      Contracted Group VS Flexible Group?
    • Image-142
    • Note: A booking is considered a “group” when 5 or more rooms are reserved under the same contract. Some resorts may require a minimum of 10 rooms for group perks—don’t worry, we’ll let you know what applies!

    • Contracted Group
    • Contracted Group means you will be required to sign a contract with the resort and place a deposit for a number of rooms, which then locks in room accommodations and rates for your guests.

This is the perfect booking option for travelers on the same itinerary who need flexible payments and cancellation policies for an entire group plus, and other group contract benefits or perks.

However, please note that at the booking time, 10+ deposits for rooms must be made upfront and places the contractual liability on the signers. This can be costly in the beginning.

Contracts do have reduction policies which allow for couples to subtract rooms. However, it is very important to note that a group below 10 rooms makes your contract null and void (in most cases), leaving the deposit at risk.

Your chosen resort may allow for a certain portion of your rooms to be canceled and refunded up to an agreed deadline as long as you stay above the 10 room minimum.

      Key Take Aways

A traditional contracted group typically consists of:

      • 20 or more people
      • Typically for 10 or more rooms (sometimes less)
      • Contract for a block of rooms
      • Set resort price for all travelers with pre-reserved block inventory
      • Typically, a group discount is available
      • Guests can choose varying lengths of stay/not bound to a certain amount of nights except for 3-night minimum stay
      • Insurance can be added to the entire group or individual booking

**Contracted Groups are highly recommended for large groups of 20+**

    • Flexible Group
    • Flexible Groups, a.k.a. Flex Groups, work well for wedding parties and groups who aren’t sure of the total amount of guests who will attend. It allows your guests to book at their own pace, as there’s no rush to book until 30 days prior to travel.

A room rate is locked in and guaranteed once a deposit is submitted by the guest for their room. After the deposit is received it allows more leisurely time for each guest. With flexibliity comes, less risk for the wedding couple without a large deposit and contract.

However, please note this could add more stress, because since rooms are not being blocked off for your wedding, there is no guarantee that rooms will be available at the time your guest books. Also, rates fluctuate daily and could go up or down. The further in advance, the more likely you will be to receive the greatest room rates.

There is always the chance that a resort may sell out of rooms before all of your guests pay their deposit, so it’s important to consider the number of rooms at your chosen resort and if it’s the right fit for your group.

      Key Take Aways

A traditional fleixble group typically consists of:

      • Flexible deposit, payment, and cancellation options
      • No need to sign a group contract
      • Guests can book from any origin and the hotel will still see them coming as one group
      • Flexible groups works best for small groups of 5-10 rooms
      • Pricing is NOT guaranteed
      • Insurance can be added to each individual guest's booking, if they so choose
