ACCEPTANCE OF TERMS AND CONDITIONS:
Any payment made by a Traveler or on behalf of the Traveler (“Traveler”, “you”) to Via Immacolata LLC towards any Via Immacolata LLC tour shall constitute acceptance of all Terms and Conditions provided herein.
TERMS OF PAYMENT:
All payments are due on the dates indicated in the payment schedule noted in the Registration Information section. Late payments are subject to a $75 non-refundable fee and may result in cancellation. A traveler registering within 30 days prior to departure must provide full payment in addition to a non-refundable late registration fee of $150. Via Immacolata LLC reserves the right to cancel registrations not paid in full 30 days prior to tour departure and charge fees according to the Cancellation Policy.
A non-refundable fee of $75 will be charged for all returned payments such as cancellations of Credit Card payments. Travelers agree not to dispute any credit card charges associated with this trip before first contacting Via Immacolata LLC to resolve their concerns. Via Immacolata LLC reserves the right to dispute any improper chargebacks and recover any costs, including legal fees related to improper chargebacks. In addition, in the event of an improper chargeback, Via Immacolata LLC reserves the right to cancel any travel reservations related to such chargeback.
NOTE: Credit card charges will not appear as “travel expenses” on your statement, but as “specialized services” or “purchases”.
PARTIAL PACKAGES NOT AVAILABLE:
Tour packages are offered as described in this brochure and at the price indicated. The purchase of partial packages is not available.
CANCELLATIONS AND REFUNDS:
Once a deposit or partial/full payment has been made, cancellations will only be accepted in writing. Cancellation terms will apply based on the date written notification is received. In addition to an administrative fee of $300 per person (deducted from the deposit), the following charges will be applied to the total cost of the tour/pilgrimage, regardless of the reason for cancellation:
Cancellations before April 15, 2025: $300 administration fee.
Cancellations after August 1, 2025: $1,000 non-refundable fee.
Cancellations after September 1, 2025: no refund will be made.
Refund requests must be made in writing (email). Phone calls will not be accepted as a form of cancellation. Refunds will be issued within 30 to 60 days of receipt of written notification. All refunds will be made by check or wire transfer (ACH). Name changes and substitutions are not permitted. Cancellation fees and refunds due to death or illness will not be waived.
CANCELLATION DUE TO CAUSES BEYOND THE CONTROL OF VIA IMMACOLATA LLC:
Via Immacolata LLC is not responsible for losses or expenses incurred due to tour cancellation or modification resulting from, among others: travel warnings issued by the State Department or other relevant authority, acts of war, terrorism, natural disasters, pandemics or any other circumstances beyond Via Immacolata LLC's control. In such an event, Via Immacolata LLC will assist travelers in requesting refunds for all ground services not received, less a non-refundable operating fee of $300 per person. Via Immacolata LLC is not responsible for non-refundable amounts disbursed to service providers on behalf of the Traveler.
Providers may choose to offer a travel voucher or credit in lieu of a refund. Via Immacolata LLC is not responsible if a supplier fails to pay a refund or in the event of the supplier's bankruptcy or insolvency.
CANCELLATION BY THE SUPPLIER:
Via Immacolata LLC will inform you as soon as reasonably possible if a supplier needs to cancel. Via Immacolata LLC will also mediate between you and the supplier regarding any alternative arrangements offered, but Via Immacolata LLC will have no further liability to you.
PRICING:
If the group does not reach the quoted size, the price or program will be adjusted accordingly. Prices are based on exchange rates and tariffs applicable at the time of quotation and are subject to change. Fuel surcharges are subject to increase up to 30 days prior to departure.
PASSPORT:
A valid passport is required for all passengers who are citizens of the U.S. Travelers of other nationalities should check with the appropriate embassies and are responsible for obtaining their own visas if required, in addition to a valid passport. Passports must be valid for at least six (6) months after the return date of travel. Via Immacolata LLC is not responsible for losses caused by insufficient validity of the traveler's passport.
HEALTH AND MEDICAL CONSIDERATIONS:
It is the responsibility of the Traveler to identify and secure any medical documentation required by the airlines or countries visited in the itinerary. Via Immacolata LLC is not responsible if the passenger fails to provide the required documentation. If a country requires proof of COVID vaccination and/or a negative test, it is the passenger's responsibility to ensure that they have such documentation within the required time frame.
Service providers (hotels, airlines, transportation companies, etc.) have agreed to comply with COVID protection measures as stipulated by local health authorities. Via Immacolata LLC is not responsible if suppliers do not fully follow such policies.
