• Annenberg 12th & 13th Floor Room Reservation Form

  • Room Booking Guidelines:

    • All Rooms on Annenberg 12th and 13th floors are available for booking*, but Icahn School of Medicine programming takes precedence over all other space needs for classroom and meeting rooms. All room reservations are subject to change or cancellation if an academic need arises within Medical Education.
      • *The 13th-floor labs will be unavailable to departments outside the Graduate School, Medical Education, and their respective programs until further notice. If a Lab Room is required, please request 12th Floor Labs ONLY.
    • Room Availability: To check room availability, please visit this site.
    • Advance Notice: All room requests must be submitted at least 24 hours before the event, excluding weekends and holidays. For Monday bookings, requests must be submitted by the prior Friday.
    • Room Management: Annenberg 12th and 13th floor room reservations are handled by the Curricular Affairs Operations Team (CAOT). Please plan ahead, especially during holiday periods, as delays may occur.
    • Shared Space: These spaces are shared by multiple departments, so your request may not always be fulfilled exactly as submitted. Planning ahead is essential.

  • Lab Usage Policy:

    1. Absolutely NO food or drinks are allowed in lab spaces (13-10, 13-12, 13-14, 13-16, 12-60, 12-62, or 12-98) due to safety concerns.
    2. ALL Lab-Based Sessions: Notify Jennifer Cameron, Lab and Learning Environment Manager at Jennifer.Cameron@mssm.edu at least two week prior to the session and include details about instruments or materials being used.
    3. Use of any human material must be pre-approved by Jennifer Cameron.
    4. Use of the Anatomy Lab A12-98 must be pre-approved by Jennifer Cameron.
    5. If you are using specimens, you must arrange for proper clean-up after your session through Building Services at marisol.nieves2@mountsinai.org
    6. The 13th-floor labs will be unavailable to departments outside the Graduate School, Medical Education, and their respective programs until further notice. If a Lab Room is required, please request 12th Floor Labs ONLY.
  • If you plan to have a catered event in our auditoriums or small group rooms, please ensure that all food is cleared from the area and the space is clean.

    Arrangements can be made with Building Services through Josue.vargas@mountsinai.org to dispose of your trash/clean up the space if necessary.

    We have the right to restrict access for those who do not clean up after themselves.

  • Policies and Etiquette for Space Usage:
    Failure to adhere to these policies may result in denial of future booking requests.

    1. Session End Times: Events must conclude by the scheduled end time. These are shared spaces, and other users may have reservations immediately after you.
    2. Cancellations: If you no longer need the space, please reach out to Ocsroomreservations@mssm.edu to cancel your booking promptly.
    3. Room Clean-Up: Leave the room in its original condition (e.g., dispose of trash, return furniture to its original layout). If needed, you can arrange for clean-up services through Building Services to Marisol Nieves at marisol.nieves2@mountsinai.org.
    4. Technology Use: Do not unplug or modify any electronics in the room.
    5. AV Support: AV support is not provided for reservations. Please coordinate any AV needs with Multimedia Services.
