    We are back in the Parks for our 3rd year of Pop-Up in the Parks events! We are so grateful to be able to bring these events to the community and we truly never thought we would be where we are now. In 2024, we were on cloud 9 as we were announced the winners of What Rocks Rockford's Best Local Event. These events mean the world to us, and we are so grateful you all love them as much as we do. We can't wait to show you what we have up our sleeves for 2025, and we couldn't do it without each and every one of our vendors. Thank you for your interest in being a part of Pop-Up in the Parks!   • POP-UP IN THE PARKS 2025 INFORMATION

    PLEASE READ ALL INFORMATION BEFORE SUBMITTING YOUR APPLICATION.
  • Pop-Up in the Parks: Spooky Edition 2025

    October 4th, 2025

    3:00pm-7:00pm

    8760 North Second Street, Machesney Park, IL (the Machesney Park Mall parking lot).

    THIS IS AN OUTDOOR EVENT. IT IS OUR SPOOKY EVENT, AND IT WILL GET DARK OUT. AS MANY OF YOU KNOW, LIVING IN THE MIDWEST, THE WEATHER CAN BE VERY UNPREDICATBLE. VENDORS MUST PREPARE FOR THE COLD WEATHER AND HAVE APPROPRIATE LIGHTING FOR THEIR BOOTH.

    IF YOUR BUSINESS REQUIRES ELECTRICITY, YOU MUST PROVIDE A GENERATOR. THERE IS NO ELECTRICITY AT THIS LOCATION!

     

  • EVENT DAY GUIDELINES & PROCEDURES:

    PLEASE READ ALL INFORMATION BEFORE SUBMITTING YOUR APPLICATION.
  • BOTH EVENTS WILL BE HELD OUTDOORS. YOU WILL RECEIVE A 1OX10 BOOTH SPACE AND BE REQUIRED TO BRING YOUR OWN CANOPY, TABLE(S), AND CHAIR(S). YOU MAY NOT EXCEED THE 10X10 FOOT SPACE THAT YOU ARE GIVEN.

  • SET UP TIME AND INFORMATION:

    WE PUT ALL OF OUR INFORMATION NECESSARY FOR THE EVENTS IN OUR FACEBOOK VENDOR GROUP. IF/WHEN YOU RECEIVE YOUR ACCEPTANCE EMAIL, THERE WILL BE A LINK TO JOIN THE GROUP. YOU WILL NEED TO ENTER THE GROUP FOR ANY FURTHER IMPORTANT EVENT INFO.

  • CLEAN UP:

    YOU MUST WAIT UNTIL THE END OF THE EVENT TO BEGIN TAKING DOWN YOUR ITEMS AND YOUR BOOTHS. IT IS EXTREMELY DISRESPECTFUL TO THE HOSTS, GUESTS, AND OTHER VENDORS TO BEGIN TAKING YOUR BOOTHS DOWN EARLY. IF IT BEGINS TO BECOME SLOWER TOWARDS THE END, ALYSSA AND ELIZABETH WILL WALK AROUND AND GIVE YOU THE HEADS UP THAT IT'S OKAY TO START CLEANING UP! 

    AS WELL AS NOT TAKING DOWN YOUR ITEMS EARLY, PLEASE BE RESPECTFUL BY MAKING SURE THE TRASH AROUND YOU IS CLEANED UP. YOU MUST MAINTAIN SPACES IN A CLEAN CONDITION AND REMOVE ALL WASTE BEFORE LEAVING THE EVENT.

  • CANCELLATIONS:

     

    VENDOR CANCELLATIONS WILL NOT RESULT IN RECEIVING REFUNDS. ONCE YOUR MONEY IS SENT, IT GOES DIRECTLY INTO FUNDING OUR EVENT EXPENSES. ANY CANELLATION DUE TO WEATHER, WE WILL RESCHEDULE.

  • LIABILITY/HEALTH DEPARTMENT 

    Vendors shall comply with all laws, ordinances, rules and regulations of any lawful authority, agency or government unity which apply to the use of its vending space, including without limitation, any state or local applicable fire and building code and/or health regulations applicable to the locality in which the event is taking place.


    The Vendor shall be solely responsible for any and all injuries to persons or damages to property or any other injury, claim, damage or loss of whatever nature, arising from or related to the Event.

    Vendor shall indemnify, save and hold harmless Pop-Up in the Parks, its agents, and volunteers from, and against all liability, loss, damages, claims, costs and expenses (including reasonable attorney’s fees) arising out of injury to person (including death) or damage to property or any other injury, claim, damage, loss, cost or expense arising from the Event performed by vendor including, but not limited to, any negligence, act or omission of vendor.

    The Vendor agrees to accept responsibility for all materials and goods furnished by him/her, and used or displayed in the booth area and accepts full responsibility for his/her personal property. Vendor agrees that Pop-Up in the Parks, its volunteers and agents shall have no responsibility whatsoever for any loss or damage to vendor’s equipment, supplies, goods or other property.

    Pop-Up in the Parks shall not be liable for any loss or damage to the property of vendor or any of its representatives, employees, agents, patrons and guests, because of fire, robbery, accidents, or any other cause whatsoever that may arise from vendor’s use or occupancy of its allocated space during the Event.


    The Vendor agrees to indemnify and hold harmless Pop-Up in the Parks, representatives, and agents against any and all claims of any person whomsoever, from acts or omissions of the vendor, its representatives, employees, agents, patrons, or guests.

    All food vendors must be up to date with the health department and submit the correct paperwork in order to be approved and accepted into Pop-Up in the Parks Events.
