Exhibitor Contract Agreement
TITLE AND TAX: Notorious Tattoo Expo herein referred to as "Organizer" and Sponsors, Vendors and Artists herein referred to as "Exhibitors". Exhibitors are required to obtain all required license(s), permit(s).
EXHIBITOR SPACE: Up to 2 registered artists (Tattoo Artists/Body Piercers) per booth will be permitted to tattoo/pierce at any given time - no exceptions will be made. In order to maintain a standard, we request an advertised minimum of $150 for tattoos and a $50 minimum for body piercings including jewelry.
Organizer will provide an 8'x10' back drape, 3' side drapes, 2 tables, 2 chairs, 1 BioHazard sharps container, 1 trash bin, 1 gallon of distilled water and electricity.
Exhibitors must provide their own furnishings, lights, extension cords and power strips. All booth decorations installed by Exhibitors must be made of fire-proof materials.
Exhibitors will be held responsible for any damages to booth structure or Visalia Convention Center, 303 E. Acequia Ave., Visalia, CA 93291 incurred during occupancy of their space. Nothing shall be tacked, nailed, screwed or otherwise attached to drapes, walls, floors, trees or other parts of the facilities.
EXHIBIT HALL SET-UP: Access to the loading zone will be available on Friday, September 12, 2025 from 9:30 AM - 12 PM. All large items, trailers and vehicles must be removed from the loading zone by 12 PM. Access through the loading zone will not be available after 12 PM. Access to the loading zone will also be available both Saturday, September 13, 2025 and Sunday, September 14, 2025 from 9:30 AM - 11 AM. All large items, trailers and vehicles must be removed by 11 AM. Access will not be available after 11 AM. All Exhibitors shall be set up and ready for showtime 30 minutes prior to event start.
EXHIBIT HALL TIMES: The exhibit hall will be open to the public at 2 PM to 11 PM on Friday, September 12, 2025, from 11 AM to 11 PM on Saturday, September 13, 2025 and 11 AM - 9 PM on Sunday, September 14, 2025. The exhibit hall will be closed and secured both Friday and Saturday night by 12 AM.
No large pieces started 2 hours prior to closing, only small pieces 1 hour prior to closing.
EXHIBIT HALL TEARDOWN: No exhibit space may be removed until 9 PM Sunday, September 14, 2025. Violation of the teardown rule will result in loss of seniority for next year's event as well as a $200 early closing fee. All booths must be vacated by 11 PM on Sunday, September 14, 2025. Access to the loading zone will be made available at 9 PM on Sunday, September 14, 2025. The Organizer requests that BioHazard sharps containers be left at the forefront of the booth by 10 PM on Sunday, September 14, 2025 for collection by the Organizer. The Organizer will assume responsibility and make arrangements for the proper disposal of sharps containers.
EXHIBITOR STORAGE & DELIVERIES: Organizer assumes no responsibility for stored items or valuables and will not provide crates or lockers on site. Exhibitors are in charge of receiving their own deliveries. Organizers cannot accept deliveries for any Exhibitors.
EXHIBITOR WRISTBANDS: Each booth will be issued 3 Exhibitors lanyards and wristbands - 2 Artists and 1 Assistant. Additional wristbands are available for purchase for $25 USD each. Artists and Assistants are required to wear wristbands during the show's entirety. Sharing wristbands/lanyards with additional individuals is cause for ejection from the event with no refunds.
IDENTIFICATION & CONSENT FORMS: Legal age requirement is 18 years old for all tattooing. Valid ID is required for verification. No work shall be performed on any individual under the age of 18. For liability reasons, the minimum piercing age during the event is 16+ with valid proof of parental consent. All clients must complete and sign a consent form.
ALCOHOL AND DRUGS: Alcohol and drugs are NOT permitted at the artist booths. Alcohol is only allowed in the convention hall if purchased from the alcohol vendors located in the Visalia Convention Center Courtyard or indoor beverage counter. It is the responsibility of the Exhibitors to judge a client's level of intoxication. The Exhibitor has the right to refuse service to an attendee who is intoxicated. Drugs are strictly prohibited from the convention center grounds. Vaping of nicotine and non-nicotine products is strictly prohibited indoors. Security will be on site.
STERILIZATION PROCEDURES: All needles must be single-use and disposed of in the BioHazard sharps container which will be provided by the Organizer. Artists must use machine bags and grip sleeves. All Exhibitors must use disposable tubes/cartridges. All tools must be single-use and disposable. No metal tubes or metal piercing tools. Piercing jewelry must be pre-autoclaved/pre-sterilized and be used for initial piercings only. Piercers must have printed records of autoclave info/tests (I.E.: CrossTex).
CLIENT AND PRACTITIONER HEALTH RELATED INFORMATION: By Health Department regulations, Exhibitors must supply each client with an aftercare sheet. If needed, an aftercare sheet will be provided to Exhibitors by the Organizer at check-in. Artists are responsible for making sure the client receives and understands the aftercare sheet provided to them.
BODY PIERCING AND MODIFICATIONS: Most body piercings are allowed except for genital piercings (*please see Family Friendly Event). Body modifications such as: tongue splitting, scalpelling, cutting, and/or branding are not allowed at this event. FAMILY FRIENDLY EVENT: The event is advertised as family-friendly. Indecent exposure is not allowed. All private areas/genitals must be covered. If the Exhibitor plans to offer this service they must provide their own opaque screen, one will not be provided by the Organizer.
WORKSTATION & CLIENT SAFETY: Only artists/assistants/clients are allowed inside the booth. Onlookers must observe from outside the booth as a safety precaution. Fresh tattoos pose a threat of cross-contamination so clients must be bandaged cleanly and safely once tattooing is finished. All tattoos performed at the convention must be bandaged prior to the client leaving the booth. Bandages may be removed for the purpose of entering the tattoo contest.
CLEANING: Exhibitors must keep the booth area clean & presentable to the public. Trash cans should be put at the front of the booth at closing for removal by facility maintenance personnel. Staff will periodically stop by booths to empty full trash bins throughout the show.
SECURITY: The Organizer provides security and will exercise reasonable precaution for protection of property of Exhibitors but maintains no responsibility for loss or damage incurred during the event. All Exhibitors are to follow Visalia Convention Center site rules and regulations and are subject to ejection from site by security if deemed necessary. No refunds will be provided in such a case.
SOUND DEVICES: Sound amplification devices must have prior approval from the Organizer. DJ & Live Music will be scheduled throughout the event. Personal sound devices (i.e. speakers) must not directly interfere with music played by scheduled entertainment. Personal sound devices should not be in walkways or on top of Artist booth tables.
SOUVENIR POLICY: No merchandise that has show name, logo or artwork will be sold without prior written approval of the Organizer. No merchandise with the names "Official", "Annual", "Official Souvenir", or "Commemorative" is permitted to be sold. There will be official souvenirs available for sale at the event.
ADVERTISEMENT AGREEMENT: The Exhibitor hereby authorizes the Organizer to publish the name and logo in the following ways including but not limited to: banners, backdrops, posters, billboards, flyers, DJ, announcements, newspaper articles, program pamphlets, magazines, tickets, tickets booths, plaques, main stage, various social media platforms, video recordings, audio recordings, official show website and other marketing materials which the Organizer elects to publish.
TERMS AND CONDITIONS: This agreement shall not be binding until accepted by the Organizer. Exhibitors shall not be entitled to exhibit in said exhibit space unless the rental fee has been paid in full within the expressed time frame. This agreement shall not be re-assignable by the Exhibitor. A deposit of 50% made by the Exhibitor is due upon acceptance of this signed agreement by the Organizer. The remainder of the balance shall be due within 4 weeks of acceptance. There will be no refunds for failure to meet this deadline or for unoccupied space leased. Checks will not be accepted, payments will be accepted through invoicing systems (credit/debit card accepted). Organizer shall have full power to interpret and enforce all rules contained herein and the power to make amendments thereto. Organizer shall retain full power to enact such further conditions of agreement as it shall consider necessary for the proper conduct of the exhibition. Exhibitors will not be entitled to recover payment from Organizer regarding any consequential damages to property, or loss of use, loss of time, loss of profits or loss of income that may arise out of Organizers' enforcement of the Terms and Conditions of this contract.
INDEMNIFICATION: By signing this agreement the Exhibitors shall defend, indemnify and hold free of responsibility The Visalia Convention Center, The Notorious Tattoo Expo, their parent companies, subsidiaries, affiliates, directors, officers, employees, insurers and agents herein from and against all claims, damages, losses and expenses, including attorneys' fees arising out of or resulting from the acts, errors, omissions, conduct or operations of the Exhibitors, provided that any such claim, damage, loss or expense (1) is attributable to bodily injury, sickness, disease or death or to injury to or destruction of tangible property, including the loss of use resulting there-from, and (2) is caused or is claimed or alleged to have been caused, in whole or in part, by negligent act, error, omission, conduct or operation of the Exhibitors, or any subcontractor, or anyone directly or indirectly employed by any of them or anyone for whose acts any of them may be liable, or (3) is abused or is claimed to have been caused, in whole or in part, by any product sold or service rendered by the Exhibitors, its agents, employees or subcontractors.
PROPERTY DAMAGE: Organizer shall not be held responsible for any loss or damage to property of other party including, but not limited to, loss or damage caused by theft, fire, smoke, natural disasters, public enemy, riot, civil commotion or other insurable factors hereto with respect to any loss or damage. It shall be the responsibility of the Exhibitors, respectively, to secure their own insurance or otherwise protect themselves and its properties against any such loss or damage.
UNAVAILABILITY OF BOOTH SPACE: If event booth space leased or any portion thereof is not available for occupancy upon commencement or during the term of this agreement due to fire, casualty, natural disasters, strike, civil commotion, national emergency or any other cause beyond the control of Organizer this agreement and obligations of Organizer and Exhibitors hereunder shall terminate. Exhibitors hereby waive any claim against Organizer for damages by reason of such termination, provided however that any unearned portion of the lease fee due shall abate, or, in the event the show is rescheduled to a later date the Exhibitor’s cost will be transferred to the new show date.
