Updated December 2024 This Privacy Policy describes how Fantastic International Tours Ltd.,Part collects, uses and shares information about you when you visit and use our websites (mobile and desktop) and mobile applications (collectively, the "Site") or other methods linked to the Site (such as contacting Customer Support via chat or email). 1. Information We Collect When you visit our Site, we may automatically collect certain usage information, such as your IP address, geographic information, country, search preferences related to specific searches, browser, and information about your device's operating system, application version, language preferences, and the pages displayed to you. If you use a mobile device to use our App or Mobile Site, we may collect information that identifies your mobile device, such as your device's number, device location (with your permission), and specific device settings and characteristics.
We also collect information about you that you provide to us when using the Site or making a reservation (in relation to accommodations, flights, activities such as tours or other travel activities or other services provided together, "Travel"), such as your or any other guest's name, address, telephone number, credit card details, email address, travel supplier name, travel destination and/or length of stay, any special requirements.
In addition to booking your flight, we may also collect your name and/or the names of your passengers, date of birth, gender, nationality, passport or identity card details (e.g. passport or national identity card number, country of issue, expiry date, citizenship, visa requirements), information about your flight (e.g. price, booking date, itinerary, online or at the airport check-in, information about additional services purchased such as additional baggage, upgrades) and information about your flight supplier's loyalty or similar programs.
If you decide to book a tour or other travel activity through our website, there may be additional information that we may collect from you in addition to those set out above, depending on the type of tour or travel activity you are travelling to, including additional information about your travel itinerary (e.g. if you or your guests will be arriving by air, sea or train, arrival/departure time, pick-up/drop-off location), your preferred tour/activity language, height, weight, dietary requirements and any other information about any special needs our travel suppliers need to consider in relation to your participation in the tour/activity (including child safety information).
If you wish to contact Customer Support or contact us through other channels (such as via social media or messaging apps, or communicating with travel suppliers through us), we will collect information you choose to provide through those contact channels.
When you submit a review of your trip or other optional services available on our site through us, we will collect information from you that is included in your review, including your name, country of residence and a photo of your trip (if you decide to submit any such information - please refrain from submitting any personal information in the photo, such as your face or other identifying features).
You can participate in our referral program or other promotions, in which case you will provide us with some personal information. You can also provide us with feedback on your experience or ask for help through our Site or our communication tools.
When you book a property for sharing with other guests, where you provide such information to us as part of the booking process, or if you book a property for the stay of others, you are responsible for ensuring that the person or groups about whom you provide personal data to us are aware that you are doing so and understand and agree to how Agoda uses such information (as detailed in this Privacy Policy).
Our travel service suppliers may also share your personal data with us, possibly in the event that you have questions about an unconfirmed booking or a dispute regarding your booking.
Special categories of personal data
Certain types of personal data, such as religion, gender, health-related information and children’s information, are considered sensitive and may require additional protection under applicable law. While we do not typically collect sensitive personal data for standard travel bookings, we may occasionally need to collect such data, such as as part of travel regulatory requirements (e.g. mobility issues), if it supports a transaction or request you ask us to make on your behalf, such as canceling or modifying your booking (e.g. health information contained in a medical certificate). While we discourage you from providing us with sensitive information through any of our channels, you may voluntarily share such information through any interactions you may have with us (e.g. your dietary preferences or other special travel needs). You may choose to provide us with other information that may imply or convey information such as your religion, gender, health or other sensitive information, such as when you indicate a preference for the type of food you would like to be served. The collection and processing of such sensitive personal data will be consistent with what is set out in this Privacy Statement.
When you make a booking, our systems record how you made your booking and from which website. We may also collect certain information through cookies, tags and similar technologies, as detailed below.
2. How we use the information we collect
We may use information collected through the Site to:
Provide services you request, such as creating a user account, processing and confirming your booking, and communicating with you about the services you request (e.g., providing pre-booking or post-booking customer support via channels such as our website, email, phone, our social messaging apps (e.g. Whatsapp, Line, Kakao, Wechat, etc.); handle special requests, cancellations, rewards;
send you marketing communications about products, services, news, offers and promotions, or questionnaires that may be relevant to you. The section on “Marketing Channels and Opt-Out of Marketing” further explains the marketing channels we may use to communicate with you, and how you can opt out of being contacted by us – you always have the right to opt-out;
issue surveys or provide you with information about our services on our website or other websites you may visit;
maintain and improve the Site; customize the user experience (including identifying/providing advertisements about products and services that may be relevant to users or that may be of interest to users), and for internal training;
protect your safety and that of the Site;
exercise any rights or obligations authorized or required by law, including responding to legal requests and claims;
when you make a booking on one of our business partners’ websites or apps, we may receive certain information, such as your name and booking information, including the trip you booked, to process your booking and identify which channel your booking came from.
During phone calls with Customer Support, the conversation may be live-streamed or recorded for reference and improvement of our services, including when receiving complaints, when conducting training, and for fraud detection. If you do not wish to have your conversation recorded, you may decline by informing a representative or by hanging up the phone. Recorded conversations will be retained for a period of time and will then be automatically deleted, unless we has a legitimate reason to retain the recording for a longer period of time, including for fraud investigations and legal purposes.
If your online booking has not been completed, we may send you up to two reminders to proceed. We believe this additional service is beneficial to you because it allows you to proceed with your booking without having to search for the trip again or enter the booking information from scratch. These reminders are one-time communications and the booking information used for such reminders will be removed from our systems in accordance with our data retention policy as detailed below.
Please note that the confirmation emails and text messages sent to you after booking are not marketing messages. They are part of your travel booking process, include check-in information for the travel service you have booked, and are a separate invitation to write a review. You will continue to receive these messages even if you opt out of receiving marketing messages from us. Similarly, opting in to receive price alerts will not affect your other choices regarding receiving communications from us. If you opt in to receive price alerts, you can opt out of receiving such alerts from us by clicking the “Turn off Price Alerts” button or similar text contained in the price alerts we send you.
If you select a Mix and Save offer but only partially book a room (for example, complete one of two room types), we may send you an email to confirm that you have selected a Mix and Save offer and to remind you to complete your entire reservation for the Mix and Save offer you selected. This message is part of the Mix and Save offer booking process to confirm your selection and to remind you if you have not completed your entire reservation for the offer. We may also send you an email prior to your check-in date to remind you about room changes during your stay.
As mentioned above, if you make a booking for another person who will be staying at the booked property, you also have the right to provide the guest's email address so that the guest can receive a booking confirmation and a separate invitation to write a review of their stay under this Privacy Policy.
Customer support on social messaging apps (e.g. Whatsapp, Line, Kakao, WeChat, etc.)
We may maintain social media accounts (watch out for fake accounts!) and we may integrate with existing social media services (e.g. social media messaging apps such as Whatsapp, Line, Kakao, WeChat, etc.) to allow you to communicate with us about your bookings, travel, and our services. Whenever you connect with us through these apps, you may instruct your social media provider to send us information about you, such as your username, phone number, or other profile information, as controlled by your provider or as permitted by you through your privacy settings. Your social media provider will usually inform you about what information it will share, so please read their privacy and cookie policies carefully in advance.
