  • VENDOR INFORMATION

     

    MARKET DATES:

    October 24, 2025

    Vendor setup from 12:30pm - 4:30pm

    *Cars are required to be moved from loading area at 3:30 to allow food trucks to enter. 

    Market open 5pm – 9pm

     

    October 25, 2025

    Market open 10am – 5pm

    Vendor Takedown 5pm – 6pm

    Mary Winspear Centre - 2243 Beacon Ave W, Sidney, BC

     

    TOTAL COST:

    Bodine Hall:

    * 8 ft wide x 5 ft deep space - $335 + gst 

    *10 ft wide x 5 ft deep space - $375  + gst 

    *10 ft wide x 8 ft deep space- $450 + gst WAITLIST ONLY located along the glass garage doors (load in area) - Curtains will be hung to block out the heat. 

    *10 ft x 10 ft space - $495 + gst 

    *Food Trucks in courtyard - $25 per day +gst

    8 Foot table & 2 chairs are available upon request for an additional $15

     

     

     

     

     

     

    • VENDOR SELECTION: 

    • This is a juried show. All submitted applications are reviewed and choosen according to category availability and best suitted to the market demographic. 

      *Please note, not accepting any MLM/Direct Sales companies.

    • Your application does not guarantee a spot in the market. As I do receive a large amount of applications, you will only be notified via email if your application has been approved.

    • Crafted Farmhouse Market will be considering applications on an ongoing basis until we are at full capacity.

    • The application will remain online until the market starts, in the case of last minute cancellations in a category that is needed.
    • Once you are notified that you are a vendor, payment is required within 48 hours to secure your spot.

       

      WHAT YOU CAN EXPECT FROM US:

    • A beautifully decorated venue that reflects the theme of Crafted Farmhouse Market.

    • Signage.

    • 2 Weekend Pass tickets to giveaway on your social media page.

    • Individual business advertising for each vendor on our Social Media.

    • Crafted Farmhouse Market event postcards will be left at multiple businesses Victoria wide.

    • Additional Paid Advertising.

    • Included on market directory on craftedfarmhousemarket.ca (live durring market weekend).


      WHAT WE EXPECT FROM YOU:

       
    • You will promote this market on your social media, using provided marketing materials.

    • A well curated booth design.  Pipe and Drape are NOT provided.  I reccomend bringing your own back drops using farmhouse themed items if possible.
    • I also reccommend having additional lighting attached to your booth.
    • Clear curated pictures in 1:1 size for advertising.

    • Use your 2 tickets for the market as an advertising tool. Come up with some creative giveaways and contests to get people to the event.

    • We provide an event commercial liability policy, however the venue requires each vendor to also have a commercial liability insurance plan. (Many of your business policies already include this, please check with your provider). You must provide your own.  I recommend getting your own vendor insurance thru Duuo website, it is more cost effective.

    • Food vendors must follow VIHA requirements and require their own Commercial Liability Insurance Policy in place for the Market weekend. 

    • 20 small swag bag items, these will be used for giveaways and swagbags. This is REQUIRED.

    • We are counting on you to help support our overall goal in making this a successful show. We want everyone to have a very successful show, however we can’t guarantee that. The more you can involve yourself with marketing and getting the word out, the more successful you will be

    • We expect a positive,kind and community vibe from all vendors.

    • Completely setup by 4:30pm on Friday October 24, 2024

    • NO PACKING UP EARLY (including blocking courtyard with cars early, bringing in wagons, packing up boxes). Market ends on Saturday October 25, 2024 at 5pm. Please be mindful of late shoppers.

  • Terms & Conditions:

    Health & Safety: Crafted Farmhouse Market will follow all COVID-19 safety guidelines from the provincial health authority, and we expect vendors to do the same. Eligibility: MLM/Direct Sales companies will not be accepted. Application Process: Submitting an application does not guarantee a spot. You will be notified via email if you’re approved. Once approved, payment is due within 48 hours to secure your booth.
    Product Requirements: Vendors may only sell products listed in their application. Permits & Insurance: Food vendors are responsible for obtaining any necessary permits and licenses. All vendors must have commercial liability insurance during the market weekend. Setup & Take Down: Vendors must comply with setup and takedown guidelines. Your booth must be ready by 4:30 PM on October 24th and must remain open until the market closes at 5:00 PM on October 25th. Early packing up is not allowed. Failure to follow setup/takedown rules will result in losing your booth space. Use of Photos: You grant us permission to use photos of your business on our social media. Conduct: Vendors must act professionally at all times. If issues arise, please contact the market manager directly. Liability: Crafted Farmhouse Market is not responsible for any sales, interactions, or losses between vendors and customers. We are not liable for any loss, fire, legal fees, or other expenses arising from vendor non-compliance. In case of unforeseen events (e.g., disasters or “acts of God”), we will be excused from obligations. Marketing: You agree to use provided graphics and weekend passes to promote the market. Alcohol: Vendors and their helpers may not consume alcohol during market hours.

    Cancellation Policy:

    Market Cancellation: If the market is canceled due to COVID-19 or other unforeseen events, $50 of your vendor fee will be retained to cover event costs.


    Vendor Cancellation:If you cancel within 4 weeks of the event, no refund will be provided.


    If you cancel earlier, you will receive a 50% refund.
