Hello Friend Night Market – Vendor Agreement
This agreement outlines the terms, responsibilities, and legal protections for all vendors participating in the Hello Friend Night Market. By signing, vendors agree to comply with all conditions set forth below.
Setup & Removal
• Setup: Begins FRIDAY 10:00AM - 9:00pm
• Breakdown: Begins Sunday at 11:00 PM (after the event is done)
• Vendors may only load in during the times specified by Hello Friend Night Market.
• Vendors arriving after 2:00 PM (market hours) must park in the vendor parking lot and carry in their supplies.
• No vehicle entry into the event area during open business hours.
• Vendor displays or items must not extend into aisles or encroach on neighboring vendor spaces.
• Vendors must not begin breaking down their booths until after the event closes. All belongings, including trash, must be removed.
• Vendor vehicles must be moved to the vendor parking lot at least 30 minutes before opening. No vehicle movement is allowed until after the event has ended.
Trash Disposal
• Vendors are responsible for cleaning their area and must collect and dispose of all trash in sealed bags.
• Vendors must bring their own trash bags and dispose of them in designated trash bins.
• The vending area must be left in the same condition as received.
Advertising Rules
• Vendors must promote their attendance at this event on social media at least once per week.
• Vendors may only promote and sell pre-approved products/services listed in their agreement.
• Unauthorized product sales or subletting space will result in immediate removal from the event.
• Vendors may not sell wine or beer. Any violation of this policy will result in immediate removal.
• No personal speaker systems are allowed.
No Refund Policy
• No refunds will be given under any circumstances, including bad weather.
• If weather disrupts the event, Hello Friend Night Market will make every effort to reschedule.
• No rollover policy: Market fees cannot be transferred due to vendor absence, including for weather-related reasons.
Hold Harmless & Release Agreement
I hereby release Hello Friend Night Market LLC, all sponsors, and all other associated parties from any and all claims, actions, or demands related to:
1. My participation in the Hello Friend Night Market Event.
2. Any negligence or acts (directly or indirectly related) by event organizers.
3. The condition of the premises where the event is held.
Event Management & Policy
• Hello Friend Night Market reserves the right to:
• Change event dates, times, and locations with at least 2 days’ notice.
• Adjust floor plans and booth assignments at its sole discretion.
• Deny exclusivity in any product category.
• Vendors may not assign, sublease, or share their booth space under this agreement.
Please be respectful to all attendees and vendors.
Force Majeure
No liability for event failure due to:
• Weather, natural disasters, public health issues, or government restrictions.
Photo & Video Release
• Vendors grant Hello Friend Night Market LLC rights to use photos/videos of booth, products, and likeness for promotional purposes without compensation
Compliance with Laws
•Vendors must comply with all local, state, and federal laws, including health and safety regulations, fire codes, and product standards.
Cancellation & No-Show
•Vendors who do not show up or cancel with less than 48 hours' notice may be banned from future events.
Agreement Acceptance
By signing, I confirm that I have read, understood, and agree to the terms of this agreement.
Confirmation & Payment Details
•After submitting your application, you will receive a confirmation email within 24 to 72 hours.
•The email will include payment details, which are necessary to finalize your registration.
•Your application will remain incomplete until payment is processed.
