Welcome to Embody Tuscany: A Yoga Retreat for the Senses. By booking and attending this retreat, you agree to the following Terms and Conditions set forth by Golden Ricci LLC (hereafter referred to as "the Organizer").
1. Booking and Payment
1.1 To secure your place, a non-refundable deposit of 25% is required at the time of booking.
1.2 Payments must be made according to the following schedule:
- Deposit: Due upon booking (non-refundable).
- 50% Payment: Due by March 10, 2025.
- Final Payment: Due by May 10, 2025.
1.3 All payments must be completed in full by May 10, 2025. Failure to complete payment by this date will result in cancellation of your booking without refunds.
2. Payment Methods and Fees
2.1 Payments can be made via bank transfer or credit card through WeTravel.
2.2 Participants are responsible for any transaction fees, including credit card processing fees, bank transfer fees, and currency conversion charges.
2.3 Transaction fees will not be refunded in the event of cancellation.
3. Cancellation and Refund Policy
3.1 Cancellations on or before May 10, 2025: Participants who cancel on or before this date will be eligible for a refund of payments made, minus the non-refundable deposit.
3.2 Cancellations after May 10, 2025: No refunds, partial or full, will be issued under any circumstances, including but not limited to:
- Medical emergencies
- Family emergencies
- Illness, injury, or death
- Travel disruptions or cancellations
- Changes in personal or professional circumstances.
3.3 Refunds for cancellations made before May 10, 2025, will be processed within 14 business days of receiving a written cancellation request.
3.4 It is highly recommended that participants purchase comprehensive travel insurance to protect against cancellations, emergencies, or unforeseen events.
4. Cancellations or Changes by the Organizer
4.1 In the unlikely event that the retreat is canceled by Golden Ricci LLC, participants will receive a full refund of all payments made.
4.2 Golden Ricci LLC is not responsible for any additional expenses incurred, such as airfare, travel insurance, or personal costs.
4.3 If the retreat is postponed, participants may transfer their payments to the rescheduled retreat dates.
5. Early Termination of the Retreat
5.1 In the event the retreat must be terminated early due to unforeseen circumstances (e.g., natural disasters, emergencies, or events beyond the Organizer's control), refunds will be prorated based on the portion of the retreat completed, minus non-refundable expenses already incurred.
6. Room Occupancy and Pricing Policy
6.1 All room options are priced based on their intended occupancy:
- Triple Rooms: Designed to be shared by three participants.
- Double Rooms: Designed to be shared by two participants.
- Single Rooms: Reserved for private occupancy.
6.2 All rooms share the five bathrooms in the farmhouse, which are cleaned regularly to ensure comfort for all guests.
6.3 If a room is not fully occupied due to final group size, participants may enjoy additional privacy as a fortunate outcome. This does not result in any pricing changes or adjustments.
7. Check-In and Check-Out Times
7.1 Check-in: Begins at 4:00 PM on August 10, 2025.
7.2 Check-out: Must be completed by 10:30 AM on August 15, 2025.
7.3 Participants are responsible for adhering to these times unless prior arrangements have been made with the Organizer.
8. Travel and Insurance
8.1 Participants are responsible for arranging their own transportation to and from the retreat location.
8.2 Participants must purchase comprehensive travel insurance that covers:
- Trip cancellations
- Medical emergencies
- Personal liability
- Lost or damaged belongings
9. Accessibility and Special Needs
9.1 The retreat venue is a historic property and may have limited accessibility for individuals with certain mobility or special needs.
9.2 Participants are encouraged to contact the Organizer in advance to discuss accommodations. While efforts will be made to assist, full accessibility cannot be guaranteed.
10. Health and Safety
10.1 Participants confirm they are in good physical health and able to participate in yoga and other retreat activities.
10.2 Participants must disclose any medical conditions, allergies, or dietary restrictions prior to the retreat.
11. Assumption of Risk
11.1 Participants acknowledge that yoga, physical activities, excursions, and travel involve inherent risks, including but not limited to injury, illness, falls, accidents, or physical exertion.
11.2 By attending the retreat, participants voluntarily assume all risks associated with these activities.
11.3 Participants agree to release Golden Ricci LLC and its affiliates from any liability for injuries, illnesses, or losses that occur as a result of participation in retreat activities, travel, or use of the retreat facilities.
12. Behavior and Property Damage
12.1 Golden Ricci LLC reserves the right to remove any participant whose behavior is deemed inappropriate, disruptive, or harmful to the retreat experience.
12.2 Participants are responsible for any damages they cause to the property, venue, equipment, or furnishings. Costs for damages must be covered by the participant.
13. Retreat Itinerary and Changes
13.1 The retreat itinerary is subject to change due to weather, vendor availability, or other circumstances beyond the Organizer's control.
13.2 The Organizer will ensure that any changes maintain the overall quality of the retreat experience.
14. Personal Belongings and Valuables
14.1 Participants are responsible for their own personal belongings.
14.2 Golden Ricci LLC is not liable for loss, theft, or damage to personal property.
15. Photography and Media Release
15.1 By participating in the retreat, participants grant Golden Ricci LLC permission to use photos and videos taken during the retreat for promotional purposes.
15.2 If participants do not wish to be photographed, they must notify the Organizer in writing before the retreat begins.
16. Compliance with Local Laws and Customs
16.1 Participants are expected to comply with all local laws and cultural customs.
16.2 Violations of local laws or cultural disrespect may result in removal from the retreat without refund.
17. Gratuities and Staff Appreciation
17.1 Gratuities for the Ebbio staff are not included but are warmly appreciated.
18. Emergency Contact Information
18.1 Participants must provide a valid emergency contact prior to the retreat.
19. Post-Booking Communication
19.1 Participants will receive all retreat-related updates and schedules via email.
19.2 Participants are responsible for reading and acknowledging these communications.
20. Force Majeure
20.1 Golden Ricci LLC shall not be held responsible for cancellations or disruptions caused by events beyond its control, including but not limited to:
- Natural disasters
- Pandemics or epidemics
- Travel bans or government restrictions
