  • The Will McLean Festival Runs on Volunteers


    The annual festival, hosted by the foundation, has a multitude of volunteer opportunities. Below is a quick look at areas our volunteers cover during and just before the annual festival in March. If you’d like to contribute to this effort, please fill out this volunteer form and someone will contact you.

    The festival dates are March 13-15, 2026 however some of the duties occur prior to the festival.

    General Instructions:

    The volunteer must be physically and mentally able to perform the duties as specified.

    Each volunteer (not couple) is required to work 3 volunteer shifts for a free weekend pass. The volunteer is required to pay for electric camping at festival rates; primitive camping will be free.

    Each volunteer will receive an email in February with their volunteer shifts and duties. If a position the volunteer selected is full they may be asked to volunteer at another duty.

     Fill in what days you will be available,  you should check 3 days. A volunteer will not be required to work more than one shift per day.

    Reminder - voluteers shall not consume alcohol while on duty.

    Volunteering is fun and rewarding

  • Pre-Festival Promotion: Distribute physical posters locally and digital posters on various Facebook groups or other social media avenues. Will work with Will McLean Publicity Chair in media outreach.It will help if the volunteer is within 50 miles of Florida Sand Music ranch to distrubute poster and rack cards. Digital you can be anywhere.

  • Set-Up Crew: This requires physical work!

    Must be available early on the Thursday morning at 9 am. Assist with physical set-up of stages, canopies, chairs, banners etc. Bring work gloves.

    Take Down Crew: Must be available  Sunday afternoon. Take down canopies, fold chairs, take down banners, return items to on-site storage or staged for rental company pickup. Bring work gloves

    Note: This requires lifting and bending.

    Please also check another voluteer position, to qualify for your  weekend pass.

  • Foundation Booth / Merchandise: Set-up merchandise displays on Thursday and Friday morning, assist with merchandise sales during Festival, repack and store remaining merchandise on Sunday afternoon. Sign up new foundation members during the festival and take membership renewals. 

    This volunteer postion requires the volunteer to interact with the public, check membership lists, fill out membership forms, take information and payments on a handheld tablet or phone. Friday - Sunday

  • Gate Attendent:

    Greets attendees as they come in the gate. Work with check in lists, tickets and receives electronic payments for tickets and camping fees.

    The volunteer will be doing walking from gate booth to the car line on the road . The volunteer must be able to properly greet people, be able to hear how many tickets/ camping they require and take payments using electronic devices, issue wrist bands, hands out programs etc.

    The early shift starts at 8:30 and the last shift ends at dark. Shifts are Wednesday - Sunday.

  • Volunteers will assist with the Volunteer Breakfast on Friday morning and assist with back stage snacks.

    Breakfast:  Assist in food preparing, serving & clean-up. Breakfast is held for our volunteers on Friday morning only. We will also have breakfast for sale on Friday and Saturday morning. Must be available early Friday and/or Saturday morning.

    Water & Back Stage Attendants: Also known as the Green Room. Place water coolers at each stage and ensure they have water throughout the festival. Set up coffee, snacks & water in the room behind the Magnolia Stage. Maintain cleanliness of this area. Shifts will be scheduled. Supplies will be provided. Friday - Sunday

  • Concessions: The Will McLean Festival will be selling ice, soda, beer and specialty canned alcoholic drinks. Volunteers must be over the age of 18. Volunteers are not allowed to consume alcohol while on duty. The booth will be located in at the café near main stage. Time will run from  estimated 5 pm until 11 pm.

  • Campsite Set-Up Assistant: 

    Assists in placing campers on appropriate campsites. Helps resolve site problems (electric, water etc.) by reporting issues to campground host.

     Monitors fullness of campground as folks fill in - stays in close contact with the gate as campground reaches full capacity.

     May be using a golf cart.

     Volunteer should be familar with the campgrounds and with size of campers fitting into spaces. Thursday - Saturday

  • General Grounds Assistant: Monitors roads to ensure they stay clear for emergency or service vehicles. Monitors campsites for known violations (fire issues, encroachment issues etc.). Empties large trash cans throughout the festival grounds. Making sure they are emptied as needed - not overflowing and have proper liners in them. Reports and issues to campground host. Thursday - Sunday

  • MC book assembling: Helps assemble MC books (Thursday) and verifies that MC books with the most recent schedule are in place at each stage each day. Be on call for changes to the MC book each morning of the festival and update the MC books and sound crew as needed this will take a few minutes. Works directly with the scheduler.

  • Schedulers Assistant: The schedulers assistant will be on call during the festival to assists in finding alternate performers or MC’s in the case of a cancellation or no show. Works directly with the festival scheduler who maintains a list of potential alternates for performers & MC’s with phone contact info. Friday - Sunday

  • Kids Area: This area is near main stage at the playground. The volunteer will assist  the coordinator in supervising the children in games and crafts. Supplies and schedule are provided. This is not a "babysitting" service. Note: This area is different from the Young Musicians program. Shifts Saturday - Sunday

  • Young Musicians Program During Festival: Assists the young musicians director with coordination of young performer activities during the festival. This generally involves meet & greet activities, workshops, performances, open mics etc. to learn more visit Young Musicians Program Friday - Sunday

  • Photography & Video: Work with Foundation Publicity Chairperson to document different aspects of each year’s festival. May involve roaming or assignment to activities or specific stage & workshop areas. Must provide own equipment. . Should be available to edit work after the festival. Friday - Sunday
