Standard Package is an ongoing tuition arrangement.
Parents wishing to end Standard tuition must provide four weeks' written notice to Ark Tuition.
The student's place will remain available during the notice period and any tuition fees properly falling due during that period remain payable.
No additional cancellation charge will be made where Standard is ended in accordance with this notice requirement.

8. Lessons Already Delivered
Once a tuition lesson has been properly delivered, the fee for that lesson is normally non-refundable.
Payment for tuition already provided cannot normally be transferred to another student or refunded simply because the parent subsequently decides not to continue with tuition.
This does not affect any statutory rights or remedies available to the parent or student.
9. Missed Lessons and Student Absence
Parents and guardians are responsible for ensuring that students attend their booked lessons.
Where a student misses a scheduled lesson, the tuition fee will normally be non-refundable because the student's place and/or tutor time has been reserved.
This includes where the student:
• Is absent
• Forgets to attend
• Decides not to attend
• Arrives late
• Leaves the lesson early
• Is unavailable at the agreed lesson time
A missed lesson does not automatically entitle the parent to a refund, account credit, replacement lesson or transfer of the payment to another lesson.
Exceptional circumstances may be considered on a case-by-case basis.
For Standard, individual lessons missed during a paid four-week period are normally non-refundable because the payment reserves the student's ongoing place.
10. Access or Standard Lessons Cancelled by Ark Tuition
Where Ark Tuition cancels an Access or Standard lesson, Ark Tuition will normally offer an appropriate replacement lesson, alternative session, account credit or refund.
Where Ark Tuition is unable to provide the booked tuition or a suitable alternative, the payment relating to the undelivered lesson will be refunded or credited as appropriate.
11. Premium Lessons Cancelled by Ark Tutors
Where Ark Tutors cancels a Premium lesson, the parent will normally be offered a rearranged lesson, an appropriate alternative tutor where agreed, account credit or a refund.
If Ark Tutors cannot provide the paid Premium lesson or a suitable alternative acceptable to the parent, payment relating to the undelivered lesson will be refunded.
12. Refunds
Refunds are not normally provided for:
• Lessons that have already been delivered
• Missed lessons
• Student absence
• Late arrival
• Failure to attend
• Standard lessons missed during a paid four-week period
• Premium lessons cancelled with less than 24 hours' notice where the reserved tutor time could not reasonably be reallocated
A refund, credit or other appropriate remedy may be provided where:
• The relevant tuition provider cancels a lesson and cannot provide a suitable alternative
• Tuition has been paid for but cannot be supplied
• A payment has been taken in error
• An overpayment has been made
• Exceptional circumstances justify an alternative arrangement
• The parent has a statutory right to a refund or other remedy
Nothing in these terms removes or restricts any consumer rights that cannot legally be excluded.
13. Refunds of Childcare Voucher Payments
Where Standard tuition has been paid using childcare vouchers or another third-party funding arrangement, any refund must be processed in accordance with the rules of the relevant voucher or funding provider.
Where appropriate, a refund may be returned to the childcare voucher account or provider, issued as an eligible account credit, or processed using another method permitted by the relevant scheme.
Ark Tuition cannot guarantee that childcare voucher payments can be refunded directly as cash to the parent.
14. Online and Telephone Bookings
Where tuition is purchased online, by telephone or in other circumstances where statutory cancellation rights apply, the parent may have a legal right to cancel the contract within the applicable statutory cancellation period.
For most qualifying service contracts entered into at a distance, this period is 14 days from the date the contract is entered into.
Where a parent expressly requests tuition to begin during that cancellation period, payment may still be due for tuition properly provided before cancellation.
Nothing in these terms limits or removes any statutory cancellation rights.
15. Outstanding Payments
Parents and guardians are responsible for paying tuition fees by the applicable due date.
Where payment for Access or Standard is overdue, Ark Tuition may suspend future tuition bookings or the student's place until payment has been received.
Where payment for Premium has not been received, Ark Tutors may decline to confirm or provide the Premium lesson.
Outstanding fees for tuition that has already been properly provided remain payable.
16. Third-Party Funding
Where tuition is being paid wholly or partly by childcare vouchers, a grant, government or local authority scheme, employer, school, organisation or another approved third-party funding arrangement, the parent remains responsible for ensuring that the necessary payment arrangements are in place.
Unless expressly agreed otherwise in writing, the parent remains responsible for any part of the tuition fee not covered by third-party funding.
17. Payment Errors and Overpayments
If a parent believes that an incorrect payment has been taken or made, they should contact the relevant tuition provider as soon as possible.
Any confirmed overpayment or payment taken in error will be corrected and, where appropriate, refunded or credited.
18. Changes to Prices
Tuition prices may be reviewed and changed from time to time.
Any new price will be communicated before it becomes payable.
A price change will not retrospectively alter the agreed price of tuition that has already been paid for and delivered.
For Standard customers, parents will be informed of a price change before the new four-week fee becomes payable.

20. Agreement to These Terms
By booking tuition, submitting an enrolment form or making payment, the parent or guardian confirms that they have had an opportunity to read these terms and agree to the payment, booking, cancellation and refund arrangements applicable to the Package purchased.
These terms do not affect any statutory consumer rights.
