The Tied Vows Wedding & Film Service Agreement

The Tied Vows offers professional wedding photography and videography services, including but not limited to: Engagement and wedding day photography. Videography services (cinematography and content creation). Editing and delivery of finalized media.

A non-refundable retainer fee of $250 is required to secure your booking. This is included with the final balance. The remaining balance is due in full one day before the wedding date or day of wedding. Payments can be made via e-transfer to the email provided on invoices under the payment section. Retainer costs are included in the reflected service costs and are detailed separately on invoices. Payment plan options are available, including bi-weekly, monthly, in two payments, or in full.

Cancellations for wedding services must be made at least 3 months prior to the event date. Cancellations for engagement and anniversary sessions must be made at least 72 hours prior to the scheduled date. The retainer fee is non-refundable. However, any additional payments will be refunded if the cancellation occurs within the cancellation period. For cancellations outside the cancellation period, a $150 penalty charge will be deducted from the monies paid for the session, not from your retainer. Rescheduling requests are subject to availability and may incur additional fees.

The Tied Vows agrees to provide services for the agreed-upon duration and package specifications outlined in our service questionnaire. Any additional hours or services requested on the day of the event will be subject to additional charges. The client is responsible for ensuring necessary permissions for photography and videography at the event location(s). It is recommended to assign a point of contact for the event day to ensure smooth communication and coordination. The Tied Vows is not responsible for negligence by others that impacts scheduled photo or video time. Clients are responsible for ensuring buffer time periods in the schedule. Clients must appoint a designated person to assist family members and ensure smooth transitions during the event. All sessions outside a 25km radius of The Tied Vows are subject to a travel fee of $0.65 per kilometer.

Edited photo galleries will be delivered within 14 days after the wedding. Edited videos will be delivered either with the photo gallery or within 30 days after the wedding. Media will be provided via a digital link directly from our editing software. Galleries are accessible for 3 months from the delivery date. After this period, images and videos will be stored on a hard drive for safekeeping. Clients must provide a hard drive for image transfer or purchase one from The Tied Vows if they wish to retrieve media after the gallery expiration. The Tied Vows provides up to 50 images per hour of coverage; however, this is not a guaranteed set amount.

The Tied Vows retains the copyright to all media created. The client is granted a personal, non-commercial license to print, share, and display the media for private use. Clients may not alter, edit, or submit images and videos to contests or other businesses for commercial use.

By agreeing to these terms, you grant The Tied Vows permission to use selected media for promotional purposes, including but not limited to social media, website portfolios, and marketing materials. If you prefer not to grant this release, please specify below.

The Tied Vows’ liability is limited to a refund of payments made, excluding the retainer fee, in cases of unforeseen technical issues. Resulting in loss of images or videos. If a guest damages any equipment, the client is responsible for their guests’ actions and will be charged for the total repair costs. The Tied Vows is not responsible for compromised coverage due to interference from other vendors, guests, or weather conditions. Any unforeseen circumstances, such as equipment failure, theft, or natural disasters, will be handled to the best of our ability, but liability remains limited to payments made. Any failure by the client to provide a safe and harassment-free environment, or any circumstances beyond the control of The Tied Vows, such as unsafe weather conditions or acts of God, that hinder the agreed-upon services, may result in either a penalty fee or termination of the service agreement.

The client agrees to communicate all event details, timelines, and expectations in advance. The client will ensure all necessary arrangements for photography and videography access during the event. Clients are responsible for having buffer time periods in place to avoid disruptions. Clients must appoint a designated person to assist family members and ensure smooth event transitions.

This agreement is governed by the laws of Ontario, Canada. Any disputes will be resolved in the courts located in Ottawa, Ontario, Canada.
