Exhibitor Rules and Regulations
Please review the following rules for vending with us! Any violation of these rules may result in your removal from this and future events.
1. All vendor/exhibitor spaces/tables must be staffed by the Exhibitor at all times. Magik and Mythk/ Prometheus Esoterica shall not be held responsible for loss or damage to vendor/exhibitor property. All persons assisting with your setup must arrive prior to show time and stay for the duration of the event.
2. All vendor/exhibitor spaces/tables must remain intact throughout the operating hours of the show and may not be dismantled prior to the closing of the show unless there’s an emergency and explicit permission is granted by Magik and Mythk/ Prometheus Esoterica.
3. Exact booth and table assignments will be set by Magik and Mythk/ Prometheus Esoterica. You may request a preferred location but it cannot be guaranteed.
4. Spaces/tables may not intrude in the aisles, in front of, or to the side of the tables. Walkway space needs to be maintained in accordance with applicable Fire and Safety Codes. Any space that is open when you come to set up, must be left an open space, do not attempt to fill in any open space, aisles, etc. Please do not intrude into neighboring spaces on either side or behind you.
5. Vendors/exhibitors may not use anything that will damage the Event Facility walls to mount or hang displays. The vendors/exhibitors will be held responsible for any damage they cause to the wall or their area. Some spaces will not be along walls and any equipment needed to hang or display fixtures or banners must be supplied by the vendor. Vendors setting up tents with canopies in the hall must have a fire extinguisher present at all times. Vendors will supply their own tables and chairs for their booth space.
6. Vendors/exhibitors are responsible for charging Florida State sales tax and reporting sales to the State of Florida. Antiques Roundup will not be held responsible for vendors’ failure to collect, report, and submit sales tax charges. Sales tax applications are available on the state’s website www.myflorida.com.
7. Vendors/exhibitors are responsible for their own waste removal. You must dispose of all garbage, boxes, etc. at your space/table at the end of operating hours. If any waste is left at your space/table after close of operating hours, you may be assessed a clean-up fee, not less than $25.00 per Exhibit space.
8. No candles or incense are allowed to be burned during the show. This is due to the fire marshall, but also to not bother those around you that may be sensitive to scents. Be mindful of your neighbors before demoing sprayed perfumes. Please do not play any music during the event.
9. We approved you based on your application and the items shown on your website/social media. If you are selling merchandise not shown or represented on your website/social media during the application process, you must get approval first. You only need approval if you are selling something completely different.
10. Vendors/exhibitors may not sell, offer, serve, or provide free food or beverage in the exhibit space as per Event Facility policy, without prior written approval by Organizer and Event Center. This includes but is not limited to alcoholic beverages, boxed ready to eat items, water, promotional goods, candy, edible crafts, and “Collectable” food items.
11. All items offered for sale at the Magik and Mythk festival must comply with state and federal guidelines, especially regarding wildlife laws, Firearm laws, etc. We are a family event and ask that no exhibitor display vulgar, offensive, or polically charged signage or merchandise. We reserve the right to ask vendors to remove any item we deem unacceptable no questions asked.
WEAPONS POLICY: Any weapons sold at our event must be sold in a sealed box that is not to be opened by attendees during the event. We have a weapons check out area where vendors may leave weapons for pickup with our volunteers. Additionally, some vendors walk the items out of the building with the customer to take to their vehicle. Attendees seen with weapons inside the facility may have their items confiscated or be asked to leave. We only allow the sale of historical or fantasy weapons, antique firearms (black powder) only. If you are selling weapons please notify with the event coordinator so we can make a plan for you.
12. We ask that all vendors dress and merchandise their booths in accordance with the themeing of our event. Vendor costumes do not need to be "historically accurate" but should be in line with the theme of medieval period, rennaissance, fantasy, etc. Our venue is fully air conditioned to accomodate this request.
Booths utilizing plastic tables should be covered and booths using pop up or modern tents should have the hardware covered to ensure they appear in line with the theme. (Example below)

13. All table fees are non-refundable. If an emergency arises, please alert Antiques Roundup and we will make a decision based on a case-by-case basis.
14. Any photos submitted for application approval may be used in advertising of the event and may be featured on our website or social media.
15. We want all of our vendors, guests, and venue personnel to have a good and fun experience at our event. Please be nice to our staff, your fellow vendors, and guests. If you have a problem or dispute, please contact event coordnators and we will address it.
