    Setup: 7:00am-9:30am, Saturday, April 25th

          *This is a NO-Refund/non-credit event and will be held rain or shine.*

    Vendor Fee is $100

    You will receive e-mail with vendor fee payment instructions

    ·  Vendor slots are filled on a first-come-first-serve basis, once payment is received.

    ·  Vendor fees include advertising for the event, venue, attention grabbers for the event, and anything we think would make the event a success.

    ·  You will need to provide your displays or anything needed to sell at yyourfood truck. PLEASE remember that you have a limited amount of space so please plan accordingly.

    In Statements below "Food Trucks/canopy" are considered to be the owner, employees, or volunteers

    Rules and Regulations


    **Note: Event reserves the right to not accept vendor menu that directly competes with another vendor

    Fresh Food Truck/canopy: offer fast festival food that is prepared WITHIN their truck/canopy


    All operations must stay within the truck/canopy.


    BEVERAGE RULES
    *All food trucks/canopies may sell any non-alcoholic beverages. All drinks and pricing must be included on menu submitted with application.


    ELECTRICITY
    *Electricity is not provided by the event, however Vendors are permitted to use a quiet generator.

    *All electrical cords must be covered if stretched across grass or walkway.


    FIRE PREVENTION
    *All food trucks/canopies must have at least two (2)- 2A40BC rated portable fire extinguishers


    *All propane tank use and storage must comply with NFPA 1 and 58 HEALTH PERMITS


    *All food trucks/canopies must apply and be approved for any Permits required by the State of Tennessee to operate at this event.


    *All food trucks/canopies MUST display all required documentation required by the State of Tennessee to operate at this event.


    *AlI food trucks/canopies must submit copies of required documentation prior to set up on the morning of the event for the event coordinators to keep on file


    ARRIVAL AND SET UP


    *Food trucks/canopies are required to check-in at registration tent prior to setting up to get location of space for the day.


    *All Health Permit copies are required at check in


    *Set up starts at 8:00am and food trucks/canopies must be set up and ready to sell by 9:45am (we understand if your food truck/canopy is a "Iunch" menu but to ensure safety of our patrons, no set up allowed after 9:30am)


    *Food trucks/canopies and its attendants must be present and open for business during ALL event hours

     

    MENU


    *Food trucks/canopies are allowed to sell ONLY menu items that were submitted on the registration form, additional menu items or changes must be approved and have consent from event coordinators
    before event date


    PHOTOGRAPHY AND PROMOTION


    *Food trucks/canopies agree to allow use of video and photography taken by Event organizers at the event for promotional use


    *Food trucks/canopies agree to allow use of photography taken from and use of FB posts for promotional use.


    PROPANE TANKS


    *All food trucks/canopies with propane tanks are required to bring all necessary equipment to properly secure them.


    SAFETY AND SECURITY


    *All food trucks/canopies, owners, employess, and volunteers shall sell and serve food at their own risk


    *All food trucks/canopies, owners, employess, and volunteers must obey all pertinent safety codes and laws, including but not limited to fire, safety and parking regulations,


    *Event organizers reserve the right to shut down any food truck/canopy not meeting cleanliness and food storage safety codes and laws,


    *All food prep must be done inside food truck/canopy.


    SPACE
    *Food trucks/canopies will provide all required equipment for operations and sales


    *Food truck/canopy signs cannot extend further than 3 feet from the facade of truck


    *Food trucks/canopies are liable for any injury or damage caused by signs


    *All food prep and cooking must be done inside truck/canopy.


    WASTE


    *No grease or gray water disposal is available


    *No Water is provided at the event


    *Food trucks/canopies are responsible for removing debris/trash and ensuring the general cleanliness of the area.

     

    WEATHER
    *The Cackling Hens Craft Fair will take place rain or shine. Applicants agree to be present despite weather conditions.


    *Each participating Food truck/canopy is responsible to prepare their area/displays to withstand weather
    fluctuations including wind and rain.


    LEGAL
    *Food Trucks/canopies are INDEPENDENT CONTRACTORS


    *Food trucks/canopies execute this Agreement as independent contractors and shall at all time have complete supervision, direction, and control over the services to fulfill requirements.

    Food trucks/canopies 
    execute this agreement as independent contractors, not as employees of Event.


    "Food trucks/canopies will assume responsibility for appropriate payment of payroll taxes and charges under applicable federal and local laws.


    *Food trucks/canopies agree to take complete responsibility for paying the appropriate federal and state taxes as independent contractors.

  • COTTAGE BAKER

    RULES/REGULATIONS

     

    Tennessee Food Freedom Act (FFA): The FFA, enacted in 2022, allows homemade food businesses to sell non-potentially hazardous food products directly to consumers without requiring a commercial kitchen or specific food processing facilities.

    Permissible Foods: Generally, foods that don't require refrigeration for safety can be sold, such as:

    *Baked goods (bread, cookies, cakes without custard fillings, pastries)
    *Candy
    *Jams, jellies, and preserves
    *Dried spices and baking mixes

    Prohibited Foods: The law does not permit the sale of potentially hazardous foods like:

    *Products containing meat or poultry (unless specifically allowed under federal guidelines)
    *Any products requiring refrigeration

    Legislation (HB 130/SB 484) approved in 2025 expands the types of homemade food items that can be sold to include poultry and pasteurized dairy products, in accordance with federal law. Home-based businesses selling poultry products must either meet the 1,000-poultry exemption or use federally or state-inspected products. For potentially hazardous or time/temperature control for safety foods, the production date must be provided to the consumer.

    Labeling Requirements:
    Cottage food products require specific labeling, including the producer's name and address, the food's common name, ingredients listed by weight, net weight in both Imperial and metric units, a lot number or date, and a disclaimer stating the product was made in a private residence and may contain allergens.

    2.  The Cackling Hens Craft Fair, it's officers, members, employees, volunteers,  and agents 

    Against any and all costs, claims, damage costs, and attorney fees or damages arising from your participation in any of the Cackling Hens Craft Fairs.
