  • Notes for guidance:

    You will be able to add up to 3 Teams per expedition using this form. If you are organising expeditions for different Awards, please complete this form for each of your expeditions.

    These notes are to assist you in completion of this form so that expeditions can be authorised in accordance with current Scout and Duke of Edinburgh guidelines and policies. The time scales for the submission of notifications are below:

    What is the notification form for?

    This form must be used to notify Northumberland Scouts that you are organising either an unaccompanied DofE practice or a qualifying expedition.

    An unaccompanied expedition is one where remote supervision is used at any point, that is, all final practices and qualifying expeditions. Any training where remote supervision is used must also be notified.

    You must also complete a copy of the Nights Away Notification and send to your District Lead Volunteer/Responsible Commissioner.

    Notifications and route details are submitted to the County Expedition Team who will:

    • Confirm that your proposals, if followed, comply with the DofE expedition requirements.
    • Provide advice based upon local knowledge of the area to assist with the planning of the expedition.
    • Source a qualified assessor where required.
    • Approve the expedition if all criteria and relevant information has been met.

    Saving the Form

    You do not need to complete this form in its entirety in a single sitting. By clicking the ‘Save’ button at the bottom of the form, you will be able to save your progress and pick it up later. On clicking ‘Save’ you will be prompted to create an account, but you should skip this option by selecting “Skip Create an Account”. You will then be given the option to copy the link of your form, or to enter an email address and have your link emailed to you.

    Please note that County Office cannot recover a saved form for you, so if you choose not to have a link emailed to you and then lose your link, you will have to start over. You will also need to save the form and request a new link each time you edit, as saving is not automatic.

    Approval

    Upon submission of this form you will be emailed a copy of your expedition notification as a .pdf document. This email will also contain a link allowing you to edit your submission if needed. A member of the County DofE Team may ask you to return to the form to provide more information or clarification.

    Please provide some basic contact information about yourself, as well as the Unit/Group of the team(s) taking part in this expedition.

    Below, you will provide us with a day-by-day breakdown of the expedition your Team(s) will take.

    Please ensure that journeying and project times meet the requirements for the type of expedition.

    1. Select the Level & whether this is a Practice or Qualifying expedition.
    2. Select the mode of travel participants will be taking e.g. Foot, Cycle, Canoe, Sailing, Rowing, Horse riding, etc.
    3. Provide basic route information, full details will be included in the route card and GPX file. Please ensure that these are submitted with the notification, otherwise this may delay authorisation.
    4. Route cards must include grid references showing the start, all camp sites, the finish, the location and brief details of any project work, bad weather alternate routes, escape routes and the direction of travel. If route cards are not available, please outline why in the 'additional information' box on the Supervision & Assessor page near the end of the form.
    5. Consider the use of trackers and or coloured rucksack covers. These are available via County. For more information go to: https://www.northumberlandscouts.org.uk/county-activity-equipment/
    6. Provide a brief outline of the team goal for the expedition and how they plan to achieve this. For Broze expeditions please state whether the team goal has been identified by the unit leader.
  • Practice Expedition Requirements

    Silver - Minimum of 2 days & 2 nights, 7 hours per day.

    Gold - Minimum of 3 days & 2 nights, 8 hours per day.

  • Qualifying Expedition Requirements

    Bronze - Minimum of 2 days, 1 night, 6 hours per day.

    Silver - Minimum of 3 days, 2 nights, 7 hours per day.

    Gold - Minimum of 4 days, 3 nights, 8 hours per day.

  • Expeditions should not be longer than 7 days in length.

  • What information do you need to provide?

    1. Teams should comprise a minimum of four and maximum of 7 participants, unless a tandem mode of transport e.g. canoeing is used, then a maximum of 8 participants is permitted. To add more members to the Team, toggle the 'Add another member to this team?' option at the bottom of the form as many times as needed. If using a tandem mode of transport, there will be space on a different page to add the information of the 8th participant.
    2. Provide the DOB of the participant.
    3. Please ensure that all participants have the appropriate level of training.
    4. Please include participant’s DofE ID numbers and ensure their eDofE record is up to date.
    5. Please ensure that there is adequate first aid cover for the team as per current guidance:
    • For Terrain Zero – Identify that all participants have been trained in line with the activity risk assessment and D of E Training Syllabus (Best Practice = Scout First Responder) 
    • For Terrain 1 – Identify that all participants have been trained to the level of First Responder (D of E Training Syllabus) and that at least one participant in each team has a Scout First Responder (or equivalent) first aid qualification.
    • Identify the person(s) holding First Responder Qualification  
    • For Terrain 2 – Identify that all participants have been trained to the level of First Responder (D of E Training Syllabus) and at least one participant in each team has a two-day first aid qualification.
    • Identify the person(s) holding Two Day Qualification
