    These conditions apply to all vendors and participants including charitable organizations, community organizations, and fee paying stallholders.

     

    This document is also designed to serve as a reference guide with the aim to equip vendors and new applicants with as much information as possible in preparation for our market events.

    Included is comprehensive details about market operations, layout, facilities, parking, and other information to assist you.

    To complete the application form you will need:

    • A copy of your Insurance Certificate of Currency
    • Up to 4 images of your goods or stall. These images need to be less than 400kb to upload.

    General information:

    The Willunga Quarry Market (WQM) is staged on the 2nd Saturday of every month and takes place at Willunga Recreation Park, 2 Main Road, Willunga, South Australia

    • The market manager is appointed by and responsible to the Willunga Recreation Park Inc executive committee.
    • The market is community focused and serves as a fundraising enterprise to improve and maintain the WRP grounds and continue to provide the facilities for community use and engagement.
    • The market consists of indoor and outdoor stalls and includes a large number of sites allocated to permanent users.
    • The current number of bookable sites, as of Jan 2025, is 77 which includes up to 47 indoors.
    • The outdoor market includes a food vendor area and outdoor seating.
    • The indoor section may contain food and seating on a seasonal basis, or as part of alternative layouts which form part of our weather or attendance contingency planning.
    • Both indoor and outdoor standard stall sites are 3x3 m.
    • The cost of a standard site is $25.00
    • If power is required, there is a fee of $5.00 per market.
    • Indoor vendors may have use of up to 2 trestles if required.
      Outdoor vendors must supply all marquees, furniture and weights.
    • Stallholders can choose between indoor or outdoor sites on application.
      Specific site locations are allocated by market manager, but all due consideration will be taken with those placements.
    • Stallholders are required to have $10 million current liability insurance. A Certificate of Currency is required as part of the booking process.

    TERMS AND CONDITIONS/OPERATIONS INFORMATION

     

    1. Vendor eligibility

    1. Vendors wishing to be considered for the WQM must apply using the form included in these terms and conditions, however submission of an application form does not guarantee acceptance or placement at any event.
    2. The WQM is curated for variety and currently includes a number of long-term, permanent vendors presenting a range of goods and services.
    3. Our priority with new vendors are stallholders that present products that are handmade by the stallholder, including crafts, artisan goods, and produce. Curated vintage and second-hand goods are also considered within this scope.
    4. Stallholders who on-sell mass-produced or commercially made items may be considered on a case-by-case basis.
    5. Shared sites may be permitted under certain circumstances, however both parties must submit a separate application form as well as insurance documentation.
    6. An ABN is not required to apply or participate.
    7. We welcome first time or beginner vendors.
    8. Vendors that sell packaged or sealed alcohol only, ie no service of beverages, are classified as general vendors however must provide licensing proof and information as part of the application process.
    9. Stallholders that are active on social media and would promote WQM and fellow vendors are also desirable.
    10. Stallholders that have participated in WQM in the past but have not attended for some time or have been deleted from the mailing list due to lack of response or activity will be required to reapply and will be classified as new/casual stallholders.
    11. New applications can be lodged any time.
    12. Successful applicants will be notified via email as soon as they have been approved, however site availability may still vary, and casual stallholders may be place on a waiting list.
    13. The sale of live animals will not be considered.
    14. Stallholders that misrepresent purchased items as handmade will not be accepted.
    15. Stallholders that misrepresent themselves as charities or as young entrepreneurs will not be accepted

     

     

    Applications will be assessed according to several criteria including

    • Diversity of goods or services from our current participants
    • Quality of goods and standard of presentation
    • Quality of application and communication

     

     

    2. Vendor categories

    There are 3 categories of stallholder at the WQM.

    • Casual : stallholders that attend on a month by month basis, subject to site availability and vendor availability.
    • Regular : stallholders that attend on a regular basis and a minimum of 6 markets per year.
    • Permanent : stallholders that have nominated to attend all markets and have specified stall sites allocated.
    • All new stallholders will be considered casual but may apply to be listed as a regular or permanent vendor after a 3-market attendance.
    • Regular and Permanent stallholders are eligible for a discount if paying for 6 market paid in advance (6MPA)
    • Regular and Permanent stallholders who consistently do not respond to emails, consistently cancel or do not attend the stated number of markets will no longer be eligible for (A6MB) or the discount and will be reclassified as casual. Any remaining credit may be refunded if requested.
    • Further terms and conditions for 6MPA are included on the payment and agreement form.
       

    3. Goods & Products

    • Vendors must provide a detailed description of the products they intend to sell as well as providing images as part of the application form.
    • Images must be under 400kb to be uploaded to the form. Images can be resized using basic software on a computer/laptop or through photo/gallery options on both android and iPhone.
    • Goods sold/displayed must be as stated on your application form.
    • Vendors can only offer for sale the approved products stated on the application form submitted by the stallholder.
    • Vendors wishing to include additional items must apply for approval to include those items as soon as receiving the email requesting RSVP for the upcoming market. Approval is not guaranteed.
    • Any goods not approved prior to the market may be required to be removed from sale.
    • All items must be priced with visible labels or signage.
    • Products that contravene environment policies of local, state or federal government or WRPInc, or present risk to the environment will not be permitted. This includes but is not limited to plastic-based glitters, balloons, single use plastics etc.
    • Stallholders are responsible for ensuring their products conform to Australian Standards & the organisers reserve the right to refuse or deny the right to trade if the goods are not of a suitable standard, for example offensive, dangerous, toxic or illegal.
    • Raffle tickets may not be sold, unless arranged with the event committee in advance of event date.
    • Lucky dips must be included on your application forms and stallholders must detail the contents of those prizes.
  • 4. Attendance confirmations and site booking process

    Please make sure to regularly check your emails as this is the primary method of communication including site bookings and event invitations.

     

    In summary, in the lead up to the market you will receive as part of the booking process:

    -          Market attendance confirmation request.

    -          A payment request if applicable

    -          A pre-event email with site information

     

    1. An email requesting vendor confirmation of attendance will be sent between 10-14 days prior to the market date.
    2. All vendors must reply to attendance confirmations, this includes permanent stallholders, and unpaid charity stalls.
    3. Permanent stalls form the basis of the market layout, followed by regular vendors. The remainder of the sites are available to casual users, and the number of sites may vary between markets.
    4. Casual stallholders will be invited on a rotating basis, and may be dependent on sites available, as well as ensuring a diversity of stalls in relation to permanent or regular vendors already confirmed.
    5. The manage will also work to ensure opportunities are rotated to allow for different stallholders to attend throughout the year as is available
    6. Casual stallholders are also welcome to email and expression of interest (EoI) for any market date in advance and will be notified as soon as possible if a stall site is available.
    7. Vendors that fail to respond to invitations or any other emails that ask for a reply will be removed from the mailing list and may not receive an invitation for any future event.
    8. Permanent or regular stallholders that fail to respond to invitations and emails may be reclassified as casual vendors.
    9. Site payment must be made by the due date stated in the payment reminder email. This date is usually the Tuesday preceding the market date.
    10. Only legacy stallholders with a pre-arranged agreement are permitted to pay cash on the day. If for some reason the manager or representative is unable to visit your stall to collect fees, it would be appreciated if you could go to the information table inside festival hall and make payment.
    11. A pre-event email will be sent to all vendors on the Wednesday preceding the market. Please read it.
    12. The pre-event email is an important document that will contain updates and additional information including parking, vehicle access and other details. This may weather updates, maps and information on other activities at the venue which could affect your activities and access.
    13. If your site is listed as TBC on the site map, this means that I have not received payment or I am not able to account for your payment due to a missing reference on your deposit, or you have not sent me a receipt of payment.
    14. If you have not been listed on social media, this means that I have not received payment or am not able to account for your payment due to a missing reference on your deposit, or you have not sent me a receipt of payment.
    15. The manager will attempt to fill any vacant or unconfirmed (TBC) sites up to the market date where possible, including by advertising for new vendors.
    16. Sites are non-transferable. You stall can be staffed by a proxy in case of sickness or emergency, however the goods must remain as per the original application.

     

    5. Payments

    • Stallholders will be required to submit payment via direct debit to the bank account listed on the application form and at the end of this document by no later than the due date requested to complete and secure their booking. Typically this is the Tuesday preceding the event at the latest.
    • Payees must include a reference when depositing fees.
    • Failure to include a reference means that your payments cannot be properly accounted for, and therefore we cannot confirm that you have paid. Stallholders should also send a receipt of their deposit to ensure payment is properly recorded.
    • Payment will only be accepted via direct deposit to the bank account listed as part of the contact information included in the terms and conditions here. No requests will be made to pay via paypal, and any suspicious payment requests should be reported to WQM manager as soon as possible.
    • Only legacy members with a pre-arranged agreement are permitted to pay cash on the day at which time you will be issued with a receipt. If for some reason the manager or representative is unable to visit your stall to collect fees, it would be appreciated if you could go to the information table inside festival hall and make payment.
    • Bank details are included later in this document.

     

  • 6. Refunds and Vendor Cancellations

    • Cancellation by vendor up to, but no later, than 48 hours prior to event start time, ie 9:30am the Thursday preceding will be granted a market credit. If the vendor is a casual stallholder and is not able to attend a market within 3 months following the date of the original booking, they can request a refund instead.
    • No refund or credit will be given to vendor if cancellation is received after 10 am the preceding Thursday, ie less than 48 hours before the event. This applies to all vendors including permanent stallholders.
    • Stallholders that have 6-month advance payment agreements will be deducted the associated stall fee if cancelling less than 48 hours prior to event.
    • No refunds or credits will be granted to no shows. This applies to all users and stallholders that 6-month advance payment agreements will still be deducted the associated stall fee.
    • No refunds or credits will be granted to vendors who are requested to leave the event due to breach of terms and conditions.
    • If any market is cancelled by WQM manager or representative, stallholders will be granted credit, or refund as per the terms above.
    • Additional conditions for stallholders that pay for advance, 6-month blocks (A6MB) can be found on the A6MB payment agreement.

     

    7.  Adverse Weather contingencies & event cancellation

    • The WQM is both an indoor and outdoor market. This duality enables the market to continue operations throughout a variety of weather event, as therefore is not subject to cancellation due to adverse weather conditions. 
    • The exception to this being extreme conditions including but not limited to catastrophic fire danger days.
    • All stallholders must be prepared for adverse weather including wind, rain and heat. This includes your display, your products and yourselves.
    • The indoor market area has evaporative airconditioning however stallholders should still be prepared in case of high temperature conditions.
    • Layout and site positions may be altered from the standard market layout to adjust for certain weather conditions if necessary. This information will be included in the pre-event email.
    • While WQM manager will monitor weather forecasts, stallholders are also urged to monitor weather forecasts themselves and make their own decision whether to attend.
    • The same cancellation and refunds apply, ie vendors that cancel their attendance prior to 48 preceding the market may qualify for a credit or refund. Vendors that cancel their attendance during the 48 hour period, including on the day, will not be eligible for refund or credit. Vendors who pack up early will not be eligible for a refund or credit.
    • Organisers will not be held responsible for any loss, damage or injury whatsoever resulting from adverse weather conditions.
    • WQM or representative reserves the right to call an early finish time in the event weather conditions are too extreme to continue trading. Vendors will be kept informed of potential early end trading calls.
    • Vendors concerned about weather conditions during trading are encouraged to discuss concerns and options with the WQM manager during the market, while on site.
    • In the rare case that the WQM is unable to be staged, vendors will receive notification of cancellation via email.
    • In the event the entire market is cancelled in advance of the market date by management, vendors will be granted a credit or refund as per the standard refund agreement.

     

    8. Shared space considerations

    As WRP is a shared space, there may be instances where we will need to adapt to special circumstances. These special conditions will be listed in the pre-event email, so please ensure that you check for changes prior to the event on receipt of that document.

     

    Special circumstances and examples of shared space considerations include

    ·         Country Fire Service training

    ·         Football events and home games

    ·         RSL special events including memorial services

    ·         Building and renovation activities.

     

    Please note they may be instances that the manager is not made aware of potential issues and may be required to adapt to circumstances on the day as they arise.

     

    9. Publicity and social media.

    There are many ways of sharing information about the WQM and letting people know more about us, even without the internet and every little bit counts!

    • Stallholders are encouraged to use any resources to promote the WQM, including word of mouth.
    • Stallholders don't need to use social media themselves to let visitors know they can find us on Facebook. Information on that is included in the calendar handouts.
    • We do encourage social media users to promote their own stall as well as the WQM.
    • If you’re still not following our page, please do.
    • Tag us in your posts so we can share your content and if we’re posting about you, share that too!
    • Share, like or make a positive comment on posts even if they’re not directly about you but are still about another stallholder attending!

     

    Images and special promotions

    • Any stallholder may email images at any time for use in publicity including on social media, print media or signage.
    • No royalties or fees are payable to the stallholder for the use of images.
    • WQM manager reserves the right to take photos during the event and to use these for market promotion.
    • No royalties or fees are payable to any stallholder for images taken by WQM manager during the market even if used for ongoing promotional purposes.
    • Any stallholder may at any time  email details of any special promotion or event that may be eligible to be included in market publicity or vendor promotions. 

                     

  • 10. Bump in

    Vendors may bump in from 90 minutes prior to trading times

    ·         Feb and March this will be from 7am.

    ·         From April 12 this will be 8am.

     

    Sites must be occupied by 30 mins prior to trading. Sites not occupied may be dismantled or offered to another stallholder and with the original vendor still liable for fees.

    ·         In Feb and March this will be 8am.

    ·         From April 12, this will be 9am.

     

    • Bump in times are also listed in the pre-event documents, along with detailed parking information.
    • Any changes to this bump in process due to special circumstances will be listed in the pre-event email.
    • All vehicles must enter the ground via the Railway Terrace entrance, or the ‘Fish Gate’ on Aldinga Road (if accessible).
    • A reminder that the speed limit with the grounds is max 10 kmph.
    • Please observe any market signage and restrictions such as cone barriers and bollards, disabled parking etc.
    • ll vendors please be mindful of food truck vehicle movements within the site as well as pedestrian traffic including children when on site.
    • Public access ways and emergency access paths must be kept clear of vehicles and traffic at all times

     

    A.      New vendors

    Please park in the main carpark and walk to the market area.

    Locate the manager and your stall and we will discuss best options for parking/unloading.

     

    General bump in conditions for current and ongoing vendors          

    B.      Indoor sites 1 to 47

    If you are able to unload and freight from the carpark, it would be appreciated.

    If you are unable to unload and freight from the carpark, and need to park at and directly access the western loading access (roller door)

    • Please be mindful and considerate of other who are doing the same and that there is restricted space.
    • Please be mindful of pedestrians and other foot traffic.
    • Please unload your vehicle as quickly as possible and move your vehicle to the main carpark before setting up your stall.
    • Please ensure that all vehicles are removed from the market area by
      • Feb and March : 8:15am
      • From April 12 : 9:15am

    ·         No vehicles are permitted within the market area after 15 minutes prior to trading as per the times listed above.

     

    C.     Outdoor sites 48 to 60 – stall with no adjacent parking

    If you are able to freight from carpark, it would be appreciated. Please use the Railway Tce entrance to reach the carpark if that is the case.

    Vendors can alternatively park and freight from Hill Street (across the road from Eastern entrance) if that is more convenient which you can access from Main Road.

     

    If you need to park near your site to unload,

    1. Please be mindful and considerate of the vendors who are doing the same in a restricted space.
    2. Please be mindful of pedestrians and foot traffic and, other stalls and goods.
    3. Please park to ensure that drive-past access is not blocked and keep access clear for other vehicles including other vendors and their sites as well as emergency vehicles.
    4. Unload your vehicle completely and remove it from the market area before commencing any stall set up, including marquee.
    5. Parking is available in both the main carpark within WRP or across the road on Hill Street if more convenient.
    6. Rec Park car parking – exit the grounds via Main Road and re-enter the grounds via ‘the Fish Gate’ on Aldinga Road (if accessible) or the western entrance via Railway Tce.
    7. Hill Street car parking – exit the grounds via Main Road and proceed directly across to Kell Street and turn left at Office and Image. Alternatively turn left and enter Hill Street beside the service station.
    8. Please be mindful of the flow of market traffic or road traffic when travelling to parking areas.

     

    D.     Outdoor sites 61 to 77 – sites with adjacent parking

    • Vendors will be allocated one car space in the carpark behind their stall.
    • Please do not park in another vendors allocated space.
    • Please ensure that your vehicle does not encroach on adjacent stall sites or vendor parks and has as minimal visibility as possible.
    • Management reserves the right to work with individual stallholders if their vehicle is an integral part of their equipment or operations and will work with food and other integrated vehicles on a case-by-case basis.

     

  • 11. Stallholder equipment and presentation

    All furniture, goods, signage and personal or customer access must be contained within your site footprint.

    • Please do not block or obstruct other stall holders, infringe on their space and please respect their boundaries.
    • Marquees must be properly weighted down. Please ensure that you have sufficient weights to secure your stall and equipment. If you do not have weights, you will not be able to use a marquee.
    • You must use weights even in calm conditions.
    • The minimum weight per leg is 15kg, however 20kg is recommended.
    • Marquees are not permitted indoors unless pre-approved and will only be allowed to be used in limited locations.
    • Some outdoor sites are on concrete or bitumen or located in areas that may have irrigation or piping. The use of pegs of any kind is prohibited on all sites. This includes for marquee use as well as signage, banners, and any other ground penetrating equipment.
    • Marquees must be clean, properly erected and maintained. Stalls must be tidy and well presented.
    • All equipment including electrical must be in good condition.
    • Indoor vendors using their own tables and furniture should ensure that it is in good visual condition, safe to use, and is able to fit within the booked site footprint.
    • Indoor vendors may have use of up to 2 trestle tables supplied by WQM. Please denote whether you would like the use of these tables prior to the market.
    • Indoor vendors have access to chairs.

     

    12. Waste disposal and keeping it green:

    These are a carry in, carry out events and stallholders must take home their own rubbish for disposal and any packaging e.g. cardboard boxes home for recycling.

    The council supplied waste bins are for general public and market patrons use only, not for stallholders to use for disposal or dumping of materials, food waste, broken or discarded products/displays or packaging. 

    • Please take all due care to not litter.
    • The use or sale of plastic based glitter, balloons is not permitted.
    • The sale of single use plastic is not permitted.
    • Consider your packaging and avoiding plastic bags and packaging where possible.
    • The use of balloons for decorative purposes is prohibited.

     

    13. Special conditions regarding animals

    WQM is a pet friendly market, an aspect that has had a positive impact on our marketing and promotions, however there are conditions and limitations which will be listed here, as well as part of visitor market rules.

    • Pets must be controlled at all times.
    • Animals that are leash pets such as dogs etc must be on a leash at all times.
    • Animal owners must respect that some people are not animal lovers and be mindful of boundaries and sensitivities of people around them, including stallholders and members of the public.
    • Animal owners must clean up any mess produced by or otherwise caused as a result of them or their pet/animal. This includes damage to WRP property for which they may also be financially liable.
    • Barking, fighting, and behaviour that intimidates others, as well as other disruptive behaviours are not acceptable.

     

    14. Occupational Health and Safety and accessibility considerations

    • Public access ways and emergency access paths must be kept clear at all times.
    • Please be mindful to obey any Willunga Rec Park signage including clearance areas.
    • Please observe any market signage and restrictions such as cone barriers and bollards, disabled parking etc.
    • There is no smoking or vaping of any substance anywhere within the event grounds at any time.
    • Power cords must be in good working condition and covered with cable protectors or suitable substitute if within pedestrian areas or pathways. Connections should be covered or otherwise waterproofed in wet weather conditions.
    • No vehicles are permitted within the market trading areas from 15 minutes prior to trading times, or after 15 mnutes following the end of trading times.
    • In the case of an emergency which may necessitate vehicle movement, please follow the instructions of the manager or representative.
    • Stallholders that may experience accessibility issues, including physical or other can be included in the notes and other information section of the application form. This is not compulsory but may help us ensure that we can support your needs where possible.
    • Stallholders who experience any issues during a market event, including but not limited to excessive pain levels or physical concerns, sensory overload or anxiety attack etc are welcome to seek assistance from WQM manager or representative so that we can support your needs where possible.

    15. Bump Out

    Please do not start packing up before the end of trade times.

    All vendors, including food and beverage vendors must continue to trade until the end of trade or notified by market manager.

     

    No vehicles are permitted within the market zone until 15 minutes after trading is closed.

    -          For Feb and March this is 12:45 pm.

    -          From April 12 this will be 1:45 pm

     

    • Please do not drive through cones or bollards.
    • Do not move cones or bollards or drive through the market.
    • Please do not move cones or bollards and drive into the outdoor café area until the marquees and furniture has been packed down.

     

    Please follow this process for bump out:

    A.      Indoor sites, 1- 47 :

    No vehicles are permitted within the market area after 15 minutes after trading as per the times listed above.

    Please do not bring retrieve your vehicle or park near the loading door until you have packed down your stall completely, dismantled any equipment and cleared Rec Park tables for volunteers to put away.

    • If you are able to unload and freight from the carpark, it would be appreciated.
    • If you are unable to load and freight to the carpark, and need to park at and directly access the western loading access (roller door)
    • Please be mindful and considerate of other who are doing the same and that there is restricted space.
    • Please be mindful of pedestrians and other foot traffic.
    • Please load your vehicle as quickly as possible.

     

    B.      Outdoor sites 48 to 59

    No vehicles are permitted within the market area after 15 minutes after trading as per the times listed above.

    Please do not bring retrieve your vehicle or drive to your site until you have packed down your stall completely and including marquees.

    • Marquees can be left up if packing during wet weather.
    • Please park single file to allow vehicles to exit if necessary.
    • Exit Willunga Rec Park via Main Road once packed.

     

    C.     Outdoor sites 60 to 76

    Please exit Willunga Rec Park via Railway Tce or ‘Fish Gate’ (if accessible) once packed.

     

  • 16. Stallholders Code of Conduct and Responsibilities

    Stallholders should take all reasonable steps to read and understand all terms and conditions.

    Submission of an application is accepted as agreeance that the stallholder will comply with the terms and conditions, including those listed in pre-event documents.

    Stallholders are not just representing themselves but are also representing the WQM and are part of a wider team environment and be mindful of maintaining a positive and supportive mindset of those around them.

    1. Positive representation should extend to any comments or posts on social media.
    2. Stallholders should work to ensure that their stall and their personal presentation are of a suitable standard and enhance and be a positive contribution to the atmosphere of the market.
    3. Stallholders should ensure that goods are of a high standard at all times.
    4. Stallholders should be mindful that fellow vendors are part of the same team, not rivals or competitors.
    5. Stallholders should be mindful of intellectual property law and copyright legislation.
    6. Stallholders must respond co-operatively to any direction given by the manager or representative in relation to the operation and occupation of their stall, equipment, goods and vehicle during operating times and any direction of a security or safety nature.
    7. Please do not block or obstruct other stall holders, infringe on their space or otherwise interfere with their stall or personal space and please respect their boundaries.
    8. Please be mindful of any excess noise levels including during set up and pack up times.
    9. Loud product promotion by stallholders (spruiking) is not permitted.
    10. Music broadcast by stallholders is not permitted. This includes Bluetooth speakers.
    11. Stallholders must not act in a verbally or physically abusive, dangerous, or disruptive manner. It will not be tolerated and will result in immediate termination of this agreement.
    12. Stallholders must ensure that their activities or equipment do not endanger the safety or security of any people at the event.
    13. Stallholders must not cause damage, make alterations or additions of any nature to, or carry out works of any nature to market site property and that, if any damage is caused, the costs of any repairs, making good or replacement are borne by the stallholder.
    14. Stallholders must immediately report to the manager any incident or accident to any person or property that involves loss, damage or could be expected to give rise to a claim. Retrospective claims or reports cannot be actioned.
    15. Stallholders are required to be present at their stall during the market, this includes young entrepreneurs.
    16. Stallholders should operate with a degree of flexibility with changing conditions on site, including but not limited to adverse weather issues, end of trade variabilities and any necessary site changes.
    17. Stallholders are welcome to provide feedback regarding any WQM concerns.
    18. Stallholders that have concerns about any aspect of the market should contact the manager either via email or on site.
    19. Stallholders are requested to refrain from defaming, spreading misinformation, or implying negativity about the market or any vendor, as this may have adverse effects on other vendors by association. This includes word of mouth and social media.
    20. You are an integral part of the market and we encourage you to seek out the manager at the WQM info table if you have any complaints, grievances or suggestions for improvement and a feedback form will be provided to you.
    21. If the matter is not able to be satisfactorily resolved by the WQM manager, this feedback document will be presented at the next available committee meeting, with any potential outcome reported to you as soon as possible.

     

     

    17. Event Manager and Market coordinator responsibilities

    The market organiser will work to:

    • Organise and manage the market and to oversee and manage all operations on and off site, prior to and during events.
    • To advertise and support the event marketing of the event and vendor interests.
    • To promote communication and community engagement.
    • Maintain best possible communication with all vendors and event managers on an ongoing basis.
    • Keep vendors advised of any changes and updates including trading hours as affected by visitor numbers, weather or other
    • Develop strategies and make improvements to the market, including to operations to ensure best practise and opportunities for vendor sales and market attendance.
    • Be available to support and assist stallholders with matters including but not limited to visual merchandising, marketing, stall layouts and general presentation that may lead to improvements of the stallholders’ market experience and potential sales.
    • Be available on site for the duration of the event and until all vendors have vacated the location.
    • To ensure that provision is made for the collection of any feedback from stallholders and visitors.
    • To work to ensure that the interests of both stallholders and WRP are supported.

     

     

    The market manager reserves the right to undertake any of the following actions:

    • Take photographs of the market, any stallholder, stall, display or product and to use any recorded image for the purpose of promoting the WQM and its participants.
    • Re-locate or otherwise shift a stall/stallholder to another site within the event space if necessary.
    • Request a stallholder to remove from sale any goods or services offered by the stallholder which were not stated in the original application form and/or are not prior approved products.
    • Request a stallholder remove from sale any goods that are duplications or copies of another stallholder or artist’s work or is considered an infringement of intellectual property.
    • Request that the stallholder undertake any reasonable measure to improve the safety of the stall.
    • Request that the stallholder undertake any reasonable measure to improve appearance and standard of their good, their stall and presentation.
    • Request that the stallholder make alterations to their stall or display where it interferes with another stallholders allocated space or activities. This included removal of signage if it infringes on another vendor’s space
    • Request the departure of any stallholder who does not adhere to the terms and conditions or to directives given during the event.
    • Request the departure of any stallholder or associate that acts in a hostile or belligerent manner and acts in a way which may be dangerous to themselves, to others or others’ property, or the venue.
    • Remove a vendor from mailing lists.
    • Terminate a stallholder agreement and revoke any right to trade.
    • Terminate a 6MPA agreement.
    • To remove or cancel any stallholder agreement for vendors that fail to respond to emails or invitations and remove them from the mailing list for future invitations. 
    • Vendors that have been removed from stallholder mailing or invitation lists may be required to reapply.
    • The manager reserves the right to make addition or amendment to the terms and conditions as a response to any incident or feedback received and to improve the event for both visitors and market vendors on an ongoing basis. This includes feedback and requests received from WRP exec committee representatives.
    • Any addition or amendment will be forwarded to all relevant parties in writing, either within a supplementary document or as part of the pre-event information package.

     

     

    Termination of stallholder agreements

    A : Stallholder seeking withdrawal of application or agreement

    • Vendors may cancel their application at any time or otherwise request to be removed from invitations and mailing lists.
    • If this cancellation of application includes cancelling a site booking, it is subject to the same conditions as any other stall cancellation, ie if made less than 48 hours prior to the market, the stallholder is still liable for site payment.
    • Vendors who have 6MPA agreements may apply for any eligible funds to be refunded when withdrawing their application.

     

    B : Termination of stallholder agreement by manager

    Stallholders, participants or visitors that disregard or are in breach of the terms of conditions will be:

    1st instance : Reminded of or have the conditions, or condition in question, brought to the stallholder’s attention with the aim to discuss and resolve any issue.

    2nd instance : Receive a verbal warning and request stallholder follow the terms and conditions.

    3rd instance : Receive a written warning via email which will also be forwarded to the WRP executive committee. This information may also be made available to other WRP event managers including festival organizers.

    4th instance : The stallholder will have their agreement cancelled and will no longer be permitted at WQM or potentially any other WRP event.

    Vendors with a 6MPA will have any eligible credit refunded if their stallholder agreement right to trade is terminated.

     

    Instant termination of agreement and removal from event will occur if a stallholder:

    • Acts in a hostile manner to intimidate, threaten or cause upset to any vendor, volunteer or management.
    • Deliberately acts to damage Willunga Rec Park property or any properties belonging to stallholders, volunteers or management.
    • Sells, promotes or makes available in any way, any prohibited item, including vapes or tobacco, as well live animals etc
    • Sells, promotes or makes available in any way, alcohol to minors. This includes the sale of sealed containers, purchasing and providing sealed containers or served alcohol or any tasting samples.
    • In addition the matter may also be reported to SAPOL.
    • Any member of the public that engages in any of the above will be reported to SAPOL

  • All sites are allocated by WQM manager. Site plans are included as part of the pre-event email to all participants and stallholders are urged to check stall locations prior to arrival and contact the manager by email if there are any errors or concerns.
