The Winterfest Craft Fair & Tree Promenade will be held this year on November 1st, 2025 from 9am - 3pm.
Thank you for applying to the Winterfest Craft Fair & Tree Promenade. Please be sure to read ALL the rules and requirements. In order to ensure public and vendor safety you will be held to these standards.
GENERAL INFORMATION: Location: Canyon Lake Activity Center - 2900 Canyon Lake Dr., Rapid City, SD 57702
Items must be hand crafted by a resident of South Dakota or one of the surrounding six states. (ND SD WY NE MN MT IA). We will also accept limited food vendors whose products are from any of the above listed states.
Booth Rentals are on a first come first serve basis. Booth is not guaranteed until approval and payment has been made.
Show Setup Times:
Friday Evening Oct 31st 4:30 pm - 8:30 pm
Saturday Nov 1st 8 am - 9 am
This is the only time available for setup. Please schedule accordingly. Once the doors are open to the public at 9 am on Nov 1st and the show begins, setup is not allowed and your booth fee will not be refunded.
Show Teardown Times:
Teardown cannot begin before 3 pm the day of the show Nov 1st.
There is an event scheduled in the evening in the facility. Please be courteous and dispose of unneeded trash from your booth space in the appropriate trash containers.
Winterfest Booths
Winterfest is for crafters, artists, potters and any artistic person that wants to display and sell their unique creations. As well as homemade, pre-packaged baked and canned goods vendors. This will be held in the Viking & Dining Halls, and Library.
Booth Fee: $75 for a 8’ deep 10’ long space. Multiple booths may be rented by one vendor with prior approval. You may setup a Christmas tree in your space as well!
The following is provided and included with your booth fee: Advertising for the event, electricity, 8’ table, and two chairs. If additional tables or chairs are needed, they can be rented for an additional fee.
Feel free to display an appropriate sign in your space to promote yourself, business or organization.
You must provide your own extension cords and lights.
We highly recommend you carry an Insurance policy for the show to cover for any damages, losses, or injuries that could occur as we are not responsible. We also recommend listing SD Citizens for Liberty as additionally insured.
RULES, REQUIREMENTS & INFORMATION:
STANDALONE FOOD TRUCK VENDORS (Additional requirements): All food truck vendors MUST have a South Dakota State Department of Health Certificate. NO OTHER CERTIFICATES WILL BE ACCEPTED! Please submit a current copy with your application. ALL food truck vendors not having a DOH certificate and CURRENT Insurance on file with the Committee by October 1st, will not be allowed to set up. **NO EXCEPTIONS**
BAKED OR CANNED GOODS VENDORS (additional requirements): All baked goods or canned goods vendors that process their goods at home must meet SD Codified Laws 34-18-35 and 34-18-36 and/or 34-18-37 if applicable. It is the vendor's responsibility to follow these guidelines. Failure to follow these guidelines will result in your IMMEDIATE removal from the site with no refund. All home made baked or canned goods must be labeled per SDCL 34-18-37. **NO EXCEPTIONS**

PROHIBITED ITEMS: No: Silly String, Smoke Bombs, Stink Bombs “Snappers”, Radios, AV Equipment. No sale of Guns or Ammo. No Pets. No drug related items. If it is illegal in South Dakota, it is illegal at our event.
PLEASE NOTE: To make it more profitable for all, we attempt to limit the quantity of like items to a reasonable number, but we cannot guarantee you will be the only vendor(s) of your craft or item type. Submission of application does not guarantee acceptance. If you are accepted you will be contacted within 5-7 business days via email and/or call/text. No refunds or cancellations for any reason whatsoever. This is a rain/snow or shine event. No post-dated checks. No checks will be accepted after September 1st. Credit Card, Cash, or money orders only, after that date. Spaces are limited! Get your application in EARLY! Applications are considered on a first received, first considered basis.

FINAL NOTE TO ALL VENDORS (please forgive us, we are sorry we have to do this, but as it has happened before we have to address it now). Vendor parking will be very strictly enforced and all vendors must park in the back lot. During loading and unloading vendors may pull up to the doors but please be courteous and do not block access or remain parked there for longer than necessary. ALL vendors will maintain polite and courteous manners (including language) to all guests, other vendors, and event staff. Failure to do so will result in your IMMEDIATE removal from the site with no refund! Please Remember, you must leave your space as you found it. Take large supply boxes, bottles, containers etc., away with you. Medium & small refuse can be put in provided garbage containers. If you leave your garbage behind, it will be noted and you will be barred from any future events.
