Food Vendor Selection Criteria and Requirements.
We are excited to invite you to lodge an Expression of Interest (EOI) as a food vendor for the 2025 Melbourne Royal Show. Please submit a new EOI for each of your outlets that operate under a different trading name.
To ensure the highest standards of professionalism, cleanliness, impeccable presentation, and efficient food service, we have established the following selection criteria for food vendors. Please carefully review these requirements before submitting your application.
Experience and Track Record:
- Demonstrate a successful history of operating at similar large-scale events.
- Showcase experience in catering to diverse customers and handling high-volume food service.
Professionalism:
- Maintain a high level of professionalism in all aspects of your operations.
- Exhibit promptness, responsiveness, and effective communication in your interactions.
- Provide customer feedback, reviews from previous events & offer references from past clients to support your reputation on request.
- Compliance with regulations, certifications, and hygiene.
- Maintain strict cleanliness and hygiene standards in accordance with City of Melbourne health department regulations.
- Possess all necessary licenses, permits, and City of Melbourne engineering compliance certification.
- Follow proper food preparation and handling practices, including food storage, equipment cleanliness, and waste disposal.
- Ensure compliance with all applicable food safety regulations and possess relevant food handling certifications.
Presentation and Visual Appeal:
- Create an attractive and inviting atmosphere through your setup and food presentation.
- Emphasize the importance of visual appeal and its contribution to the overall event experience.
Menu and Food Quality:
- Offer a diverse and high-quality menu.
- Cater to various dietary preferences and restrictions.
Capacity and Efficiency:
- Demonstrate your ability to handle high volumes of customers efficiently.
- Ensure appropriate staffing levels, food production capabilities, and queue management strategies.
Sustainability Practices:
- Embrace environmentally friendly and sustainable practices.
- Focus on waste reduction, use of eco-friendly packaging, and sourcing locally whenever possible.
Cost and Affordability:
- Present a pricing structure that aligns with the customer's expectations.
- Offer a fair balance between cost and value, including food quality, portion sizes, and service.

Our selection committee will review all applications and notify selected vendors accordingly.
