Retrographs Booking Form

Retrographs provides a vintage-themed photobooth experience inspired by early 1900s film cameras housed in large wooden boxes, ideal for events such as weddings, birthdays, debuts, and other gatherings.

• Service Scope: Services are limited to the photobooth and optional film camera add-on unless otherwise specified.
• Operations: Film cameras and photobooths are operated by Retrographs crew members to ensure a professional experience.
• Film Development and Lead Time: For the film camera service, Retrographs uses traditional analog film. After the event, exposed film is processed and scanned by a professional lab. Clients will receive digital copies via a private Google Drive link within 1 to 2 weeks after the event. Developed physical negatives will also be sent back to the client. All shipping and processing costs for this standard delivery are included in the initial service fee.

• Downpayment: A non-refundable 50% down payment of the total service fee is required to secure your booking. Paying in full is also acceptable.
• Rescheduling & Transfer: Cancellations are not permitted. You may reschedule the event or transfer your booking to a family member or friend with at least 14 days’ notice, subject to availability.
• Remaining Balance: The remaining balance must be settled before the event date. Failure to settle the balance may result in cancellation of services without refund of the down payment.
• Accepted Payment Methods: Cash, GCash, Maya, BDO, BPI, or Landbank. All payments must be made in Philippine Peso (PHP).
• Late Bookings: Bookings made less than 7 days prior to the event are subject to a late booking fee of up to PHP 1,000.
• Additional Fees: For events outside Naga City, fuel costs will be applied based on the distance to the venue.

• Space & Power: The client must provide a solid, level ground area (minimum 3x3 meters) and a stable power outlet within 5 meters of the setup.
• Outdoor Setup & Shade: For outdoor events, the client must provide a sturdy tent or suitable overhead covering to protect equipment from rain, direct sunlight, and heat. Retrographs reserves the right to cancel or suspend services without refund if equipment is at risk due to exposure to weather or lack of shade.
• Logistics: The client must provide guaranteed parking and elevator access (if the event is on an upper floor). Any venue-imposed fees (corkage, permits) are the sole responsibility of the client.
• WiFi Connection: While Retrographs provides pocket WiFi for live uploads, stability depends on Globe’s network coverage. Failure of live uploads due to signal issues does not constitute grounds for a refund.

• Limitation of Liability: Retrographs is not liable for power outages, venue restrictions, or circumstances beyond our control.
• Damages & Equipment: Clients are responsible for the full cost of repair or replacement for equipment damaged due to negligence or misuse by the client or their guests.
• Post-Event Invoicing: In the event of damage, Retrographs will issue an invoice for repair or replacement costs. The Client agrees to settle this invoice within 14 days of receipt.
• Force Majeure: Retrographs shall not be liable for failure to perform due to natural disasters, government regulations, or other unforeseen catastrophic events.

• Promotional Use: Retrographs may use photos for marketing purposes unless the client opts out in writing at the time of booking. It is the client's responsibility to notify guests that their photos may be used for these purposes.
• Data Retention: Digital copies will be available via Drive for 2 months, after which they will be permanently deleted. Clients are responsible for downloading their copies within this period.
• Copyright: Retrographs retains ownership of the original images, granting the client a license for personal use, printing, and social media sharing.

• Arrival & Setup: The Retrographs crew will arrive at the venue 1.5 to 2 hours prior to the scheduled start time. Setup typically takes 30 to 60 minutes.
• The 15-Minute Grace Period: The service timer begins at the scheduled start time. Retrographs allows a maximum of 15 minutes of idle time. If the event is delayed further, the photobooth timer will begin automatically, and lost time will not be extended.
• Service Duration: The classic package includes 3 hours of active service. Setup/disassembly time is not deducted from your 3 hours.
• Overtime: Additional hours may be requested, subject to availability, at a rate of PHP 1,500 per hour.

• Jurisdiction: This agreement is governed by the laws of the Philippines.
• Dispute Resolution: Both parties agree to attempt resolution through good-faith negotiation or mediation before pursuing legal action.

• Cancellation by Retrographs: If Retrographs is unable to provide services, a full refund will be issued, and we will assist in finding alternative services.
• Safe Working Environment: Retrographs reserves the right to cease operations if the environment becomes unsafe or if staff are subjected to harassment or abuse by guests. No refunds will be issued in such cases.
• Modification of Terms: Retrographs reserves the right to modify these terms. Clients will be notified of changes affecting their booking.
