  • Winterfest Craft Fair & Tree Promenade

    The Winterfest Craft Fair & Tree Promenade will be held this year on November 1st, 2025 from 9am - 3pm. 

    Thank you for applying to the Winterfest Craft Fair & Tree Promenade. Please be sure to read ALL the rules and requirements. In order to ensure public and vendor safety you will be held to these standards.  

    GENERAL INFORMATION: Location: Canyon Lake Activity Center - 2900 Canyon Lake Dr., Rapid City, SD 57702

    Items must be hand crafted by a resident of South Dakota or one of the surrounding six states. (ND SD WY NE MN MT IA). We will also accept limited food vendors whose products are from any of the above listed states.

    Booth Rentals are on a first come first serve basis. Booth is not guaranteed until approval and payment has been made.

    Show Setup Times:
    Friday Evening Oct 31st 4:30 pm - 8:30 pm
    Saturday Nov 1st 8 am - 9 am
    This is the only time available for setup. Please schedule accordingly. Once the doors are open to the public at 9 am on Nov 1st and the show begins, setup is not allowed and your booth fee will not be refunded.

    Show Teardown Times:
    Teardown cannot begin before 3 pm the day of the show Nov 1st.
    There is an event scheduled in the evening in the facility. Please be courteous and dispose of unneeded trash from your booth space in the appropriate trash containers.

    Winterfest Booths
    Winterfest is for crafters, artists, potters and any artistic person that wants to display and sell their unique creations. As well as homemade, pre-packaged baked and canned goods vendors. This will be held in the Viking & Dining Halls, and Library.
    Booth Fee: $75 for a 8’ deep 10’ long space. Multiple booths may be rented by one vendor with prior approval. You may setup a Christmas tree in your space as well!
    The following is provided and included with your booth fee: Advertising for the event, electricity, 8’ table, and two chairs. If additional tables or chairs are needed, they can be rented for an additional fee.

    Feel free to display an appropriate sign in your space to promote yourself, business or organization.

    You must provide your own extension cords and lights.

    We highly recommend you carry an Insurance policy for the show to cover for any damages, losses, or injuries that could occur as we are not responsible. We also recommend listing SD Citizens for Liberty as additionally insured.  

    RULES, REQUIREMENTS & INFORMATION:  

    STANDALONE FOOD TRUCK VENDORS (Additional requirements): All food truck vendors MUST have a South Dakota State Department of Health Certificate.  NO OTHER CERTIFICATES WILL BE ACCEPTED!  Please submit a current copy with your application. ALL food truck vendors not having a DOH certificate and CURRENT Insurance on file with the Committee by October 1st, will not be allowed to set up. **NO EXCEPTIONS** 

    BAKED OR CANNED GOODS VENDORS (additional requirements): All baked goods or canned goods vendors that process their goods at home must meet SD Codified Laws 34-18-35 and 34-18-36 and/or 34-18-37 if applicable. It is the vendor's responsibility to follow these guidelines. Failure to follow these guidelines will result in your IMMEDIATE removal from the site with no refund. All home made baked or canned goods must be labeled per SDCL 34-18-37. **NO EXCEPTIONS**

    PROHIBITED ITEMS: No: Silly String, Smoke Bombs, Stink Bombs “Snappers”, Radios, AV Equipment. No sale of Guns or Ammo. No Pets. No drug related items. If it is illegal in South Dakota, it is illegal at our event.  

    PLEASE NOTE: To make it more profitable for all, we attempt to limit the quantity of like items to a reasonable number, but we cannot guarantee you will be the only vendor(s) of your craft or item type. Submission of application does not guarantee acceptance. If you are accepted you will be contacted within 5-7 business days via email and/or call/text.  No refunds or cancellations for any reason whatsoever. This is a rain/snow or shine event. No post-dated checks. No checks will be accepted after September 1st. Credit Card, Cash, or money orders only, after that date. Spaces are limited! Get your application in EARLY! Applications are considered on a first received, first considered basis.

    FINAL NOTE TO ALL VENDORS (please forgive us, we are sorry we have to do this, but as it has happened before we have to address it now).  Vendor parking will be very strictly enforced and all vendors must park in the back lot. During loading and unloading vendors may pull up to the doors but please be courteous and do not block access or remain parked there for longer than necessary. ALL vendors will maintain polite and courteous manners (including language) to all guests, other vendors, and event staff. Failure to do so will result in your IMMEDIATE removal from the site with no refund! Please Remember, you must leave your space as you found it. Take large supply boxes, bottles, containers etc., away with you. Medium & small refuse can be put in provided garbage containers. If you leave your garbage behind, it will be noted and you will be barred from any future events.

  • Types of Booth:  In the space provided above, select which kind of booth you will require. Specify in detail: what you are selling below, use additional pages if necessary. Please provide several images if you are not a previous vendor or if your crafts/food selection has changed. Attach photos or email images. These images will be used for marketing purposes so make sure to use good photos! 

    ALL VENDORS NOTE: GIVE AS COMPLETE OF A LISTING OF THE ITEMS YOU CARRY AS YOU CAN. We realize some artisans carry a wide line of products and inventory changes throughout the year. Every item in inventory does not need to be listed but a general genre of your product line and grouped photo of multiple items will be acceptable. If items in your booth differ substantially from your application or are considered inappropriate for the event you will be asked to remove the items or you may be removed from the event. No refunds for any reason.

    STANDALONE FOOD VENDORS NOTE:  Please list all food you are selling. Nonfood items are permitted but will require a separate Crafter application. Food Vendors must attach a DOH permit otherwise your application will be DENIED.

  • THIS IS A RAIN/SNOW OR SHINE EVENT. THERE IS NO RAIN/SNOW DATE. We supply the space, you supply the rest.  Please be sure to upload CURRENT Insurance and DOH permit, (for food vendors) prior to submitting your application. **expired documents can not be accepted** I agree and understand that I, the vendor, will carry the necessary insurance covering my property displayed at the Winterfest Craft Fair & Tree Promenade for all aspects of this event.

    Release Statement: By signing below, I agree to consider this application a commitment if accepted and to abide by all rules set forth by the Fair Committee of the Winterfest Craft Fair & Tree Promenade hosted by SD Citizens for Liberty. I also understand and agree to the following:  No items are to be sold that are deemed inappropriate by the Committee.  If my booth is at any time deemed to be unsafe or inappropriate for the fair audience by any member of the committee, I may be asked to remove items from display in my booth or cease all sales immediately and may not be allowed to return for the remainder of the fair. This is a family friendly event. The use of live or recorded music, video or AV equipment is not permitted without prior written permission.  No pets are allowed without prior written permission.  SD Citizens for Liberty, Canyon Lake Activity Center, and all members, volunteers, or helpers including the Winterfest Craft Fair & Tree Promenade Committee are not responsible in any way for personal injuries, property damage or theft which may occur to me or my associates as a result of my participation in this fair, and damages or losses while setting up, attending, tearing down, or while in transit or any time during the Winterfest Craft Fair & Tree Promenade.  All images presented in this application or taken during the fair may be used for promotional purposes by SD Citizens for Liberty or its members. I am responsible for collecting SD state sales tax and Rapid City Sales Tax if applicable.  My booth will be properly attended for the entire event from 9am – 3pm and my booth area will be kept clean and safe.  No early packing up or closing of booths is allowed, the event runs until 3pm rain, snow, or shine. No refunds will be issued for any reason including, but not limited to, rain, snow, bad weather or events that adversely affects the fair in any way.  This is a rain/snow or shine event.
