Rainbow Children’s Corner Terms and Conditions – 2025.

(Effective beginning March 2025 onwards)
Services and Hours
• Holiday Club. School holidays and half terms (February, Easter, May and October half terms, selected weeks of the summer holidays and the first week of the Christmas break depending on school/nursery closing dates) 8:30am-6pm. This means that your child should be dropped from 8:30am onwards, and not before, as well as your child being collected before 6pm as this is when we close.
• Saturday Club. The hours for Saturday Club are 10am-4pm. These hours may vary if we have an outing or special occasion planned* Saturday club only runs on selected Saturdays. These dates will be available on the booking system and on our social media sites.
• *Check social media and booking system for hours and dates.
Service Fees
Holiday Club:
• £38 for childcare between 8:30am-4pm (equal to £5p/h).
- If you require childcare after 4pm up to when we close at 6pm, this will cost an additional £10. Total amount payable £48 (equal to £5 p/h).
• £1.50 per day per child for food fees* This includes snacks throughout the day as well as juice and water to fill up drinks bottles. *please provide a labelled drinks bottle and packed lunch. (examples of snacks we provide are: noodles, toast, fruit selections, crisps, crackers, breadsticks, pancakes/croissants cheese, sausage rolls, pizza etc.)
• 5% sibling discount per day. A 5% discount will apply to parents with two or more siblings attending the club*. Please speak to the manager if you are eligible for this discount. *This does not apply to other members of the family attending and only applies during school holidays NOT Saturday club.
Saturday Club:
• £7 per hour *food not included. Please provide a packed lunch*
Payment of Fees
• Payments must be made upfront for each week your child attends. We reserve the right to refuse entry to the kids club if a payment cannot be made upfront.
• If the payment is late/unpaid there will be an extra 5% of your total invoiced amount charged.
• If you have booked your child in and they cannot attend, please inform the manager no less than 48 hours before, not including weekends. Without notice given, the full amount of the cancelled booking will be incurred at the manager’s discretion.
• No refunds or cancellations of payment will be given for periods where your child has been booked in, no notice has been given and they have not attended. These payments will still be necessary to be paid in full.
• A 50% refund will be given when the childcare period has already begun, but sessions have been cancelled with more than 48 hours’ notice. (this term will be at the managers discretion. We may not provide a full refund due to food, activities and crafts, and all supplies being purchased beforehand with your child counted into the ratio. We are understanding of exceptional circumstances therefore will always try to accommodate a full refund when possible and we deem justifiable to do so). Refunds will be issued within 7 days of notice.
• A full refund will be given when the childcare period has not started, as long as notice has been given 48 hours before we open. Refunds will be issued within 7 days of notice.
• We accept payments of standing orders and cash, as well as from the tax-free childcare scheme and UC. We do not accept any card payments, cheques or childcare vouchers.
• Invoices are sent electronically through email. If you would like a paper invoice please ask the manager.
• We will try to accommodate any requests you make for additional sessions or changes of sessions, you will receive an updated invoice for these payments.
• We may review these fees at any time, but shall inform you of the revised amount at least one month before it takes effect.
Termination/behaviour and conduct
• If a parent/carer OR your child behaves unacceptably we reserve our rights to terminate their place with immediate effect. This means behaving in a threatening, abusive or physical manner, or breaching health and safety policies.
Dietary/medical requirements
• You must include any dietary and medical requirements on your child’s registration form prior to their start date. Please ensure ALL allergies and intolerances are included as we cannot accept responsibility for allergies/intolerances we were not made aware of.
• Please ensure you let us know immediately of any additional allergies/intolerances/medical conditions etc.
Medication- administering medicines
We will only administer prescribed medication when it is essential to do so, that is where it would be detrimental to your child’s health if the medicine were not administered. No medication will be administered without prior authorisation from the parents.
If a child requires emergency medication (inhalers, epi-pens etc) the parents/carers must inform a member of staff and add this into your registration forms.
Emergency medical treatment
For emergency medical treatment, incidents and accidents of a more serious nature involving hospital or medical treatment, all attempts will be made to contact parents/those who are listed on the child’s registration form. However, failing this we reserve the right to allow medical experts to act on behalf of the parents and authorise any emergency medical treatment.
Sickness
Should your child contract any of the following symptoms:
• High temperature
• New and/or continuous cough
• Loss of taste and/or smell
Please keep them away from the setting, follow all government advice on COVID-19 and inform us immediately so that we can do the same.
Should your child contract a disease or sickness that is infectious or contagious you must inform us immediately. We accept no responsibility for any child contracting contagious diseases/infections. Please do not bring your child to the setting if they are ill and at least for 48 hours if they have had diarrhoea or vomiting.
If your child becomes unwell whilst in our care, we will contact you or the nominated emergency carer to make appropriate arrangements for collection.
Accidents and medical treatments
You will be informed of all accidents/incidents and asked to sign the relevant forms. We reserve the right to administer basic First Aid treatment, when and where necessary.
Force majeure
In the event of unforeseeable circumstances that prevent the club from opening, we reserve the right to close the setting and cancel all bookings with as much notice as possible.
Booking fees for this period will not be charged and full refunds will be issued for the closed period.
We will only use this as a last resort in an event that is beyond managements control, we ask that you be understanding if these circumstances arise.
Child Collection
If you are late collecting your child, staff will always be available to supervise children until they are collected, if you have not made contact to the setting to inform us of a late collection, then the named emergency contact will be telephoned after 15 minutes.
We will contact Social Care if we cannot contact adults that are listed on the child’s registration form and it has been more than an hour since closing time.
If you are late collecting your child we reserve the rights to charge an extra fee of £5 for the first 15 minutes and thereafter £10 for every 15 minutes.
Please note: without a court order we are unable to refuse parent’s access to their child. Please provide such order on request.
Liability
We accept no responsibility for any child whilst in the care of a parent on the premises.
Safeguarding Children/Child Protection
We have a responsibility to keep children safe in accordance with the Children Act 2004. This includes prevention of significant harm or the risk of significant harm. In the majority of cases we will endeavour to discuss with you any concerns we have about your child, however, it is our legal duty to inform the necessary authorities without your consent if we suspect your child may be at risk of significant harm.
Changes
You must notify our setting immediately if any information given on the registration form changes. This includes mobile numbers, address and contact details.
