General Guidelines
1. Clubs are defined as a group of residents with a similar interest who gather on a regular basis to build community. Clubs are open to the entire community. Clubs must not be for the purpose of politics, religion, or to promote an individual's business.
2. All new clubs require prior approval by Las Sendas Community Association (LSCA Contract renewals will be requested on a yearly basis and are not guaranteed.
3. All group activities must maintain an average of 75% Las Sendas residents unless otherwise indicated on this agreement. This must be reflected on the club roster.
4. Leaders are responsible for complete supervision of participants. LSCA and its personnel or agents do not supervise or monitor activities. However, LSCA reserves the right to audit the club.
5.All marketing materials for clubs held at or within Las Sendas must be approved by LSCA 14 days before distribution. LSCA is not responsible for creating flyers or marketing material for clubs. All clubs will be included on the community website, featured in the community magazine, and any additional opportunities LSCA sees appropriate.
6. Club leaders will require all club participants to sign the Waiver and provide a copy of all waivers to the Association with a roster of all club members and participants upon every participation change or annually, whichever comes sooner.
Scheduling
1. All clubs must begin and end at the indicated time on this agreement. Staff is scheduled to open and close the facility per your contracted time; please ensure you arrive and depart in a timely manner.
2. No applicant may reserve more than four (4) hours per week. The usage of outdoor and/or common areas will be handled on a case-by-case basis. Clubs may be canceled at any time for community events, rentals, meetings, etc.
3. Only the facility/areas specified in the agreement may be used. All areas not covered by this agreement will remain open and available to LSCA residents during the scheduled club and shall not be used by the club. LSCA also has the right to relocate and/or cancel club meetings based on the highest and best use of each facility in regards to programming and private rentals.
4. Each club will be given 2 special meetings a year for recitals, celebrations, ceremonies, and/or additional meetings. Special meetings should be requested in writing at least 30 days in advance. Anything outside regularly scheduled meetings and the 2 special meetings will be assessed at the standard rental rate based on the day of week and availability. A standard Facility Rental Contract must be submitted along with payment.
Facility Usage
1. Club leaders are responsible for submitting their room layout to LSCA staff no later than 14 days before the meeting date. If a layout is not provided 14 days in advance, we may not be able to accomodate your set up needs.
Clubs are responsible for their set-up, take-down, and clean-up of the area assigned and to return it to the condition in which it was received. All tables and chairs are to be used indoors only. All trash is to be taken to the dumpster located in the parking lot. A vacuum, broom, and mop are available at each facility. No other cleaning supplies are provided.
2. Tables and chairs are provided by LSCA if the club meeting is taking place inside the Trailhead; all other materials and equipment are to be provided by the group and may not be stored at any LSCA facility.
3. Tables and floors must be protected and covered for all activities involving art and food material, including but not limited to paint, glue, juice, snacks, etc.
4. Decorations or club materials may be hung only with products that will not cause penetration of the walls or stripping of paint. No tape, nails, staples, tacks, glitter, or confetti are allowed. No tape is allowed on windows. Materials must be removed after each session.
5. LSCA cannot be held liable for accident or injury resulting from set-up, tear down, or general use of the facility, including use of kitchen equipment, illness from food preparation, unforeseen mechanical problems, or human error. Club leaders must report any problems, accidents, participant complaints, etc. to the LSCA staff within 24 hours of the occurrence by calling the Lifestyle Director and completing the LSCA Incident/Accident Report Form.
6. NOTICE: No person shall possess or consume more than:
40 oz of beer, or 750 ML of Wine, or 4 oz of distilled spirits
Las Sendas Community Association reserves the right to remove anyone from the premises that appears to be intoxicated.
