CSE Plan-It is reviewed weekly on Mondays. 

MICA Departments & Offices: Please submit all requests at least one week before the event by Mondays at 9:00 am.

CSE Student Leaders: Please submit all requests in accordance to the Student Org Programming Timeline

Exceptions may be considered on a case-by-case basis at CSE’s discretion. 

Purpose & Functions

This form is intended for CSE Student Leaders — MICA Program Board (MPB), Student Org Officers, SVA, and Student Space Gallery Managers.

This form can also be used by MICA Departments and Offices Staff, Faculty, & Student Leaders (Ex. Wellness Coordinators, DCs, RAs, etc.). 

This form is NOT for individual students not associated with a department or program.

For multi-day events, event series, or exhibitions, please add all applicable dates.

Student Orgs: Exhibitions that have already been arranged by your organization should be reported through this form, but it cannot be used to reserve gallery space. If your organization is interested in hosting an exhibition on campus, please contact studentorgs@mica.edu.

If you are reserving space on campus, you can request additional set-up time for your event using the "Reservation Start" field below. If you do NOT require additional time before your event, leave this field blank.

Event Series / Multi-Day Events must have ALL Dates. Click "+ Add another date" button.

Please note:

• Clubhouse reservations are currently limited to the main space in the MICA Clubhouse and the Clubhouse Conference Room.
  • Reservations for these spaces will be considered in the order they are recieved.
  • Preference will be given to student-centered events.
• We are in the process of installing a commuter lounge in the Clubhouse, as such, there may be student traffic in and out during any reservation.
• CSE does not currently have a reservation system for the individual offices within the Clubhouse. Offices are on a first come first serve basis.

Event Description: Tips & Best Practices

Identify your organization. When writing your description, avoid language like “our” or “join us”. Instead use language like “Join the [your organization]…”.   

Details, details, details. Think about what information would be helpful for your audience. Is there a cost to attend? Is food provided? Do attendees need to register? If so, what's the link? Expect that readers may not know your organization or the local community, and the more details, the better.

Mention multiple days. If your event is part of a series, it's helpful to mention this in the description so people know there are many opportunities to attend. If you are hosting a multi-day event, consider if someone can attend past the first day (for example, if you are hosting a three day gaming tournament, could someone join on the second day?). 

Pick your pic wisely. For your event image, choose an engaging, horizontal (minimum 1440 x 810 px) photo without much text. A photo is often better than your unedited event poster. [Click here for a Canva template.] The icon for your event will be the center square of your submitted image (810 x 810px or larger). Note: The uploaded image will only be used for the MICA App. CSE will not print out event flyers. Event flyers must be printed and dropped off by Student Organization Officers.

Add Contact Info for those Qs. Make note of who attendees should contact if they have questions (think something like, "For more information or accomodations, please contact..."). 

In advance of your event, your designated Attendance Manager will recieve an email with instructions on how to check attendees into your event.

All fundraisers must be approved by the Center for Student Engagement (CSE) at least two weeks before the date of the event. 

General Fundraising Policies

Merchandise sales may not include items that are currently sold by campus vendors.

Bake Sale Policies

All bake sale items are REQUIRED to be pre-packaged and/or individually wrapped. Items can be wrapped in plastic bags or wraps.

Cakes must be pre-cut. So put a piece on a plate and then wrap.

Student organizations may use club funds to purchase baggies, wrap, or other necessary supplies for fundraisers. Bake sale items should not be purchased with club funds.

Bake sales are not permitted in Meyerhoff House or Doris Cafe unless otherwise approved.

Food items may not include items that have temperature requirements

Must adhere to Maryland State Law regarding Bake Sales.

• Maryland Law for bake sales require the following:
  A printed sign in 24 point or larger type in a color that provides a clear contrast to the background: “Products at this sale are sold under the Maryland cottage food law and are not subject to Maryland’s food safety regulations.”
• Food to be sold is limited to the following:
  • Breads and Pastries without potentially hazardous topping or fillings:
    • Pies, turnovers, and fruit tarts from fruits with a natural pH of 4.6 or less
    • Baked bread, biscuits, and muffins
    • Cakes and cupcakes
  • Canned acid foods such as:
    • Fruit Jelly, jam, and preserves from the fruits with a natural pH of 4.6 or less
    • Fruit butters from apple, apricot, grape, peach, plum, prune, quince
  • Popcorn/Kettle Corn
  • Granola
  • Repackaging of commercially processed dry ingredients (i.e. spice blends)
  • Chocolate confections made from commercially manufactured chocolate (i.e. Chocolate covered pretzels). Chocolate covered fresh fruits are prohibited.
  • Candy such as lollipops, gummy bears, or fruit leathers with a natural pH of 4.6 or less
  • Raw Unflavored Honey
  • Re-sale of commercially purchased food items in original wrapping.

CSE cannot currently provide change for cash but can supply a locking cash box.
