What Is an In-Kind Donation?
An in-kind donation is a non-cash contribution, such as goods, services, or materials, that supports our project or operations. Instead of a financial donation, you are providing something of value that can be used directly in our work. In-kind donations may include:
Physical Goods: Such as professional hair products, tools, electronics, or office furniture.
Services: Donating your time and expertise, such as legal advice, design work, event planning, or other professional services.
Space: Providing venue space, meeting rooms, or other facilities.
Your donation helps reduce costs and allows us to carry out our work more effectively. However, to ensure everything is accounted for properly, the following requirements must be met.
Requirements for In-Kind Donations
To comply with funding regulations, Manes of Hope must document all in-kind donations accurately. As a donor, here’s what you need to know:
1. Donation Provided by a Third Party
Who can donate: The in-kind donation must come from you, the donor, or another third party, not from the grant recipient or any of their affiliated parties.
Who should complete this form: This form must be completed by you, the donor, to describe the goods or services you have donated.
2. The Donation Supports an Approved Project
The donation should be for an item or service that supports an activity listed in our approved project budget. This means it must be directly related to the work we’re doing as part of the grant-funded project.
3. Fair Market Value (FMV) of the Donation
We need to report the fair market value of your donation, which is the price we would pay for the same or similar goods or services in the open market.For products or goods: You can estimate the value by researching the retail price or providing a price list from the supplier.
For services: Please include an hourly rate or a standard industry rate for the type of service being donated (e.g., $100/hour for graphic design work).
Appraisals or receipts: If applicable, we may ask for additional documentation, such as an official appraisal or the retail price of donated items, to substantiate the FMV.
4. Donation Can Count Toward Matching Funds
In-kind donations may count toward matching requirements for the project, meaning your donation can help us fulfill the conditions of the grant. However, please note that in-kind donations are not eligible for reimbursement from the funding agency (e.g., NEA), so you will not receive any financial compensation for your contribution. Instead, your donation helps reduce our overall project costs and demonstrate community support.
5. Documentation of the Donation
For every in-kind donation, we need detailed documentation that proves the donation’s fair market value and its use in the project. This may include receipts, appraisals, or professional valuations of the goods or services you provide.
What We Need From You:
To properly acknowledge and document your in-kind donation, please provide the following:
Description of the Donation: Clearly describe the donated goods or services (e.g., "10 professional styling chairs" or "10 hours of photography services").
Fair Market Value (FMV): The estimated value of the donation, based on similar goods/services available on the market. If applicable, please provide receipts, price lists, or appraisals to support this value.
Donor Information: Your name, contact information, and the organization (if applicable).
Date of Donation: The date when the donation was made.
Use of Donation: A brief description of how the donated goods or services will be used in the project.
