Children’s Day Camp and Programs Code of Conduct
OBJECTIVE:
To provide participants with a Safe and clean environment to engage in quality programs.
-A quality program that involves a balance of activities
-Encouraging participation and enjoyment
-Opportunity to make new friends and build on social etiquette
-Opportunity to gain new skills, abilities, and knowledge
-A constructive outlet for energy, creativity and self-expression
DETAILS:
Ages: 5 – 11
Location: Clandeboye Community Club, 111 Main Street. Clandeboye, MB
Adult/Child Ratio: 1:10
Camp Schedule:
- 8:00 am – 9:00 am – supervised drop-off
- 9:00 am – 12:00 pm – planned activities
- 12:00 – 12:30 – lunch
- 1:00 pm – 4:00 pm – planned activities
- 4:00 pm – 5:00 pm – supervised pick-up
POLICIES AND PROCEDURES:
ATTENDANCE:
- Parents/registered Guardians will sign in and out their child(ren) each day.
- ONLY the designated parent or guardian can sign out their child, alternate pick up arrangements must be communicated to the Camp Leaders in advance.
- Attendance checks will be taken before and after lunch, and individual activities (playground, field trip, etc.)
- In case of illness, we require the child to stay home until they are symptom fee. Parents will be notified of an ill child and will be sent home as soon as possible. We need to ensure the health of the other participants and staff to run a safe program.
EMERGENCY PROCEDURES:
- ANY accident or injury will be documented using the Incident Report.
- All Incident Reports will be completed by the camp leader and signed off by the parent or guardian after reviewing the incident with the parent or guardian.
- The signed Incident Report will be filed in the Camp Binder.
- A First Aid Kit will be on hand at all times.
- In case of a major incident requiring an ambulance, follow the emergency plan.
- Parents/Guardians are to be notified of the Incident as soon as possible.
- In case of Fire, we will follow the appropriate Evacuation procedures and meet at the designated Muster Point.
- In case of Power Outage, we will follow appropriate evacuation procedures, and move our activities outdoors until power is restored. If power is to be out for an extended time, parents will be notified to pick up their child(ren), as it will no longer be a safe environment and washroom facilities will not be available.
DISCIPLINE POLICY:
-Participants will be made aware of the rules and expectations for behavior and the results of not following them.
-Clandeboye Community Club has a zero-tolerance policy for bullying, physical contact, and abuse (emotional, mental, physical).
-The following are appropriate consequences, which camp leaders are permitted to use when dealing with a participant displaying inappropriate behavior:
First Incident – Verbal warning from camp leaders with a reminder of behavior expectations
Second Incident – Time out. Participant will be taken out of the activity and have a chat with the Camp Leader(s) regarding the inappropriate behavior
Third Incident – Parents will be notified as to the inappropriate behavior and or a note will be sent home
-Camp Leaders will keep a record of ALL incidents of inappropriate behavior.
-Should a child need to be spoken to more than 3 times in a day or behave in a drastic nature, parents/guardians will be notified of the incident right away and the participant will be removed from all activities until the end of the day.
-Participants that threaten the safety of themselves or others will be asked to leave the program immediately. The Clandeboye Community Club Board will intervene, and Parents/Guardians will be contacted to come and pick up their child.
Procedure for Reporting Suspected Child/Sexual Abuse:
-If child abuse/sexual abuse is suspected, the CCC Board is to be notified right away and the observation will be dealt with at an Administration Level.
-Document all details and observations on an Incident Report form. Include Child’s name, family name, contact information, nature of suspected abuse or any other pertinent details (child’s behavior, conversations with the child, etc.)
-ALL details of the Report are strictly CONFIDENTIAL.
-The Club President and Board will investigate the incident and take the appropriate measures.
COMPLAINT PROCEDURE:
Should a Parent or Member of the Community wish to make a complaint:
-Speak to a Camp Leader directly on site, or email: clandeboyesummercamp@gmail.com
-Fill out an Incident Report as to the nature of the complaint with details of the incident with as many details as possible (include your name, contact information, witnesses, details of those involved)
-Complaints will be investigated and shared with the Community Club Board to determine the next course of action
OFF SITE PROCEDURES:
-When going off site, a notice stating location and expected time of return will be posted on the door (ie. playground, school yard, field trip).
-Permission forms will be required for major off-site trips. They will be provided at the beginning of the week and be required to be filled out for the child to participate in the trip.
-In the event of a serious inappropriate behavior incident of a participant while on the trip, a Camp Leader will contact the parent/guardian to come pick up their child, or return the participant to the Community Club and await a parent/guardian for pick up.
PROGRAM EVALUATION:
-Parents/Guardians and participants are encouraged to forward any comments or concerns to the Clandeboye Summer Camp program by e-mail (clandeboyesummercamp@gmail.com). All comments/concerns will be held in confidence. Data collected helps us to develop quality programs for the community and positive experiences for everyone involved.
