    Festival dates are Saturday, October 18 from 10am-5pm, and Sunday, October 19 from 11am-4pm, 2025. We are curating registrations and will use the ground floor exhibitor room only. Note: registration does not guarantee acceptance - you will be notified and refunded if we cannot accept your registration for any reason.
    • Registration deadline for FOOD EXHIBITORS is September 22, 2025.
    • Registration deadline for NON-FOOD EXHIBITORS who need ELECTRICITY is October 3, 2025.
    • Registration deadline for NON-FOOD EXHIBITORS who do NOT need electricity is October 10, 2025.

  • We rent electric generators and equipment that are quite costly to meet the needs of exhibitors requiring electricity.

    Please note that if your electricity needs change closer to the date of the festival, there may be additional charges.

  • All food vendors must submit two things to Boston Vegetarian Society (not inspectional services) by uploading files below:

    1. your completed and signed City of Boston Temporary Food Service Permit Application Form (link)
    2. copy of your health permit or wholesaler license from the city or town where you are licensed, even if you are a Boston-based company.

    After you submit these, we will get the permit for you from the City of Boston. Please do not submit anything directly to the City.

  • PRE-SHIPPING PRODUCT TO THE VENUE

  • If you plan to pre-ship product to the venue in advance, please request in Comments below that shipping instructions be sent to you.

  • POLICIES AND KEY INFORMATION

  • Food Policy: All products must be free of animal ingredients (vegan). This means no meat, poultry, fish, eggs, dairy, honey, animal parts, insects, or byproducts. This also means no animal derivatives such as broth, gelatin, rennet, lard, tallow, enzymes, beeswax, and no dairy derivatives such as whey or casein. Any food items that do not adhere to these guidelines must be removed from display, sale, and sampling. Ingredients should be listed on the package or on the display, including for prepared foods or meals. Foods without artificial additives are most desirable. 

    Printed materials: Displays, handouts, and recipes may not promote foods that are non-vegan. Cookbooks must be 100% vegan.

    Allergens: Please have signage on your table that notes any of the FDA's Major Food Allergens contained in your food, for example: Contains peanuts, wheat, sesame, soybeans, tree nuts (e.g., almonds, walnuts, pecans)  

    Non-food Policy: All non-food items must not have been tested on animals, and must be free of leather, fur, wool, gelatin and any animal slaughter derivatives or animal products. 

    Disposables: To preserve the environment, all disposables used for food sampling and serving must be BPI-certified compostable. (See our Info & Regulations item #5 for sources.) We are striving to minimize waste from the event. We provide compost receptacles and staffers to monitor them. We hire outside professional companies for proper handling and disposal of our compostable waste and our recyclable waste.

    Note: The Boston Veg Food Fest reserves the right to decline any application at our discretion.

    We will provide:

     - Table(s) and two chairs
     - Area trash barrels and periodic trash collection
     - Area security personnel. Protection of exhibitor's property shall be the sole responsibility of the exhibitor.

    Exhibitors will need to provide their own:

     - Sanitary serving gloves and compostable disposables (napkins, plates, serving utensils, sampling cups, straws, sampling toothpicks, etc.) if needed
     - If serving food, bring extra sanitary serving utensils.
     - Table coverings. We do not provide table coverings.
     - Banner support (Supplied for sponsors) Maximum height 8 ft., one–sided banner

    Exhibitors agree to make no claim for any reason against the Boston Veg Food Fest (BVFF), BVFF organizers or staff or volunteers, or the Boston Vegetarian Society or its directors or volunteers for any loss, theft, damage, or destruction of goods, nor for any injury to themselves, their employees or volunteers, or BVFF visitors incurred at the Festival. Exhibitors agree to indemnify and hold harmless BVFF coordinators and volunteers and the Boston Vegetarian Society and its directors and volunteers against any liability arising out of the exhibitor’s participation in the BVFF.
