I. Purpose
BEAM Venture is committed to creating a safe and supportive environment for all youth participants. This policy establishes clear guidelines for preventing, identifying, and reporting child abuse to ensure the well-being of all children in our programs.
II. Scope
This policy applies to all BEAM Venture staff, mentors, volunteers, chapter advisors, chapter mentores and program participants.
III. Definitions
- Child Abuse: Any action or inaction that causes harm, potential harm, or risk of harm to a child. This includes physical abuse, emotional abuse, sexual abuse, and neglect.
- Mandated Reporter: Any BEAM Venture staff, mentor, or volunteer who, in the course of their work, has reasonable cause to suspect child abuse.
IV. Prevention Measures
- Screening & Background Checks:
- All mentors, chapter advisors, and volunteers/employees working with minors must undergo a Criminal and background check.
- Reference checks will be conducted for all staff and volunteers.
- Training & Awareness:
- All mentors and regular volunteers must complete annual training on child abuse prevention, recognizing signs of abuse, and reporting procedures.
- Training will include appropriate boundaries, recognizing grooming behaviors, and best practices for interactions with minors.
- Supervision & Interaction Guidelines:
- No one-on-one interactions between adults and minors should occur in private settings.
- All communication including digital communication with minors must be transparent and include another adult (e.g., a parent, another mentor, or chapter advisor).
- Physical contact should be appropriate and limited to high-fives, fist bumps, and side hugs, when necessary.
- Safe Online Interactions:
- Digital communication must be professional and limited to program-related discussions.
- Any online mentoring or meetings must include at least one additional adult.
A private setting refers to any location or situation where an adult and a minor are alone together without visibility or oversight from others. To ensure child safety, BEAM Venture defines private settings as:
Examples of Private Settings (To Avoid):
- Closed Rooms: Any room where an adult and a minor are alone with the door closed and no windows for visibility.
- One-on-One Meetings in Isolated Spaces: Private offices, empty classrooms, or storage rooms.
- Restrooms & Locker Rooms: Adults should never be alone with a minor in these spaces.
- Online Private Communication: One-on-one texting, direct messaging, video calls, or private chat rooms without another adult present.
Best Practices to Maintain Transparency:
✅ Always meet in an open or public space.
✅ Ensure another adult is present or aware of the meeting.
✅ Keep doors open or meet in rooms with windows.
✅ Copy parents or chapter advisors on electronic communication.
✅ Use group settings for virtual meetings (at least three people in a call)
V. Reporting Procedure
- Recognizing Signs of Abuse:
- Physical indicators: unexplained bruises, burns, or injuries.
- Behavioral indicators: fear of adults, withdrawal, aggression, or sudden changes in behavior.
- Verbal disclosures from the child.
- How to Report:
- If a mentor, volunteer, or staff member suspects abuse, they must report it immediately to their Chapter Advisor.
- The Chapter Advisor will document the concern and escalate it to BEAM Venture leadership.
- If abuse is suspected or disclosed, a report must be made to the appropriate local child protection agency or law enforcement.
- Confidentiality & Protection for Reporters:
- All reports will be handled with strict confidentiality.
- No one reporting in good faith will face retaliation or consequences for making a report.
- Follow-Up & Support:
- BEAM Venture will work with local authorities to ensure the safety of the child.
- Support services, including counseling referrals, will be provided to affected individuals if needed.
- VI. Enforcement & Policy Review
- Any person accused of violating this policy, whether staff or volunteers, will immediately be suspended from participation in all BEAM Venture programs/activities. Such suspension shall continue during any investigation by BEAM Venture or law enforcement and child protection agencies.
- Failure to comply with this policy or any person found guilty of violating this policy may result in immediate dismissal from BEAM Venture and shall be prohibited from future participation in all BEAM Venture programs/activities..
- This policy will be reviewed annually and updated as needed to ensure compliance with child protection laws.
