Every year we have an amazing set of fans, collectors, cosplayers, dancers, industry professionals and other interesting members of the anime community present our selection of panels and events at Ai-Kon.

The Ai-Kon 2025 Planning Committee is very excited to see that you are interested in putting on an event/panel for Ai-Kon! We can't wait to see what you have in store for the convention!

Panel / Presentation

A presentation of a pre-made slideshow, speech or talk on a set topic. Often includes things like Q&A, audience participation, video examples and physical examples

We prefer at least 15-25 being able to take part or experience, but understand limits on more time consuming or high cost crafts and demos.

Game Show

Interactive game show using audience members (examples: Anime versions of Jeopardy, Deal or No Deal, The Price is Right or newly created games)

Ai-Kon is avalible to provide prizes for winners of Game Shows as per our discretion. We will not reimburse for prizes purchased by Game Show runner, but you are welcome to also provide your own prizes.

Open Space Activity

Dance Classes, Yoga, and other events that require an open area free of chairs & other furniture.
Open Space Activities are expected to be safe for general beginner level attendees to take part in, with no hard contact or dangerous actions.

We highly recommend making your Open Space Activity accessible to as many participants as possible, and consider ways to get all kind of attendees involved.

Fandom/Community Meet Up

A Meet Up is an event held in the Workshop area (tables & chairs) and is run by a single presenter or group, which provides a mini event catered to a specific fandom or community attending Ai-Kon, with the intention of welcoming new members, friends & fun.
Meet Up events can include elements like:
- Cosplay Group Performances & Character Q&A
- Friends Making Games
- Mini Demos & Workshops that may be to specific for an entire Workshop Time Slot
- Merchandise Group Set Up & Photo Tables
- Reading & Discussion Groups
- Games
- Group Photos
- Swap Meets (no cash sales)

18+ Panels & Events

Ai-Kon 2025 will be accepting 18+ Panel Submissions.
Events & Panels that involve ‘Mature content’ including nudity, porn or overly sexual content, heavy violence or gore, or any other content that is not family friendly should be submitted as 18+.

We may access your event and decide to remove or attach an 18+ requirement, which we will communicate to you in our follow up emails.

Organizers must disclose if their event is an 18+ event. Organizers that fail to disclose their event is 18+ prior to Ai-Kon risk being banned from hosting future events at Ai-Kon.

How does the room need to be set up? Would additional help be needed to set up the room?
Will you need the use of a TV? (all panel rooms come equipped with two 55" LCD TVs, and a supplied HDMI cord attached. Our TVs will not plug into to any port except HDMI).*

SUPER IMPORTANT: TVs only connect to HDMI ports.

Ai-Kon will NOT be able to provide any adaptors to connect to HDMI. This includes USB-C to HDMI, Thunderbolt to HDMI, VGA to HDMI, etc.

If you require such a converter we recommend you purchase or borrow one from a family member, friend or coworker. You may also borrow a laptop with an HDMI port for your panel.

If you are unfamilar with HDMI ports and have questions as to what to look for, please note it on your application so we can contact and help you ensure you have a connectable device.
Please Note: In order to facilitate the set-up/tear down process for both A/V staff and organizers, we ask that you do not move the equipment in the rooms.

In addition to the two TVs and HDMI cord, each panel room is set with two hand held corded mics (supplied by the convention center and attached to their sound system) and a set of standard speakers (3.5mm jack).

Should you have any equipment related needs, please feel free to let us know so we can enquire with the Committee and A/V staff.

The Ai-Kon Programming Team makes an attempt to schedule around the needs and requirements of our attendees & presenters.

Many factors play into the finalization of the schedule, and not all requested room types, time slots or set ups can be guaranteed.

We fully understand any withdrawal of application that is a result of not being able to find a suitable schedule spots for your event.
