VOLUNTEER AGREEMENT AND RELEASE OF LIABILITY
This Volunteer Agreement (“Agreement”) is entered into by and between Sky High Aerospace Expo and Fly-In (“Organization”) and the undersigned Volunteer.
By signing below, I acknowledge and agree to the following:
1. Volunteer Status
I understand that I am serving as a volunteer and not as an employee, contractor, or agent of Sky High Aerospace Expo and Fly-In. I understand that I will not receive compensation, wages, insurance benefits, or employment benefits of any kind.
2. Commitment and Conduct
I agree to:
Fulfill my assigned volunteer schedule or notify event leadership as early as possible if I am unable to do so.
Represent the Organization in a professional and positive manner.
Adhere to all policies outlined in the Volunteer Handbook.
Follow the instructions of designated event leadership, safety officers, operational supervisors, and authorized personnel at all times.
Refrain from consuming alcohol or using illegal substances while performing volunteer duties.
Failure to comply with conduct or safety standards may result in immediate removal from the event premises and termination of volunteer service at the sole discretion of the Organization.
3. Training and Operational Compliance
I agree to:
Participate in required training or briefings.
Seek clarification when unsure of procedures.
Comply with all applicable Federal Aviation Administration (FAA) regulations and directives.
Follow all event operational procedures related to aviation, motorsports, crowd control, and safety management.
4. Assumption of Risk
I understand that participation as a volunteer at Sky High Aerospace Expo and Fly-In involves inherent risks, including but not limited to:
Aircraft operations and aviation activities
Motorsports events and vehicle demonstrations
Moving vehicles and heavy equipment
Large crowds and public interactions
Environmental conditions (heat, noise, weather)
Temporary structures and event equipment
I voluntarily assume all risks, known and unknown, associated with my participation.
5. Release and Hold Harmless
To the fullest extent permitted by law, I release and hold harmless Sky High Aerospace Expo and Fly-In, its owners, officers, directors, employees, agents, sponsors, partners, volunteers, and affiliates from any and all claims, liabilities, damages, or causes of action arising out of or related to my participation as a volunteer, except in cases of gross negligence or willful misconduct.
6. Medical Responsibility
I understand that the Organization does not provide medical, health, or accident insurance coverage for volunteers. I am responsible for my own insurance coverage.
In the event of an emergency where I am unable to respond, I authorize event representatives to obtain necessary medical treatment on my behalf.
7. Confidentiality
I agree to maintain the confidentiality of any sensitive, proprietary, operational, or personal information encountered during my volunteer service.
8. Media Release
I grant permission for Sky High Aerospace Expo and Fly-In to photograph, video record, or otherwise capture my likeness during the event and to use such media for promotional, marketing, archival, or educational purposes without compensation.
9. Termination of Service
I understand that volunteer service may be terminated at any time at the discretion of the Organization.
10. Acknowledgment of Volunteer Handbook
By signing below, I acknowledge that I have received and reviewed the Sky High Aerospace Expo and Fly-In Volunteer Handbook. I understand its contents and agree to abide by all guidelines and policies contained therein.
If I have any questions or require clarification, I will seek assistance from event leadership prior to performing my duties.
