As you consider attending ApollyCon 2026, please take into consideration that because ApollyCon is a convention, our needs require an event company's assistance to ensure we can provide our authors, vendors, and attendees the programs and opportunities that have become a staple of who we are. We utilize Freeman Services because they have a successful working relationship with the Gaylord, offer door-to-booth service, and can stay on site during our event to assist if needed. While we are still negotiating the best price possible for 2026, at this time, 2025's drayage service fees are below. We do not expect much change from these prices for 2026. These fees are paid directly to Freeman for their services, and ApollyCon does not receive any portion of this money nor profit from using Freeman.
Cart fee:
This fee applies if you are bringing your boxes with you in a vehicle and there are more than you can carry. The Freeman Cart fee does not apply to those who need ADA assistance.
$250.00 per cart, round trip, and is charged by Freeman.
Drayage*:
(Also known as shipping and handling)
Drayage is used ONLY if you are shipping boxes to the exhibit company's warehouse for storage and delivery). The current rate charged by Freeman is $2.21 per pound, which covers the storage and delivery to the booth for the event. It should be considered when determining what is being shipped and its end-to-end cost. If we are able to negotiate a lower price, we will notify confirmed attending authors immediately.
*We do not require attending authors to use drayage services by Freeman. If another service stores and delivers books to the Gaylord, the attending author is responsible for retrieving their books and is subject to cart fees once they enter the exhibit floor.
